MANAGEMYHEALTH ENHANCEMENTS The following set of release notes details the changes made to the Medtech Evolution ManageMyHealth module in the 10.4.0 release. ManageMyHealth Enhancements Book Appointment option removed from ManageMyHealth Home page The Book Appointment button previously available on the ManageMyHealth home page is now removed. Patients will now have to visit their practice website to book online guest user appointments or someone else s appointment via ManageMyHealth. Guest user appointment booking page changes The guest user appointment booking page is now modified to look like the Appointment Widget page. Note in Appointment Booking page If the Notes to users for appointment(s) booking is configured for a Practice in the My Practice Settings, then it will be displayed in the Appointment Booking page under the practice details. Secure practice id in Guest user appointment page address The Practice ID in the ManageMyHealth Appointment widget link for a practice is now encrypted in the Appointment widget link. Email Id not mandatory for Guest user appointment In ManageMyHealth, the Email Id in the guest user appointment booking page is now a nonmandatory field. NOTE If email id is not entered for a guest user appointment, then the appointment confirmation status email will not be sent to the patient. But if the practice has configured a reminder SMS for appointments then a reminder SMS will be sent for the patient. Copyright Medtech Limited Page 4 of 13
Someone else appointment restriction for registered patients. In ManageMyHealth, the Someone else appointment booking option for registered patients is now removed. Registered patients are now able to book appointments only for themselves. To book for Someone else, registered patients will be required to visit the practice website and use the guest user appointment booking page. Online Appointment Enhancements Staff Code for matching provider Earlier Medtech Evolution used the External Provider name and MMH used the Preferred name to exchange appointment slots and booked appointment information between the two systems. This has been changed in the release, now the appointment slots and booked appointments will be synchronized based on the Staff Code in Medtech Evolution. Thus allowing the system to use multiple providers with same external name or preferred name. Appointment Status SMS for Online Appointments A patient palette SMS will be sent for all the online appointments whether the appointment is accepted or rejected by the practice. If the MMH Appointment is accepted in Medtech Evolution, then a patient palette SMS (refer below sample SMS) with appointment accepted status will be sent to the patient. If the MMH Appointment is rejected or declined in Medtech Evolution, then a patient palette SMS (refer below sample SMS) with appointment rejected or declined status will be sent to the patient. NOTE An Appointment Status SMS (Patient Palette SMS) will be sent only after satisfying the below conditions: Patient Palette SMS checkbox should be enabled in the location settings for the Appointment Location Patient Palette SMS checkbox should be enabled in the staff settings for the Appointment Provider Patient Appointment should be matched with Medtech Patient Appointment should have valid mobile number configured in the patient register No SMS or No Contact should not be enabled for the Appointment Patient Appointment Reminder SMS for Online Appointments If an online appointment is accepted then the corresponding Appointment Reminder SMS will be created in the Outbox Sent Messages screen. NOTE An Appointment Reminder SMS will be sent only after satisfying the below conditions: Appointment Book Reminders SMS checkboxes should be enabled in the location settings for the Appointment Location Appointment Reminder SMS checkbox should be enabled in the staff settings for the Appointment Provider Patient Appointment should be matched with Medtech Patient Appointment should have valid mobile number configured in the patient register No SMS or No Contact should not be enabled for the Appointment Patient Upload specific Appointment slots for Online Appointments A new column Online has been introduced in the Modify Appointment Template screen for uploading the selected slots of a provider for online appointments. The Online checkbox will be enabled only when Avail checkbox is selected for that slot. Also, when ticking or unticking the Avail checkbox it will automatically tick or untick the Online checkbox for a slot. Appointment Book slots updates instantly in ManageMyHealth If an appointment is booked or cancelled or modified (appointment duration increased) in the appointment book then the slot details will get updated instantly (even if the Medtech Service is not running) in ManageMyHealth. Customize option for Patient Default setup Medtech Evolution now enables Health Summary options (under ManageMyHealth Setup ManageMyHealth Patient Default Setup tab) for the users to select or unselect record types for ManageMyHealth upload. Reception Inbox screen changes Color coding in Reception Inbox In the reception inbox, all the online appointments will be displayed in different colors based on their status. Date and Time column The When Appointment column in the Reception Inbox screen is now renamed to Date and Time. Column headers in bold The column header in the reception inbox will now be displayed in bold. Sorting in Reception Inbox It is now possible to sort the records in the Reception Inbox screen. Click the column header to sort the records based on the header. Refresh button in Reception Inbox A new action menu Refresh and new icon Refresh the Reception Inbox display is introduced in the reception inbox screen for manually refreshing the reception inbox screen. Inactivating old records in Reception inbox When opening the reception inbox, all the online appointment requests which are less than the current day s date will be updated as inactive. Users can view the inactivated records by selecting the Include Inactive filter option. NOTE During the build upgrade, all the online appointment request records which are less than current day s date will be marked as inactive automatically. Appointment slots for non-registered staff in MMH If a practice is registered with ManageMyHealth, then the appointment slots for all the selected provider s in ManageMyHealth staff setup will be uploaded to ManageMyHealth for online appointment booking (not just registered staff). Auto-match online guest patients in Medtech All of the online guest patients will be auto-matched in Medtech Evolution based on Surname, First name and Date of birth available in online appointment request. NOTE If one or more patients have the same Surname, first name and Date of Birth, then that patient will not be matched with any of the available patients. Auto-Search for online Guest Patients from Appointment Book In the Appointment book, opening an online Guest patient s appointment should always open the patient search screen with the guest patient details. NOTE If one or more patients have the same Surname, first name and Date of Birth, then all the patients name will be displayed in the Patient search screen. Copyright Medtech Limited Page 11 of 13
Auto populate guest patient details for registration When registering an online guest patient from the appointment book it should always populate the guest patient Surname, First name, Date of Birth and Mobile no in the Patient Register screen. Auto-populate notes from online appointment request If an online appointment is booked for a guest patient by someone else/others, then the mobile number of the patient and booking person name (if available) will be displayed in Note field in the View Attendance screen and Note column in Appointment Book. Refresh option in Appointment Book and Appointment Pad A new action menu Refresh and new icon Refresh has been introduced in the Appointment Book and Appointment Pad screen to manually refresh the appointment book and appointment pad.
