Meeting Minutes February 23, 2017 Attendees: Kathy Cunningham, Sara Vickery, Sean Millar, Luke Christiansen, Liz Norland, Kika Alexander, Janelle Harrington, Doug Clift, Sandi Kolakowski Scribe: Hunter Hampton Agenda CALL TO ORDER - Shawn Millar 6:05pm INTRODUCTIONS - See Attendees/Scribe NAME SECRETARY TO TAKE NOTES IF SECRETARY NOT PRESENT - Hunter Hampton OPEN FORUM - No audio or video recording is allowed by attendees. However, the secretary may record the meeting to aid the preparation of minutes. The tape is deleted once the minutes have been prepared. As provided for in the Open Meeting Act, members may observe the meeting, but do not have the right to participate in the boards deliberations or votes. Members may address the issue during the open forum portion of the meeting. Question from Kika and Janelle from concerned parents and players as to why there is no Chico in new Rebels branding. The board determined that Chico can and will appear on apparel and marketing materials as needed as determined by each situation. Question from from Kika and Janelle and concerned parents that the 14U teams are not balanced but rather unbalanced. Luke stated his expertise in evaluating talent and believes the teams to be fair and balanced. The BOD supports Luke s decision to divide the teams as is and will continue to lean on Luke s planning, implementation, coordination, supervision, and evaluation of Chico Rebels LAX. The question of comparative costs between Jags football and Rebels LAX was brought up by Doug Clift. Will we get new uniforms every year and will equipment be included with registration costs? Luke said his goal moving forward is to make LAX more affordable. BOD discussed ways to offer used sticks, helmets, pads through a swap or online offering. No decision was made to implement any of the plans. Sara stated she has been assigned task of scheduling team pictures and requested email addresses of the parents. BOD to work on consolidation of all current email lists to use moving forward. Sara asked why are there only 12 games scheduled this year as to 18 from last year? Luke said he did all scheduling and that one of the games in Santa Cruz was cancelled and he could remove the remaining Santa Cruz game if necessary. Additionally, he stated that if parents want any additional games to be added that will fit into the the current schedule he has no problem with doing so. He mentioned that there are three additional games that are not shown. Sara wanted to know to whom to report code of conduct issues. BOD directed all code of conduct issues be reported to Luke. 1
APPROVAL OF MINUTES - Meeting January 31, 2017 No minutes were presented DISCUSS BOARD POSITIONS - Requested potential new members to fill out application before BOD voting to approve new membership. Potential new members: Teresa Letlow (Not Present) Doug Clift (Present) Sara Vickery (present) Coaches Report - See Attached Coach Director Report 2/23 Booster Report - Huge kudos from parents, players and BOD recognizing the Booster Club s leadership coordinating the event at Fresh Twisted Cafe! Liz Norland is working hard on preparing to sell raffle tickets at the upcoming tournament in Redding. They have a tent, fliers, rally signs with raffle info to promote ticket sales. Plan to sell raffle tickets on Saturday and Sunday. Liz requested a consolidated email list of all parents. Doug suggested setting up a Sign-Up Genius account to help recruit new booster members. Another idea was brought to the table of using a check as deposit for all parents, so if they do not sign-up and participate for specified number of events, they lose their deposit. No decision was made by the board or booster club to implement this idea. Fundraising idea was mentioned by Doug. Solar program sponsored by Joe Morris of Vivent Solar. Referrals for new solar systems bring in revenue for the Rebels LAX program. Joe Morris will speak to board if asked. No immediate action scheduled. Merchandise Report - Janelle reported totals from merchandise sales at the Fresh Twisted event. (45) total items sold. $916.65 cost, $1,480 in total sales, generating $569 profit. Janelle asked why the apparel button on the website disappeared? Luke stated that he turned it off so as not to get any straggling orders come in. He said can turn in back on once the new apparel order is placed. Treasure Report - See attached Profit & Loss Statement dated 2/23/2017 5:03pm Old Business Coach recently hired for 17 season - needs job duties & what he will be doing - Completed Luke s contract updated and amended - Completed Need to update BOD on website - Completed 2
Website needs to be updated to a picture of Luke coaching the Rebels - Not Complete Scholarships - Brandon Woods, Issiah Thompson, Shawn Staplecamp and (4) girls awarded $395 scholarships. New Business Drop Box Access for new board members - Luke Change Shawn and Hunter s email address on website to their personal email addresses - Luke BOD to purchase a sweatshirt or jersey to be signed by all the kids for Bill Travers. Additionally, schedule meal delivery for the Travers family when he returns from the hospital. Motion Hunter, Second - Shawn Fee Waivers - $225 awarded to Noah Gomez to help with registration and uniform costs. Motion - Shawn, Second - Sandi Modify current Facebook and Dropbox Admin privileges - Remove access for anyone that is not a current 2017 Board of Directors member with the exception Kathy Carpenter. Kathy will continue to have admin access as needed.
