9 Meeting Date: April 4, 2017 Item Number: 0 15 To: From: AGENDA REPORT Honorable Mayor & City Council Therese Kosterman, Public Information Manager Subject: AMENDMENT NO. 1 TO AN AGREEMENT BETWEEN THE CITY OF BEVERLY HILLS AND REDBRICK CORP. DBA DESIGN PRINTING FOR PRESSIONAL PRINTING AND MAILING SERVICES Attachments: 1. Amendment No. 1 RECOMMENDATION Staff recommends that the City Council approve Amendment No. 1 to the contract with Redbrick Corp. DBA Design Printing to continue providing printing and mailing services for the City. The amendment will increase the consideration amount of the agreement by $30,000 for a total not-to-exceed amount of $80,000. INTRODUCTION During Fiscal Year 2016-2017 the Communications Division has been asked to send out a multitude of citywide mailers, including meeting notices, for an unusually large number of events. This includes performing outreach for the Santa Monica Boulevard Reconstruction Project, the Purple Line Extension construction in Beverly Hills and other projects. These mailers are in addition to the quarterly newsletter. As the original intent of this agreement was to cover the costs only associated with printing the quarterly, citywide newsletter, the contract has now reached its not to exceed limit of $50,000. DISCUSSION On August 22, 2016, The City and Design Printing entered into a three-year contract with a not to exceed of $50,000. This agreement allows the Communications Division to have the quarterly, In Focus newsletter designed, printed and mailed out to City residents. The funds available in this contract have been exhausted as it has since been used for a multitude of unexpected citywide mailings for construction related projects, notifications of public hearings, and other mailings. Amendment No. 1 will increase the original contract by $30,000 for a total not-to-exceed amount of $80,000. This amendment will provide funding so citywide mailings conducted by the Communications Division can continue. Page 1 of 2
