Reports to: Outreach Commission Hispanic Migrant Ministries Coordinator Position Description Outreach Commission Chair. Ministry Purpose / Objective: To provide for the Hispanic migrant workers of Pender County through the School bags/supplies, Angel Gift Giving and Toiletries Projects, working with the Hispanic coordinator at Catholic Charities. General Responsibilities of All Ministry Coordinators: Discerns God s message in one s own life regarding stewardship of Time, Talent and Treasure. Is familiar with ministry guidelines and General Parish Procedures, especially facility usage. Maintains updated participant records including phone numbers and email addresses. Recruits new ministry members, using bulletin announcements, etc. Confirms with parish secretary that volunteer is a registered member of Immaculate Conception. Responds to inquiries from prospective ministers, (verbal, email, telephone, Time & Talent sheets, interest sheet on back of registration form) regarding your ministry within ten business days. Maintains accurate records to provide ministry specific input for (see templates): o Quarterly Stewardship Bulletin Report o Annual Stewardship Report o Prepare documentation for this ministry s budget o Ministry Goals and Objectives o Ministry successes Writes and submits bulletin articles and when appropriate, a thank you for the bulletin, especially after special events, giving a full accounting of number of participants, items collected, etc. Keeps the Commission Chair advised of needs, issues, and positive experiences so they can be incorporated into the planning process. Responsibilities of Hispanic Migrant Ministries Coordinator: Reports to staff on activities of all Hispanic Migrant Ministries for development of goals, calendar of events, and the coordination of meetings. Oversee budget for all Hispanic Migrant Ministries. Ensures that all Hispanic Migrant Ministries are meeting regularly to support one another and to support parish-wide faith formation. Coordinates presentations of all Hispanic Migrant Ministries at the Commissions/Stewardship Fair. Special Activities: Annual parish Leadership training. Commissions/Stewardship Fair Meetings (when held, frequency, etc.): All Commission Meetings With leaders of various Hispanic Migrant Ministries as the need arises. Time Commitment: Time to be allotted to the Following Tasks: Average Time (these times are average and may vary depending upon the individual completing the work, and the situation.) Meetings 4 hours/month Preparation for Commissions/Stewardship Fair 4 hours /year Expected Length of Commitment: Two years, and may be extended by one year with a maximum term of three years. Hispanic Migrant Ministries Coordinator Resource(s): Assistant Coordinator Assists the Coordinator and prepares to take over his/her responsibilities at the end of coordinator s term. Is familiar with General Parish Procedures and scheduling procedures. Attends orientations for new ministers (to get to know them). Leaders of Hispanic Migrant Ministries Provides input to coordinator about activities and needs of their ministries and offer suggestions for new projects. Outreach Commission Hispanic Migrant Ministries Coordinator Task List General Tasks: Recruits new members Maintains member list and advises secretary of any changes to ministers records (phone number, email, address). Conducts training sessions during the course of the year in coordination with the Outreach Commission. o Ensures training dates and times are on the parish calendar. Completes Facility Reservation Form (FRF) for dates when utilizing the De Sales Faith Formation Center or the church. Contacts Business Manager to fill out Facility Access/Magnetic Lock Keycard Record & Agreement for assignment of Access keycard when utilizing the De Sales Faith Formation Center or the church Faith Formation. Reviews and updates ministry guidelines yearly. Performs regular ministry duties in accordance with the Hispanic Migrant Ministries Guidelines. Participates in Commissions/Stewardship Fairs. o Updates Story Board for Commissions/Stewardship Fair. o Recruits members of ministry for implementing Commissions/Stewardship Fair. Evaluates the ministry yearly, (What worked well? What didn t work well? What needs to be done differently?) Additional Tasks: Collects information from all Hispanic Migrant ministries and forward to Outreach Commission. Collect budget requests from all Hispanic Migrant ministries and write quarterly report for the commission chair. Make sure all Hispanic Migrant ministries are meeting at least quarterly. Fill out and submit Facility Reservation Form (FRF) to reserve any rooms needed for the project. Ensure volunteers are available to collect, sort and/or deliver donated items. Summarize the project indicating what was donated, submit to Secretary for bulletin announcement. Responsibilities of Hispanic Migrant Ministry Toiletries Project Coordinator: Submit dates for the Migrant Toiletries Project for the ICC master calendar. Fill out and submit Facility Reservation Form (FRF) to reserve any rooms needed for the project. Create bulletin articles publicizing the event indicating the dates for publication to the Secretary/Bulletin Editor. Advise Secretary of the need for tags and/or lists of supplies to be printed. Ensure volunteers are available to distribute tags and/or lists of needed donations at all weekend liturgies. Ensure volunteers are available to collect, sort and/or deliver donated items. Summarize the project indicating what was donated, submit to Secretary for bulletin announcement. Special Activities: Hosts an orientation for new ministers. Annual parish Leadership training. Commissions/Stewardship Fair. Meetings (when held, frequency, etc.): All Commission meetings. Time Commitment: Time to be allotted to the Following Tasks: Average Time (these times are average and may vary depending upon the individual completing the work, and the situation.) Conducts training sessions during the course of the year in coordination with the Director of Liturgy and the Outreach Commission. o Ensures training dates and times are on the parish calendar. Completes Facility Reservation Form (FRF) for dates when utilizing the De Sales Faith Formation Center or the church facilities. Contacts Business Manager to fill out Facility Access/Magnetic Lock Keycard Record & Agreement for assignment of Access keycard when utilizing the De Sales Faith Formation Center or the church facilities. Reviews and updates ministry guidelines yearly. Performs regular ministry duties in accordance with the Hispanic Migrant Ministry Toiletries Projects Guidelines. Additional Tasks: Submit bulletin articles and dates for publication to the Secretary/Bulletin Editor at least one month in advance. Contact Catholic Ministries for all pertinent information relative to the project. Advise Secretary of any lists and/or tags that need to be printed. Coordinate volunteers for the distribution of tags and/or lists at all weekend liturgies on date of project. Coordinate volunteers to collect the donated items and transfer them to the De Sales Center. If grant money is available, purchase any missing items. Outreach Commission Hispanic Migrant Ministry Toiletries Project Member Position Description Reports to: Hispanic Migrant Ministry Toiletries Project Coordinator. Ministry Purpose / Objective: To provide toiletries and other needed items to migrant workers in the area through the Hispanic coordinator at Catholic Charities. General Responsibilities of All Ministry Members: Discerns God s message in one s own life regarding stewardship of Time, Talent and Treasure. Is familiar with ministry guidelines and General Parish Procedures. Presents ministry in a positive light at all times. Responsibilities of Hispanic Migrant Ministry Toiletries Project Members: Assist with distribution of tags and/or lists of needed supplies at weekend liturgies. Assist with collecting supplies and transferring them to the De Sales Center. Sort and/or deliver project materials. Special Activities: Attends an initial orientation/training session.
