Establishment of Quorum Pursuant to Article X1- Meetings, Section 2- Annual Meeting of the Persatuan Faktor Manusia dan Ergonomik Malaysia (2010) Constitution, the 6 th Annual General Meeting of the Human Factors and Ergonomics Society Malaysia (2010) was called on Tuesday, 27 September 2016 at 2.30 pm. The quorum was established with 24 full members and 5 proxies, that is more than twenty percent of Full Members of the Society. 2. Chairperson for the 6th AGM Associate Professor (AP) Dr. Shamsul Bahri Mohd Tamrin, the HFEM President, chaired the meeting with minutes recorded by Mr. Khairul Nazri, the Assistant Secretary. 3. HFEM President Welcoming Speech The President introduced committee members of HFEM and welcomed all who attended the meeting. (HFEMC 2016) and ErgoCup 2016. The President also appreciated and was honored to have the present of Professor Ravindra Goonetilleke, the President of Hong Kong Ergonomics Society as an observer in the meeting. 4. Confirmation of Minutes The minutes of the 5 th Annual General Meeting of the Society held on 27 September 2016 was made available to all members on the website. The minutes was approved with the following correction as well as highlight in item 5.5c and 5.6 respectively: 5.5c Ergonomic Checkpoints should correctly be called SEANES Ergonomic Checkpoints. 5.6 IEA s KU Smith Student Award was accepted by Ademola James Adeyemi, a UTM Skudai student which is also member of HFEM. HFEM was represented by the President during the Spring Conference on Ergonomics (a joint conference between Korea and Japan). The meeting was to discuss with IEA on way forward in promoting ACED (Asian Conference on Ergonomics Design) in opening up ACED to new members from other Asian countries. ACED Conference will be organized in Japan in 2017. Approval of the minutes was proposed by Professor Halimahtun, and seconded by T. Hari Krishnan. 5. Annual Executive Board Report The Executive Board Report was distributed to members during the meeting. A copy was made available in HFEM website to members prior to the meeting before the AGM. The Chair, AP Shamsul Bahri as the President reported the Society functioning since 18 August 2015 to 25 September 2016. Hari Krishan (Johor) Ordinary members: Chong Soo Li (Perlis) Dr. Abd Malek Abd Hamid (Perak) Muhammad Syafiq Syed Mohamed (Penang) Internal auditors: Mohd Ammar Samsu Rahman Fareena Zulfarena Mat Rasidi 5.2 Annual General Meeting (AGM): The last AGM was held on 27 September 2015 at SEGi University, Kota Damansara, Petaling Jaya in conjunction with Human Factors and Ergonomics Conference 2016. 5.3 Communications: Considering to limitation to the subscribed membership database management (Wildapricot) and website content management system (CMS) (Joomla); the executives has decided to get a third-party service to create our online system which consists of our own membership database and get it integrated with a better content management system (CMS) Wordpress. We have successfully migrated our website to a new CMS and launched the website. Pilot run for email notifications began in October 2017. The website address however remains the same. The new online system takes care of mass emailing to members, with unlimited number of emails. No monthly payment required except for yearly minimal fee for maintenance service. This new online system to have a forum system integrated in Q1 2017. Page 3
5.4 Activities: They were numerous highlights of activities, the followings were some of the key highlights: 5.4.1 Ergonomics Risk Assessment at the Workplace: Throughout 2014 to 2016, HFEM and DOSH had been in collaboration to develop the first Malaysian Ergonomics Risk Assessment Guideline at the Workplace. The completion was targeted to be by end of Q2 2017. 5.4.2 Human Factors and Ergonomics Conference 2016 & ErgoCup 2016: HFEM organized the HUMAN FACTORS AND ERGONOMICS CONFERENCE 2016 together with the first ErgoCup which is the first ergonomics design competition with the theme of OPTIMIZATION of PERFORMANCE THROUGH HUMAN FACTORS AND ERGONOMICS INNOVATION. A total of 190 participants participated in the conference and ErgoCup. Participants comprised of mix of academician, students, safety and health practitioners including occupational health doctors, ergonomist, and industrial designers. A total of 6 plenary speakers and experts from Hong Kong and Norway and local practitioners shared their papers. A total of 22 papers comprising of physical and cognitive ergonomics theme presented. The competition was sponsored by Samsung Electronics with awards comprising of LCD TV, cell phone, microwave oven. 5.4.3 HFEMJ: In September 2016, HFEM had launched its first online journal namely Human Factors and Ergonomics Journal (HFEMJ). The journal comprises of original articles from physical to cognitive ergonomics. The volume can be downloaded from the website at http://hfem.org/human-factors-and-ergonomics-journal/ 5.4.4 SEANES Ergonomics Checklist Workshop: This program is the continuation of the SEANES Checklist workshop conducted in Bangkok in 2014. The revised version of the workshop will be presented in the 4 th SEANES International Conference On Human Factors And Ergonomics In South-East Asia (28 November 2016 to 1 December 2016), Indonesia. Progress updates and some suggestions put forward in the discussion of the reports and to be acted on going forward were as follow: 1- Professor Halimahtun suggested to benchmark HFES website system and contents for benchmark. Webinar content should also be considered. 2- SEANES Ergonomics Checklist will finally be in 12 individual booklets for each area. 3- Professor Halimantun suggested that SEGi to be involved in the SIG in Healthcare. 4- Professor Halimahtun and Professor Martin Helander agreed to lead SIG in HCI. 5- All agreed the membership validity should be based on the day one signed up for the membership. The membership numbers should remain the same regardless of the status of membership. 6- Professor Ravindra Goonetilleke gave a good idea of giving a free or discounted membership fee for a particular month. 7- Professor Halimahtun suggested HFEM consider giving out an annual award as a reward to HFEM members. A chair is needed for shortlisting and judging. 8- There is a need to have Malaysia s Certified Professional Ergonomist (MCPE) programs. The planning, benchmarking and drafting can be done using references from Europe, Japan, Australia and many other countries. Professor Halimahtun was nominated to take lead on MCPE development. The Report was fully endorsed by the attending members. 6. Financial Report The financial report was handed out to members during the meeting. The Report covered operations from 1 July 2015 and ended on 30 June 2016. The HFEM 2015/2016 account was internally audited by Mr. Mohd Ammar Samsu Rahman and Mrs. Fareena Zulfarena Mat Rasidi. Expenditures for organizing and co-organizing Human Factors and Ergonomics related activities with total expenditure of RM70,349.38 (including RM 20,000 for HFEM Conference s seed fun). The revenue from the activities organized and co-organized were RM 76,742.47 including the fixed deposit profit made during the fiscal year of 2015/2016. Page 5
The Report was endorsed by the attending members. 7. Appointment of new Vice President, Secretary and Treasurer. They were three resolutions for voting by show of hands by members. 7.1 Appointment of a new Vice President. Background: Dr. Ng Yee Guan has resigned from the position. There was a need to get a replacement. Results: Muhammad Syafiq Syed Mohamed was nominated by AP Dr. Shamsul Bahri Mohd Tamrin, and seconded by T. Hari Krishnan. Since there was no other contender. Muhammad Syafiq was elected unanimously. 7.2 Promotion of Khairul Nazri to fill in the Secretary position. Background: Norfarhatul Khalidah Abd Malek, the elected secretary, couldn t be contacted via all means of communication since early 2016 until AGM day. Results: The President suggested the Assistant Secretary to fill in the position. All hands agreed. Khairul Nazri was unanimously promoted from the Assistant Secretary to Secretary. 7.3 Appointment of new Treasurer Background: T. Hari Krishnan expressed an intention to be relieved from the post as he will be spending more time for his doctorate study. Results: After discussion with all attending members and the executives; T. Hari Krishan has agreed to maintain being the Treasurer for the society until end of the term. 8. Removal of 2010. To proceed as agreed in AGM 2015. No known progress under the responsibility of the Norfarhatul Khalidah. Page 6
9. Proposal on Student Chapter. It was suggested to have Student Chapter under HFEM so we have access to their fellowship and certification and to be part of the global network of ergonomics societies.
