4. APPROVAL OF MINUTES i) Minutes October 28 th, 2015. The minutes of the 200 th Anniversary Joint Committee Meeting held on October 28 th, 2015 were approved as circulated. 5. DELEGATIONS AND PRESENTATIONS None. 6. BUSINESS i) Historical Map Launch. Councillor Gail Code reviewed plans for the Historical Map Launch, to take place Friday, January 8 th, 2016, at the Civitan Hall, Perth, from 1:00 to 4:00 p.m. There will be display tables by each municipality, the legacy farm project, Lanark Tourism, local historical societies and museums. The agenda includes the first hour as open circulation; a 2:00 p.m. presentation by Barrie Crampton on the Historical Mapping Project, followed by greetings from the four municipal representatives; then networking/displays until 4:00 p.m. The Civitan will run a cash bar. Noelle Reeve and John Gemmell will follow up with their contacts about having interested high school students attend. ii) Joint Marketing and Promotion Committee Update. Amber Hall is drafting a joint media release Buy into History about the various Anniversary-related souvenirs available for Christmas gift-giving. The release will include photos of the items and locations where they are available. iii) Perth Blast from the Past - Dignitaries Invitation. Cathy James updated invitation to dignitaries as discussed at the last meeting. Each municipality is to provide addresses for past reeves/mayors and anyone else to receive a mailed invitation. The mailing will occur after the Historical Map Launch to avoid confusion. iv) Joint Events and Marketing. Noelle Reeve confirmed the events to be promoted as joint events: the map launch, Perth s Blast from the Past, Drummond/North Elmsley Heritage Day, Tay Valley Township s Settlers Heritage Day, plus an event to be confirmed by Beckwith. Municipal organizers should contact the Joint Marketing and Promotion Committee with ideas for joint promotional activities. Festival of the Maples (April 29, 2016) is not an Anniversary event, but the Committee was asked if there should be an Anniversary promotional table Page 5 of 11

there. The Committee agreed, so Noelle Reeve will take this item back to the Joint Marketing and Promotion Committee for action. The Copyright registration for the 200 th Anniversary Joint logo was received from the Canadian Intellectual Property Office attached, page 7. There was discussion regarding authorized use of the Anniversary logos. Perth and Tay Valley Township are using applications to control access and use. Drummond/North Elmsley will adopt a similar process. Susan Freeman encouraged anyone planning to wear heritage costumes to the Anniversary events to find Regency styles that would be authentic to 1816. v) RCMP Musical Ride. Shannon Baillon confirmed that the RCMP has offered June 18, 2016, for a Musical Ride in Perth. Three area groups had applied: Lanark Alzheimer Society, Perth Fair, the Town of Perth. The Perth Fair Board has committed to meeting venue and RCMP requirements, with such costs to be reimbursed from the revenues. There was discussion on whether the 200 th Anniversary Joint Committee wishes to participate in the organization of events around the Musical Ride. RESOLUTION #2015-J200-21 MOVED BY: Jennifer Dickson SECONDED BY: Gail Code THAT, the 200 th Anniversary Joint Committee not participate in the organization of the RCMP Musical Ride event (June 18, 2016), but will promote the event using existing media outlets, at no additional expense. ADOPTED 7. NEW/OTHER BUSINESS i) 2016 Meeting Schedule and Locations. It was agreed to meet bi-monthly on the 4 th Wednesday, beginning February 24, 2016. Meetings will begin at 1:00 p.m., and locations will rotate according to the schedule in (8) below. The December meeting will be on the 2 nd Wednesday rather than the 4 th. ii) Quilt Poster. A proposal to produce framed posters of the Anniversary quilt was referred to Kay Rogers to investigate costs. Page 6 of 11

iii) Advertisement for Perth Chamber of Commerce Visitor Guide attached, page 8. RESOLUTION #2015-J200-22 MOVED BY: Jennifer Dickson SECONDED BY: Gail Code THAT, the draft Joint 200 th Anniversary advertisement prepared by Annie Dalton be amended with the insertion of the Canada wordmark, and approved for use as the back page of the 2016 Perth Chamber of Commerce Visitor Guide. ADOPTED iv) Bike Tour. Councillor Gail Code advised that she had received a proposal for a bicycle tour with routes of various lengths, to be held August 20, 2016. Cathy James will help connect the organizer with an Ottawa group that does a bike tour from Perth into the countryside, about the same time, to see if they can coordinate efforts. 8. FRAMING THE ANNIVERSARY QUILT PHOTO I ve consulted with David Zimmerly about enlarging the photo of the 200th anniversary quilt for framing. I also consulted about the credit to the Lanark County Quilters Guild as well as David as the photographer. You will see from the attached image, David has put a black border around the photo of the quilt and added the caption The Lanark County Quilters Guild made this quilt in honour of the 200th Anniversary of the Perth Military Settlement in 2016. Photograph courtesy of David Zimmerly. As the map of the Perth Military Settlement in the quilt identifies the 4 municipalities, I suggest there is no need to name them in the caption. David and other artists such as Aili Kurtis recommend having the image printed on canvas rather than photo paper. That would look more like a quilt material on material as it were. David uses the gicleefactory (Quebec City): http://thegicleefactory.com/pricelist.htm According to David, the stretcher is good and sturdy at 1-1/2 or 1-3/4. This price is more competitive that what we can get locally. Basically, since this is their niche market, their prices are lower and their quality top notch. Many people simply hang the stretcher frame. However, there are several advantages to framing it particularly because it will be hanging in a public building not a private home. First it will give the image more definition it will pop as it were. It will help protect the canvas. Plus, when it is moved for painting a wall or whatever other reason, it is less likely to be damaged. Jeff at Perth Picture Framing has offered a 20% discount to frame the images in a black floater frame. This quote is based on an order of 4. The size would be 24 inches wide x 27 inches high plus the frame. * This is based on a 24 x 28 inch stretcher frame. I did not request a quote for a 24 x 27 inch stretcher frame. FYI, the cost of having the photo printed on paper & framed would be almost the same approx. $250 plus. If the Joint Committee wishes to proceed, David Zimmerly will provide the image as a TIFF which is much higher resolution than the attached JPEG. Acknowledging Canadian Heritage Contribution Acknowledgement is required only for those events and activities for which funding was received from CH, and is needed for the promotion materials, advertising, invitations, and related launches for these activities, as well on the funded items such as interpretive panels. For most uses, just the Canada Wordmark (shown in the CH and Canada links below) will suffice, without any text in French and English, on the basis that space is limited. This should cover most promotion materials, and hopefully plaques, etc., but if you have an item for which you are not certain, please have it checked. No acknowledgement is required on the volunteer T-shirts. A book funded by the contribution needs both a disclaimer and an acknowledgement - as outlined in section 6.2 of the CH acknowledgement page - see link below. Websites: the Wordmark should be included on the four municipal 200th anniversary website pages, along with the other donors. I can't see how it would be required on the County anniversary website. For plaques and interpretive panels, CH would like to see the design and the size, and whether other donors are being acknowledged, before advising about the type of acknowledgement expected. I believe that this refers to the Settlers Trail signage (for Beckwith, TVT, and DNE), and the Balderson panel. I suggest that the design just include the Wordmark to start - hopefully that is all that will be required. It should obviously be as prominent as any other logo. The joint promotion materials funded by the CH contribution should have an acknowledgement. Perhaps, Canadian Heritage could be acknowledged where appropriate in interviews and onstage presentations.
