Student Senate Minutes SUNY Delhi Delhi NY, 13753 September 6th, 2017 President Sashagay Watt called meeting to order at 5:15pm. The motion was seconded by Turf Club. Secretary Emily Gleason takes attendance; no clubs were late, clubs that are absent were BASIC, College Players, RHA, and Student at Large Greg. Zero clubs were excused from the meeting with prior knowledge of the executive board. Vice President Ryan Ali made a motion to approve minutes August 30 th, 2017, 2 nd by Student vet. All in favor, None Opposed, None Abstained Guest Speaker Michele DeFreece, Vice President of Diversity, Equity, and Inclusion, Chief Diversity Officer Robert Brown Memorial Lounge, DACA, and Dearworld Campaign Robert Brown Memorial Lounge - Michele DeFreece began her presentation by announcing the updates on the increase of diversity on our campus this year. One of the new updates is the renaming of the lounge on the first floor in the Farrell Community Center to Robert Brown Memorial Lounge. She is looking for half a dozen students who will be willing to be serving on a diversity student council. The goal is to have ideas from all diverse aspects on our campus to help come up with ideas for the change of the lounge area rebranding. If you re interested contact Michele DeFreece by coming down to her office (169 Bush Hall) or by phone at (607)746-4742 come down to. DACA - In responds to what is happening in the world today regarding DACA, Michele DeFreece informed the Student Senate that President Laliberte sent out a response stating that as a campus community and the rest of the SUNY System, we are in support of DACA. Any anxiety anyone may be feeling, please feel free to come talk to Michele DeFreece, or anyone you feel comfortable with. We want to reiterate that we do not tolerate hate violence. We are here so everyone can learn and thrive in a great comfortable environment. Dearworld Campaign -Dearworld is a story telling process group event that will be coming to our campus. It will be a day and a half long program, and will ask you about yourselves and how we can tell your story. The event will kickoff at 8:00pm, Thursday, October 5 th, 2017 in Okun. Some people will be asked to participate and have their photos taken early on October 4 th, 2017. This is a big project and will take all our students to make it a success. People who didn t get their photos taken will have the opportunity to have them taken with a RSVP. This is a great way to get to know all of the individuals on our campus. Michele went over the process on how to

sign up and RSVP to have your photo taken. The instructions will also be sent in your student email. Finally, if you have any issues on campus, especially regarding biasedness, feel free to stop by Michele s office. Student Senate Activities Fair September 16 th, 2017 From 2:00-6:00 pm outside in the Agora Announcements This is mandatory for all clubs, please let us know if your club cannot make it by email the Student Senate. WIC - Interest meeting September 15 th, 2017 Starting at 7:00pm in Farrell room 211A There will be food and refreshment serves SPB 6 flags trip Signups start September 16 th, 2017 at the Activities Fair at the SPB table $20 charge, $5 deposit NAHB Possible rebuild efforts for Hurricane Harvey or Irma. This will occur during the spring semester during one of the breaks, it may take up to a whole week. If you want more information, please talk to Mr. Brownell or Mr. Smith in Smith Hall. BSU - Jouvert and Fete The Jouvert paint vs powder will be on Friday September 15 th, 2017 It will be in the Agora, starting at 10pm The Fete will be on Saturday September 16 th, 2017 It will begin at 11am in the back of Farrell and parade around campus. President Sashagay Watt: Lets entertain this discussion. PGM: there were emails sent regarding the meeting. WIC: I wasn t in Delhi until Thursday. President Sashagay Watt: There were emails sent out to every student, and they said that if no one was able to attend to email the Student Senate. Step it up: What if all members had class? President Sashagay Watt: The email said if you can t make it for any reason, please send an email to the Student Senate. Campus Pride: Some people didn t have an executive board ready. There should be a grace period. President Sashagay Watt: We should be reinforcing and encouraging that the executive boards to be set up/elected at the end of the previous spring semester. Your executive board should be done the semester before. For example, as the Student Senate Executive board, we have had these positions since April. President Sashagay Watt: The chair does not grant Campus Pride s request to review and remove your fine. The treasurer forms are due next Wednesday September 13 th, 2017. All clubs that have not turned it in yet need to get them in before that date. Pleased grab them at the end of the meeting if you do not have one. Treasurer Genevieve Fanfan needs 5 members for the financial committee. Gen makes a motion to nominate FBLA, PGM, Architecture, BSU, and WIC as committee members

2 nd by SME All in favor None apposed Motion passed. The new committee members are FBLA, PGM, Architecture, BSU, and WIC. All treasurers need to be trained before they do Purchase Orders. If your treasure cannot make it, your president can come for you. If you previously were a treasurer you still need to go. You only need to go to one meeting. It will be downstairs in the student senate office. The dates will be Monday September 11 th, 2017 at 5:00pm and Tuesday September 12 th, 2017 at 12:15pm. Please bring a cell phone or laptop. Vice President, Ryan Ali Vice President Vice President Ryan Ali was looking for four senators for the Constitutional committee. They review constitution of all clubs and new clubs, as well as going over our constriction. We already have two clubs who have submitted constitutions. Sasha made a motion to nominate Student Veterans, BSU, Turf club, and SPB as committee members 2 nd by FBLA All in favor None apposed President, Sashagay Watt President Next senate meeting we will be going to the Presidents house again for dinner with him and the rest of the College s Leadership Team.. We will be meeting by the Student Activities office. Get there early, the buses are leaving at 5:15pm. Only one senator from each organizations will be able to go. You will still receive a fine if you do not attend. President Sashagay Watt opened up volunteer hours for during the activities fair. There is a popcorn machine, cotton candy machine, and snow cone machine who need volunteers to man the stations. You can sign up in the OCCE, our advisor will also be there to sign off the community service sheets. Old Business

The constitution will be up and posted tomorrow morning. The voting will be during the full senate meeting September 20 th, 2017. New Business President Sashagay Watt would like to add four new resolutions. Each resolution will be attached to the minutes. Voting will happen during full senate. Please go back and talk to others about the resolutions. The purpose of resolutions are to go back to the college to have them rethink some of their ideas to become more suitable towards the students. (RESOLUTIONS ATTACHED TO THE BOTTOM OF THESE MINUTES.) Resolution 004: Clubs, such as RHA, who do not have a budget from the Student Senate can come to the meetings and receive voting rights. They will still be recognized as a club and held to all standards of other organizations. Including attendance and voting rights. Resolution 005: Utilization of the spaces in the Farrell Community Center. Every space can be reserved by all recognize organizations if the space is available. This resolution states that a club or organization can only reserve 12 hours a week for one room. There are also other students who pay to use this space as well so the intent is to be mindful of that. Resolution 006: In our constitution, the highest level is to be on the executive board of student government. The constitution doesn t say anything about, for example, not allowing a student from doing so if you are in an unrecognized organization. If you are a part of an unrecognized org, you can do this, so this should not be a thing on our campus. It is unfair that we are all paying the same amount of money to be here, and that something that could be a financial relief to a student, some cannot do because of my out of academic activities. Greek Councils asked if this means that unrecognized organizations can participate in meet the greeks? President Sashagay Watt says no. This resolution does not mean that. This means that certain campus jobs, internships, and other opportunities on this campus should be given to students even if they re in an unrecognized organization. The resolution would be a recommendation to the College to review this. Resolution 007: In regard to line item 17, the Entertainment Fund. This is saying that the treasurer of Student Senate also needs to be a signature on this account s purchase orders of this account. Currently, it only requires the Director of Student Activities signature. Parking issues on campus Open discussion FBLA made a complaint about there not being enough parking available on campus. He has spoken to other students in regard to the issue as well.

Escoffier suggested maybe there can be a new rule stating that you have to be a certain year in school, or have a certain amount of credits in order to have a car on campus. Campus Pride then added that we are a 2 and 4-year school so it might not be fair for student show may not have enough credits till they are already in the final year of program Campus Voice then added that maybe first years should not be able to have cars on campus. They have that rule at other college campuses. Horticulture stated that there first years should be able to have cars because some people do not have any other means of getting home during breaks or on weekends. Escoffier added that there should be different rules regarding parking for residentials than commuter. President Sashagay Watt stated that if you ve been getting to college on your own without the help of others, the new rules we are discussing shouldn t apply to them. FBLA suggested to make the Clark Field House lot 24hour parking. SPB stated that they ve heard rumors of other students have more than one car. President Sashagay asked if there was limit? Maybe there should be. cars. Secretary Emily Gleason said she does not believe there is. Students can pay for both President Sashagay Watt suggested maybe there should be more parking lots. Maybe buy out a lot, or using unpaved land on our campus. HMS suggests that maybe we can sell a certain amount of parking passes sold each year. There can also be a cut off date to when you can buy them. Refund checks FBLA added that some students need to wait for a refund check to get their parking pass, so he doesn t think a cut off date would be good. President Sashagay Watt states that she gets both sides, this will force other peoples to do there jobs and assist in the issue regarding students waiting so long for their refund checks. FBLA asked if they could get the refund checks issued at a faster rate he would support a cut off date for parking. President Sashagay Watt asked if the students feel the refund check process is going well? every time she walks passed the financial aid office, the line is out the door. Overflow Rooms

WIC added that there are a lot of first years students this year, also causing for a lot of people are in overflow, is there a way to make it so there s a max number of students to live on campus? It could take of both issues with overflow and parking. President Sashagay Watt informed that because we have more students, we have a higher amount of money coming in to the clubs and organizations because of their student activities fee. It s a give and take situation. WIC states that now because the study space in Russel is being used as overflow, students cant go in and study. President Sashagay Watt suggests maybe if the library can be open for longer hours, maybe till midnight. Campus Pride added that they also got rid of all study rooms in O Connor and other residents halls. FBLA suggests maybe the library should be open as 24/hours. President Sashagay Watt States that we need a 24 hour building, it was talked about last year, she will get back to that again. FBLA stated that there are an abundance of new students, so we definitely should have something. Nap Pods WIC asked when will the nap pods be down in Farrell? Off campus students need to stay on campus all day and they have nowhere to nap. President Sashagay Watt state that they will be going to be in room 10. That room will no longer be a meeting area, but will be that nap pod room. Right now, they are on back order. We ordered them in May, and have been waiting. We ve checked other companies, and they would still be on backorder as well. It breaks our hearts seeing it as well. Construction on ETower WIC asked when will the construction be done on ETower? President Sashagay Watt said that she have no idea what they are doing to the building, or when they will be done, but she can find out. Architecture informed us that she is pretty sure they re fixing molding on the bricks MacDonald Renovations PGM asked when will Mac be done? President Sashagay Watt informed the senate that does not know, but will ask Delmare. Last we heard was it would be about 3 more weeks. Are stations missing in Mac?

SPB said yes, the grill station. Campus Pride asked if any first year students were aware of the construction before they choose a mac only meal plan? Is there anything going to be done for them? Advisor Lawrence Mannolini III pointed out that student can still eat at Mac. President Sashagay Watt said if you re paying for a 19, or 14 you can get a meal with full options at Farrell, but not mac. If you re paying for Mac only, you are now limited as to what has been offered in the past. Campus Pride add that they re not getting what they paid for. Mac only meal plan should be given the opportunity to use their meals somewhere else if their option is not fully available to them. PGM says that guess the same can be said for the students who are paying for the other meal plans as well. Advisor, Lawrence Mannolini III Advisory report Advisor Lawrence Mannolini expressed how important it is to continue to ask questions during open discussion. In his opinion, clubs and organizations should do their elections at the end of the spring semester so they have it set for the next coming one. By not doing so it makes it difficult to be up and running for the year and causes communication issues for student senate, as well as student activities, and other clubs if it is not done. At other colleges he worked, he s never seen so many organization conduct their elections in the fall. Maybe next year there can be consideration by groups to make changes to their constitutions so it can be made easier for all of these people. For the dinner next week, try to look a little more professional. Name tags will be given out and worn by your senators attending, this way everyone can put more of a name to face, and a club. Also, there will be really good food. He was asked by Elizabeth Sova to pass a message along from the OCCE about community service weekend coming up. Please see the office to get involved. There is a blood drive as well coming up. Fundraising for hurricane Harvey will be there. Support all of those good causes as well. WHEREAS, the State University of Delhi Student Senate is vested with the authority to be the voice for

the student body; And, WHEREAS, it is with this authority that it should be the duty of the Student Senate and the Student body to have a sense of responsibility and connection, WHEREAS, it should be expected that as the Student Senate we push for growth, equality and fairness within the Student Senate, WHEREAS, Line item number 17 is only required to have the signature of the director of student activities, THEREFORE, BE IT RESOLVED, that as the Student Senate President I put forth a resolution that the line item number 17, also known as entertainment fund be required to have the signature of the Student Senate Treasurer and the Director of Student Activities, BE IT FURTHER RESOLVED, the purpose of this resolution is to create a more transparent and monitored way of how the student activities fee is being used, BE IT FURTHER RESOLVED, that along with this resolution will be the decision of the Student Senate for the entire Student body to have it and available on the SUNY Delhi Campus.
