2 o Sherri motioned to confirm the votes for the October 21 and November 9 zoom meetings. Ann seconded the motion. Confirm electronic votes from the November 19 (Rules) zoom video conference o Wendy motioned to confirm the votes for the November 19 (Rules) zoom meeting EXCEPT for the snaffle bit rule change. Motion was seconded. Confirm electronic votes from the November 26 (Patterns) zoom video conference o Heather motioned to confirm the votes for the November 26 zoom meeting EXCEPT for the snaffle bit rule change/score sheet. Sherri seconded the motion. The Rules meeting needs to be a face to face meeting. Treasurer s Report Reports were emailed out prior to the meeting. Remember to deduct the fee scholarship fees when sending in your state registration fees. State Raffle There are 10,000 tickets printed. These funds are used to o Offset operating costs o Put on the state meet o Scholarships Every athlete needs to sell their 10 tickets. o Please encourage them to sell. o Christmas gifts, etc. This is the only fund raiser that state OHSET does. $1 per ticket sold by each individual district comes back to that district. District chairs please get your contact information for the state raffle to Carolyn. Decision Making Processes Don t want to get complacent with regards to decisions/voting. Are we voting out of fear? Wanting to have everyone happy?

3 Need to make sure our organization is credible. Need to really think things through before decisions are made. This is a high school varsity sport. Need to support your district o But also, a member of the state board. o Need to make the best decision for the organization. o Sometimes those are different. Snaffle Bit Rule Change Revisit Candi has more correspondence to share. o JoAnn thoughts from the judges. o Karen shared her thoughts as the State Rules Chair. o Confirm electronic vote for the snaffle bit rule from the November 19 (Rules) and the November 26 (Patterns) zoom video conference Chris motioned to NOT confirm the vote for the snaffle bit rule change (leave the original rule the same do NOT change the rule). Wendy seconded the motion. Discussion A yes vote doesn t accept the change. A no vote does accept the change. Vote: 21 Yes, 0 No, 0 Abstain. Motion passed. The rule change is NOT accepted or confirmed. Versatility Needs to get into the rule book. Candi will make rule book ready. Would like to see 2 judges on the line. o State meet will have 2 judges on the line. o Districts may do what they can. Will be a state meet event. Will get all information out via email once everything is rule book ready. Coastal Discount Program This is available for all OHSET members athletes, coaches, etc. Watch social media for when this starts. Candi will email details out. Not sure of the discount maybe 10%. Will need to contact store with regards on how to sign up. Other Academic Scholarships

4 o Was the increase for $750 per scholarship for this upcoming season (2017-2018)? Or is this also for the last season (2016-2017)? o Corinne motioned to raise the academic scholarships to $750 for last season (2016-2017) and this season (2017-2018). Sherri seconded the motion. Certified Timers o What happened to this list? Are we still doing this? o Candi has the information and will get it out to everyone. Fee Scholarships o Have received another 8/9 for the 2 nd deadline. o Will go ahead and award them. o Next year will have 1 deadline. When Athletes Can Practice o Once paperwork has been turned to the district the athlete can ride. o Chris is still missing registrations. Please get them into her. Fred Meyer and Amazon Smile o Please remind your teams, parents, etc. to use both. o Do have to renew every year the Fred Meyer points.
