9th itsmf Japan Conference / itsmf Japan EXPO 01 Exhibition Rules Clause 1 Qualifications Exhibitors are limited to be the companies or organizations that provide the products or services which are consistent with the purpose of this event, and the organizer has the rights to decide whether that is consistent or not. Clause Application for exhibition and effect of the Rules Application for the exhibition is to be made by sending specified application form to the organizer. The Rules becomes effective and an exhibitor or applicant become bound to observe the Rules when the organizer receives its application form. Clause 3 Exhibition fee The following costs are included in the exhibition fee. *Costs of using the site, lights, or air conditioning during regular hours *Construction and maintenance costs for common facilities *Promotion cost (the official brochure, programs, websites, etc.) *Costs related to visitor services (creation of site information, etc.) *Cost of running the conference office, safety and security managements The following costs are not included in the exhibition fee *Costs incurred for decorating and running the exhibition booths, and for carrying in and out of the exhibits *Internet connection cost *Insurance covering the exhibitor s own equipments and injury to persons *Compensation for damage or loss of site facilities or other exhibitor's exhibits *Costs incurred for disposal of remaining materials and garbage, such as discarded decoration materials *Other costs which are considered not to be included in the normal exhibition fees Clause Payment of exhibition fee All exhibitors should make payment the exhibition fee to the account by the date that specified on the invoice. If a payment is not made by the date, the organizer may claim a delinquency charge. Clause Cancellation In case of that an exhibitor cancels all or part of its exhibition, the exhibitor should pay the cancellation fee based on the date of the cancellation. 1) Until October 1: 0% of the exhibition fee ) After October 1: 0% of the exhibition fee If this event can not be held due to an unavoidable reason such as a force majeure, the organizer can cancel the applications for exhibition. The necessary cost will be subtracted from the paid exhibition fee and the remaining, if any, will be refund by dividing proportionally in accordance with the allocated exhibition space. Clause 6 Booth layout The organizer has the rights to decide the layout of exhibition booths considering the volume and contents of the exhibits, and to arrange in accordance with changes of the situation. No protestation or claim for damages to the change of layout will be accepted. Clause 7 Sublease, buy or sell, transfer, or exchange of exhibition No exhibitor or applicant is allowed to sublease, buy or sell, transfer, or exchange part or all of its exhibition. Clause 8 Running of exhibition To ensure that this event proceeds smoothly, the organizer may enact and revise various regulations. Also, items not included in the Rules may be newly determined and various additions and changes may be made. If an exhibitor violates the Rules, related rules or provisions in the exhibitor s manual, the organizer may suspend the exhibitor from its exhibition. In such cases, the exhibition space may be removed by the organizer and the exhibition fee will be treated according to "Clause Cancellation". Clause 9 Suspension order If an exhibitor causes, or is likely to cause, any troubles to other exhibitors before and during this event, or if an exhibit is regarded as not suitable for the conference, the organizer may suspend the exhibitor from its exhibition. In such cases, the exhibition fee will be treated according to "Clause Cancellation".
Clause Management of exhibits All exhibitors have the responsibilities for managing their exhibits, and the organizer has no responsibility for any damages, theft, losses, or breaks of their exhibits. Clause 18 Photos and movies The all shooting rights in the site belong to the organizer. Permission from the conference office is required as needed. Clause 11 Insurance It is recommended that each exhibitor insures the necessary items used for the exhibit for the period including preparation hours. The organizer has no responsibility for damages or losses of especially for the items in the exhibition booths. Clause 1 Compensation The organizer has no responsibility for the damages or losses of products or injury to persons, which are caused by an exhibitor or its agent as using the exhibition site. If an exhibitor or its agent causes any damages to facilities or equipments used for the exhibition, regardless of whether intentionally, negligently or faultlessly, the exhibitor should be responsible for making compensation for such damages. Clause 19 Prohibitions *Providing or selling of any foods and drinks in the exhibition booth is prohibited. *In the event of a breach of the Rules, the organizer may suspend such exhibitor and has no responsibility of any issues caused by the breach. *Selling of any materials in the exhibition booth is prohibited. Clause 0 Distribution of promotion materials Distribution of the promotion materials of an exhibitor is allowed only in its exhibition booth. Clause 1 Business cards All exhibitors should manage the visitors business cards obtained at their exhibition booths. Clause 13 Sales activities Selling of products or merchandising in exhibition booths is prohibited. Clause 1 Conflicting products and services It is prohibited for exhibitors to introduce or exhibit any products or services that conflict with the products or services of itsmf Japan. Clause 1 Approval of the rules All exhibitors should be deemed to have approved and agreed to the Rules regulated by the organizer. If an issue occurs and it is not able to be solved between the stakeholders including the organizer, the exhibitor, or visitors involved, it may be subject to court. Clause Remarks *There is no main telephone number of this event which is available for use. *Smoking is prohibited in the exhibition site. *A cloakroom will be available for exhibitors, however valuable items should be secured for own protections. *All exhibitors should wear the provided staff badges for conference and exhibition. *The organizer has no unified privacy policy and no responsibility for the personal information that exhibitors obtain in the conference site. All exhibitors should manage such information under their own responsibilities. Clause 16 Contact personnel All exhibitors should name contact personnel who are responsible for communication with the conference office and other exhibitors during the preparation and the conference hours. The named contact personnel are responsible for managing the exhibition booths and basically should be staying in the booth anytime. Clause 17 Control of sounds Use of sounds for the purpose of promotion is permitted, however special care not to interrupt other exhibitors should be taken. The organizer may suspend such promotion if its volume caused any troubles.
