President Preside at lodge functions Thoroughly acquaint yourself with the laws, rules and ceremonies of S/N and your duties You are responsible for the progress, welfare and internal harmony of the lodge Make early decisions regarding the lodge activities of your term and follow them through to complete success Ensure all officers perform their prescribed duties Appoint all standing or special committees including o Adopt a School Project Coordinator o Local S/N Endowment Committee (aka Foundation) o Table Decorations o Membership Committee o Lefse Chair o Lutefisk Dinner Chairman o Salvation Army Bell Ringer Chair o Sunshine Person o Tubfrim Ex-officio member of all appointed committees except the nominating committee and the audit committee Signs all reports to the International Lodge and contracts or other instruments issued on behalf of the lodge Counselor Aid and assist and counsel the other officer in the performance of their duties Shall question and instruct candidates for admission to the lodge, as prescribed in the ritual Vice President Familiarize yourself with the duties of the president and assist him/her in maintaining order In the absence of the president, perform the duties of the president Be faithful and reliable Perform your duties in close cooperation with the other officers in the continued building of our fraternity Memorial/Tree Dedication Service Sunday near 17 th of May in the Park or JM School Membership Chairman o Work with Field Rep in providing annual Membership Recruitment Dinner o Have membership table at Lutefisk Dinner and Lefse Sales, and other appropriate events o Provide membership applications, or methods for online enrollment o Work with the president in initiation ceremony Scholarship/Campership Chairman Supervise music for anthems at business meetings Social Directors Plan and supervise the social activities of the lodge, in cooperation with the other officers. Establish committees to coordinate the following: o Business Meetings coffee and cookies o Social Meetings meal menus, hire dance bands, supervise coffee and refreshments, scheduling o Special events such as lodge picnics Assistant Social Director (Reservations) Take reservations for the social meetings Provide information to the caterer of number of guests Check off names as members buy their tickets for the night
Secretary Make a true and impartial record of the transactions of the lodge. Provide copies of the minutes of the business meetings to those attending (at next meeting) Present and carry on all communications of the lodge that is not expressly delegated to other members Issue and attest all documents issued on behalf of the lodge Assist the president in the preparation of the agenda to insure an efficiently conducted meeting (copies for all attending meeting) Assist the president in preparation of the printed program for the social meetings Maintain minutes and roll call for these meetings (can be archived in lodge files at the end of the year) Send District Secretary reports which are required such as reports of election, and district convention delegates (following their election) Auditors Audit the accounts of the lodge annually, or at other times if so required or requested. Audit any committee reports which contain financial accounts before they are adopted by the lodge Treasurer Keep accurate accounts of the receipts and disbursements of the lodge Annually submit in writing a detailed report of the disbursements during the preceding period Prepare an annual budget with the assistance of the Financial Secretary Seek advertisements for the lodge newspaper and keep accounts current Financial Secretary/Membership Secretary Responsible for making sure funds of the lodge are collected as directed by the lodge. Responsible for all matters relating to membership records Provide membership listing with names and addresses of all members to officers requesting this information Send invitations for initiation to new members Provide information on deceased members for memorial service, held in May Trustees Custodian of the personal property of the lodge Provide a written inventory of lodge property to the lodge at least once each year Sons of Norway Park, including Stabbur oversight o Seek Grants for park improvements o Seek assistance if improvements are needed Marshals Custody of regalia, songbooks, flags, and make certain they are distributed at the opening and colleted at the close of each business and social meeting, as appropriate Assist with ceremonial functions such as initiation of new members Foundation Director Provide the lodge with complete and updated information about the S/N Foundation Meals on Wheels Coordinator Provide a portion of the program in October, Foundation Month for lodge information o This officer is not responsible for the local endowment managed by the ND Community Foundation Assistant Treasurer Take over the responsibilities of the Treasurer in his/her absence
Cultural Committee Plan the cultural programs for each social meeting of a nature which preserves and promotes our heritage, including programs provided by S/N International. Cultural displays at some social meetings provide an interesting part of the program. Oversee the Cultural Groups (i.e. Hardanger, Rosemaling Knitting, Music, etc.),[these groups have their own leaders, so this is only an oversight responsibility] Introduce beginning cultural classes as the need arises Encourage Cultural Skills Medal involvement Stabbur interior displays Sports and Recreation Directors Supervise and plan a well-rounded program of sports activities and recreation interesting to members of all ages. Inform members of the S/N Sports Medal Program and encourage participation o Provide forms o Collect completed forms o Order medals o Present medals at a social meeting Lodge bus tours and participation in one local parade each year are under the responsibility of the Sports and Recreation Directors Youth Directors Supervise activities for the boys and girls among our members and the community who will one day be eligible for adult membership in S/N Assist in developing their social and recreational activities and provide them with opportunities to learn of our cultural heritage at least three times per year Encourage youth membership (free), which provides a quarterly publication Organize the annual Children s Christmas party. Publicity Director Build a good public image of our lodge by contributing appropriate news released to the local and area media. Efforts should be made to establish a good working relationship with news media Provide information and photos about lodge s activities to the district publicity director for submission to the Viking Magazine Assistant Publicity Director Work together with the Publicity Director to provide publicity for our lodge Editor Publish the monthly lodge newsletter, keeping members informed of activities of the lodge Prepare informative materials pertinent to our lodge Historian Record the historical events of the lodge Take photographs of lodge activities Act as custodian for records and materials pertinent to the history of the lodge Compile a record of current lodge activities in the form of an annual scrapbook Musicians Direct and provide musical accompaniment for social meetings and when requested by the president Librarian Supervise the lending library See that all books are returned to the library in good condition within prescribed time limit Catalog books Have books available at social meetings as appropriate Assist members in the selection of books wanted Supervise the purchase of additional books
Sunshine Person Identify ill or bereaved members Demonstrate by word and deed that members of the lodge care about their well being Keep lodge informed about the condition of these members Encourage others to show concern through visits, cards, letters and flowers Send appropriate cards to these members from the lodge Greeters Welcome new members Introduce them to others Shepherd them until they feel comfortable with your group Coordinate effort to have people at the door at each social to welcome all as they arrive Provide a list of guests to the president so they may be introduced at the social meeting Committee/Special Appointments Adopt a School Project Chair Chair projects to help local schools Report to District Board as appropriate Endowment S/N (local foundation) Encourage donations through information of project o Publicize o Articles for newsletter Suggest expenditures to lodge Lefse Chair Orders lefse Schedules sales and workers for these sales (generally November, December and at Lutefisk Dinner) Suggests price changes, or alternative plans Lutefisk Supper Chair Supper is 4 th Saturday in January Secures Chairmen for Supper General Oversight of Supper Membership Committee Work with Vice President who is chair of Membership Committee Encourage new members to join the lodge Nominating Committee Selects the proposed incoming slate of officers with careful consideration of their interest and willingness to fulfill their duties The proposed slate of officers should be provided to the lodge no later than the October business meeting Officers are selected for a two-year term with the exception of the trustees who serve three-year staggered terms The majority of the officers are elected in even number years to serve the following two years i.e. those officers elected in 2010, installed in 2011 will serve 2011-2012 Salvation Army Bell Ringer Chair Provide Bell-Ringers for the annual Christmas fundraising event for Salvation Army Tubfrim Chairman Promote program Collect recycled stamps from members Sort and send to the proper distribution center Sons of Norway Park Maintained by Bismarck Parks and Recreation Department Trustees have oversight responsibilities Stabbur can be opened for large gatherings, arranged with S/N through Parks and Rec
