Laurimar Football Club Organisational Structure

Getting the culture right Our objective is to create a fun and safe club atmosphere for our members by providing a supportive community environment, combined with professional club policies to enhance the experience of playing football. What can get in the way of developing an effective football club is the committee becomes a 'talking shop' and agreed actions are not followed through to completion. To counter this tendency, it's important to create a conscious culture of 'getting things done'. Going forward some basic ground rules for the committee will become standing principles. Principles for the Club Committee: Committee members are expected to fulfil their roles between meetings; the purpose of the meetings is to check on progress. Committee members have full authority to take all necessary actions to fulfil their allocated responsibilities. All reports must be circulated and read before the meeting, not at the meeting. They will be taken as read unless clarification required on any content within. Each committee member shares collective responsibility and ownership of agreed decisions, irrespective of their personal view or vote on the matter.

(i) President s To provide strong, efficient and effective leadership for the club. To ensure the club promotes the participation of the junior football teams at the highest level and that all junior members are given the highest level of coaching and competition to promote their development. Ensure the club is run efficiently administratively, financially and socially to support the on field activities. To provide support to the Executive and Committee members to ensure the efficient operation of the club. To provide a safe an enjoyable recreational environment for all club members and ensure all football activities are played in a competitive and fair spirit. Ensure sub committee s and committee members fulfil their responsibilities to the club. Preside at all meetings of the Club Committee. Report activities of the functional portfolio to the membership at the Annual General Meeting. Assist other Committee members in their duties as required. Undertake tasks at the request of the Executive or General Committee. Reports to the Members and General Committee of the Club. Acts as or ensure his/her delegate acts in the best interests of the Club at League, or Delegates Meetings. Supports all Managers, Committee Members and football staff. Liaises with official Club suppliers & other key stakeholders. The President is accountable to the Members, Executive and General Committee. Provide a report on portfolio operations to the monthly Committee meeting. Seek ratification from the appropriate Committee member prior to committing the Club to any financial expenditure or action.

(ii) Vice President s To oversee all football related matters across the Club. Provide leadership to all football coaches, players, support staff and volunteers. To provide support to the President of the Club. To provide support to the Executive and Committee members to ensure the efficient operation of the Club. Ensure the effective and efficient operation of the Executive and all football operations. Preside over meetings in the absence of the President. Ensure that all sectors of the Club football operations are managed effectively and efficiently so that on field performance is maximised. Oversee the football development program so that participation at junior levels is maximised. Ensure that all coaches and support staff are carrying out their duties as required. Oversee recruitment of coaches and players according to policies outlined by the Club Committee. Assist other Committee members in their duties as required. Undertake tasks at the request of the President, Executive or General Committee. Reports to the Club President and General Committee of the Club. Supports all coaches, players, support staff and volunteers. Liaises with the Executive. The Vice President Football is accountable to the President and the General Committee. Provide a report on portfolio operations to the monthly Committee meeting. Seek ratification from the appropriate Committee member prior to committing the Club to any financial expenditure or action.

(iii) Treasurer To ensure that a financial management system and reporting system is put in place and operable so the Club committee has an accurate, true and correct understanding of the financial status of the Club at all times. To provide support to the Executive and Committee members to ensure the efficient operation of the Club. Prepare the annual budget of the Club for presentation at the first Committee meeting of each season (draft budget formulated by the Club Executive Committee). Ensure all general committee members do not exceed authority for financial expenditure without approval. Attend to general banking activities. Maintain appropriate accounts of all income and expenditure and associated audit trails, e.g. receipts. Report monthly to the Club Committee on budget performance (Actuals to Plan). Flag any concerning revenue streams at the monthly committee meeting. Present all accounts for payment for approval. Report any membership payment issues to the committee Prioritise payment of accounts. Oversee and seek Revenue reports from all other accounts held by sections of the Club. Manage any funding exposures the club may take on. Ensure any surpluses are invested wisely after approval by the Committee. Ensure all taxation commitments are met by the Club. Issue tax certificates to employees as required under the Act. Ensure the Club finances are correctly audited (when appropriate) Report activities of the portfolio to the membership at the Annual General Meeting. Undertake tasks at the request of the President, Executive or General Committee. Reports to the Club Committee. Liaises with the Executive. The Treasurer is accountable to the President and the General Committee. The Treasurer shall seek ratification from the General Committee of a Club budget, and there after shall have the authority to act within the limits of the budget and strategy approve. The Treasurer shall provide a monthly report to the General Committee of all financial transactions.

(iv) Secretary s To ensure that appropriate administrative support is provided to the President, General Committee and sub committee s. To provide a whole of Club planning focus to ensure the overall efficient management of club functions. To manage business considered by the Club Committee. To provide support to the Executive and Committee members to ensure the efficient operation of the Club. Maintain tight governance and control over Committee Meeting agenda Agenda to be circulated no later than 2 days prior to meeting (late items closely scrutinised) Document meeting minutes within 5 days of meeting with clear actions and ownership Flag any overdue items owned by members of the general committee. Oversee all activities falling under the functional accountability of the Secretary Establish a planning calendar for the year (mid year performance review, budget reviews, revenue stream reviews). Provide a coordinating and support role for Club sub committees. Formulate the annual operating plan and manage its ongoing administration. Provide secretarial support to the Committee. Maintain an accurate copy of the Rules and By-Laws of the Club. Maintain a complete record of all activities of the Club. Receive all correspondence directed to the Club and distribute accordingly in a timely manner. Prepare and send correspondence in accordance with the direction of the President and Committee. Report activities of the portfolio to the membership at the Annual General Meeting. Prepare a comprehensive report of all activities of the Club for presentation to the membership at the Annual General Meeting. Assist other Committee members in their duties as required. Undertake tasks at the request of the President, Executive or General Committee. Reports to the Club Committee. Liaises with the Executive. Liaises with sub committee s. The Secretary is accountable to the President and the General Committee. Provide a report on any aspect of portfolio operations to the monthly Committee meeting. Seek ratification from the appropriate Committee member prior to committing the Club to any financial expenditure or action.

(v) Football Operations Manager To co-ordinate all off field football activities for the Clubs teams to ensure that all players and off field staff are provided with the highest level of support to enable them to compete and perform to the best of their ability. To provide support to the Executive and Committee members to ensure the efficient operation of the Club Assist other Committee members in their duties as required Undertake tasks at the request of the President, Executive or General Committee Pre Season Coordinate formulation of the Football Operational Plan. Appoint appropriate personnel, or ensure they are appointed, team managers, trainers, runners and other team support staff to ensure smooth running on game days. Negotiate all clearances and player registrations in accordance with the league rules During season Coordinate delivery of the Football Operational Plan. Liaise between players, coaches, Club Executive and General Committee. Ensure all equipment is available as required by Coaches and/or League and that it is in good working order includes match balls. Ensure all support staff are in attendance and are provided with appropriate equipment to undertake their specific role. Oversee the maintenance and management of all training and match equipment including goal post covers. Coordinate submission of running sheets and match reports after both home and away games. Ensure players attending League tribunal hearings are supported by quality advocates. Ensure equipment, e.g. jumpers and footballs owned by Club are retained by Club. Reports to the President and Executive. Supports the coaches, football support staff including team managers, trainers, runners, boundary umpires and time keepers

1. Coach To provide coaching expertise and leadership to their team which helps to achieve the overall aims and objectives of the Club. Develop/revise code of conduct for coaching staff and players that supports the objectives of the Club on and off the field. Establish as soon as possible a profile of all current players and development requirements Contact all current players as soon as practical after the completion of the previous season to outline plans for the coming season and their involvement Liaise with the Club Executive to appoint Assistant Coaches and team officials Manage the recruitment of players in consultation with the Executive. Develop and establish an appropriate pre season training program. Provide recommendations to the Club Executive on the recruitment of appropriate football support staff. Instruct the players placed under their care generally and to see that all players carry out sufficient training. Assist with the broader junior development where possible or appropriate. Provide game day coaching expertise and leadership. Attend Club functions as agreed Provide regular reports to the General Committee throughout the season Liaises with the Club Executive. Accountable to the Club Executive

2. Game day requirements committee Ensure the smooth running of all match day activities (pre, during & post game). Ensure all primary match day positions are filled. Includes trainers, runners, team managers, interchange steward, timekeeper, scoreboard attendant. Coordinate the execution of all home ground preparations (lining, padding, sponsor signage) Work with respective Team Managers to ensure all match day roles are filled not limited to; - Trainers - Runners - Water Carriers - Interchange Steward - Scoreboard Attendant - Umpire Escorts Ensure sufficient stocks of club medical supplies for trainers Ensure post game activities are planned, including awards. Reports to the President. Liaises with the Club President and Secretary. Accountable to the President.

3. Player Liaison Act as the liaison point between the Committee and Playing Group (excludes any on field / playing related issues which are the responsibility of the Coach). Act as a conduit between the playing group and Committee, reporting any systemic playing concerns throughout the season Act as an intermediary in any player / parent disputes / concerns Driving player attendance at Social Functions throughout the year Work with Membership Manager to ensure all player subscriptions / registrations are paid in full by Game 1 of Season Reports to the President & Secretary Liaises with the Club President and Secretary. Accountable to the President

4. Team Manager Act as the liaison point between the Committee and Playing Group (excludes any on field / playing related issues which are the responsibility of the Coach). Act as a conduit between the playing group and Committee, reporting any systemic playing concerns throughout the season Driving player attendance at Social Functions throughout the year Work with Membership Manager to ensure all player subscriptions / registrations are paid in full by Game 1 of Season Reports to the President & Secretary Liaises with the Club President and Secretary. Accountable to the President

5. Social Coordinator To establish a broad social calendar for the season and end of season to provide a range of appropriate entertainment for all Club members and to enhance the appeal of the Club to the wider community. To provide support to the Executive and Committee members to ensure the efficient operation of the Club Appoint a social sub committee to program and organise social events for the Club. Present Social Calendar @ first Committee Meeting of each season Publish a calendar of social events that will attract the widest involvement form all members of the Club prior to the commencement of the season. Liaise with nominated event organisers to ensure all planning/ticket sales are on schedule. Ensure that all social events held are at least cost neutral to the Club. Provide pre-event budgets to the treasurer Assist other Committee members in their duties as required Undertake tasks at the request of the President, Executive or General Committee Reports to the President and General Committee Liaises with all relevant committee members and any person responsible for and or running any social event under the Club umbrella Liaises with official Club suppliers & other key stakeholders The Functions & Events Coordinator is accountable to the President and the General Committee. The Functions & Events Coordinator shall seek ratification from the General Committee of the social calendar including financial arrangements and shall there after have the authority to act within the limits of that arrangement Provide a report on portfolio operations to the monthly Committee meeting

6. Sponsorship To maximise the number of sponsors supporting the Club and to maximise revenue from the sponsorship base. To manage the relationship between the Club and sponsors to ensure that all sponsors are serviced to a high level and are retained on a long term basis. To provide support to the Executive and Committee members to ensure the efficient management of Club sponsorship activities. Develop a proposal, for ratification by the Committee, for sponsorship packages to be offered by the Club. Formulate a sponsorship budget in advance of each season Report Actuals to Budget at each Committee Meeting Co-ordinate all sponsorship for all areas of the club. Meet the sponsorship budget target set as part of the annual financial planning process. Ensure all existing sponsors are contacted three months prior to the season commencement Seek out new sponsors to supplement existing sponsors. Attend to the game day activities for sponsors Ensure all sponsors with appropriate package are provide membership apparel (embroided with sponsor name) Ensure sponsors signage is in place and all other aspects of sponsorship packages are in place prior to the commencement of the season. Arrange a sponsors dinner (as part of the annual luncheon) at an appropriate time of the year. Ensure all sponsorship agreements are honoured. Maintain contact with all corporate sponsors throughout the season. Maintain strong relationships with all Club sponsors. Reports to the President & Club Secretary. Liaises with Sponsors. Supports Sponsorship coordinators and any person responsible for providing services associated with sponsorships. Sponsorship Coordinator is accountable to the President and the General Committee. Provide a report on portfolio operations to the monthly Committee meeting Seek ratification from the appropriate Committee member prior to committing the Club to any financial expenditure or action. The Sponsorship Coordinator shall seek ratification from the General Committee of sponsorship packages offered by the Club and shall thereafter have the authority to act within the limits of the packages without reference to the General Committee.

7. Bar Manager/ process Provide bar facilities to Club members & visitors on match days and functions. To ensure a safe and comfortable environment for club members through the implementation of the Responsible Management of Alcohol policy. Ensure that bar operations are managed efficiently to meet budget requirements. To provide support to the Executive and Committee members to ensure the efficient operation of the Club. Provide bar services for all functions and events as required by the Committee. Coordinate bar staffing for all bar operations. Ensure appropriate licences are held by Club and displayed as required. Manage the sale of liquor in accordance with the provisions of the Liquor Control Commission licence as held by the Club. To account for all purchases and sales of liquor. Ensure sufficient supplies of liquor is available to meet the needs of all Club members and visitors. Implement the Club Responsible Management of Alcohol policy. Assist other Committee members in their duties as required. Undertake tasks at the request of the President, Executive or General Committee. Reports to the Club Committee. Liaises with the Executive. Liaises with official Club suppliers & other key stakeholders. Accountable to the Club Executive & Committee. Provide a report on any aspect of the portfolio operations to the monthly Committee meeting. Seek ratification from the appropriate Committee member prior to committing the Club to any financial expenditure or action.

8. Canteen Operations To provide an appropriate canteen service at all home games and at other times as agreed. 9. Registrar To provide coordination of Club membership activities. Scope of Membership Function include; - Life Membership - Player Registration / Subscription (treated as player membership to club) - 500 Club - Player Sponsorship Package - General Membership Packages Junior Registration Day Ensure Life Members receive their memberships prior to the commencement of the season. Life Member tickets are allocated in ascending order in accordance with the age of each member, i.e., the oldest Life Member has the lowest card number. Player Sponsorship support General Membership Packages Develop and maintain strategies for the ongoing expansion of the membership base of the Club. Develop proposal for membership fees and arrangements for the ensuing season for consideration by Club Committee. Liaise with stakeholders to ensure membership fees reflect current opinions of various sections of the Club. Provide to the Committee as soon as possible after the completion of each season with recommendations for all membership types and fees for the ensuing year. Ensure that tickets and related membership data are prepared for distribution. Assist with the collection of membership fees from players and general members. Junior Club Development Officer Introduction The objective of the Junior Development Officer (JDO) is to ensure the continued development, promotion and advancement of junior football and players within the club. A key aim of the JDO is to maximise the opportunities for young people to play football and be involved in the game to the maximum of their potential and enjoyment. The JDO must be committed to ensuring that football development programs are conducted to maximise the numbers participating and supporting football and enable young footballers to achieve their highest potential. Aim of junior football development to be committed to ensuring the continued development of junior players and the junior football components of the Club from Auskick through to club eighteen to provide all juniors with the best possible opportunity to develop their skills to foster a sense of team spirit and responsibility in junior player to co-ordinate the provision of training and coaching resources to junior coaches and teams assist with the provision of advice, support and guidance for junior players that may require additional assistance beyond the average player identify those juniors that require specific skill training to assist in their development identify and assist those players of outstanding potential in furthering their careers. Specific roles and responsibilities Conduct of the Junior Club Clinics Liaise with club Auskick Program and provide support and assistance to the Auskick Coordinator as necessary. Coordinate the attendance at junior (under 9 and up) teams training and matches of masters players to assist junior coaches and ensure the maintenance of a high profile and level of support for the junior players. To promote the Club s junior coaching developmental philosophy to all coaches and key personnel involved in all junior and Auskick Programs. Coordinate the provision of training and coaching resources (such as videos and other instructional / educational information) to the junior coaches and teams.

16. Council Liaison s To establish and maintain a strong and healthy working partnership with local government. To ensure clubrooms and oval remain at the highest possible standard at all times Approach to Council Liaison Get to know the council staff through councillors, senior officers, recreation and maintenance staff. Invite them to club functions and get them involved e.g. ask them to present trophies and show appreciation for services they provide. Help the councils with issues that affect your club either directly or indirectly. Get your club involved in holiday programs run by the council. Always portray the council positively and praise them whenever possible, such as in local newspapers. Approach problems constructively and seek 'win-win' solutions. Encourage ethnic groups to participate in club activities. Involve councils in programs run by the club, e.g. alcohol management program. Be on good terms with neighbouring sporting clubs and houses adjoining the football club. Provide free tickets to games, etc. (Complaints to council may tarnish the club's image). Appoint a member of the committee as a council liaison representative.
