ASSOCIATION OF CANCER EXECUTIVES 2017 ANNUAL MEETING * CALL FOR PROPOSALS * We are thrilled to have your interest in submitting a proposal to be a part of the 23rd ACE Annual Meeting to be held in Austin, Texas at the Sheraton Austin Hotel at the Capitol from January 18-January 20, 2017. This will be one of the most comprehensive conferences for Oncology Administrators. The meeting consists of two days of educational sessions and several opportunities for networking throughout the meeting. Proposal Submission Deadline and Review Process Proposals will be due to ACE HQ via email to Brian Mandrier, ACE Executive Director at bmandrier@hauck.com by June 10, 2016. Session Proposal Criteria: Originality of material Timeliness of information Level of sophistication Specific learning objectives Practical application of materials Importance of topic Qualifications to present topic Level of interactivity Suggested Session Topics (The ACE Education Committee and Membership have identified the following topics. PLEASE USE THE SPACE BELOW TO PROVIDE ANY ADDITIONAL INFORMATION OR DETAILS ABOUT THIS SESSION THAT MAY ASSIST IN OUR CONSIDERATION Audiovisual Needs ACE will provide the following basic audio-visual services: LCD projector, PC laptop computer for presentations, a microphone, podium and head table for panels. Additional equipment may require additional costs and ACE reserves the right to make final determination regarding all Audio-Visual requests. If your proposal is accepted ACE staff will confirm your audio-visual needs. Presentation Submission ACE requires session presentations be submitted via email to ACE HQ by Friday, January 5, 2017. ACE will be linking all speaker bios and presentations to the meeting app prior to arrival of attendees at the Annual Meeting. *ACE will only accept one proposal per person and/or company. Speaker Reimbursement Please be aware that you must agree to ACE s reimbursement policy to be accepted as a speaker. The following stipulations are required: ACE will reimburse Speaker(s) for the following: Honorarium a $500 honorarium will be given for each general session (to be divided if there is a panel) Pre-Conference Workshop Speakers and Breakout session speakers will not receive an honorarium. Lodging at the conference hotel or nearby accommodation (at the same or lesser rate) for 1 night. Incidentals (such as dry cleaning, minibar, movies, etc.) are the responsibility of the speaker. ACE will make lodging arrangements for speaker. Coach airfare to and from speaker s home city, with expectation airfare will be approximately $600 for round-trip travel within the United States. unable to meet this requirement, airfare must be pre-cleared with ACE staff prior to purchase. For special circumstances, please contact ACE to discuss. Speaker will make own air arrangements. Ground Transportation and Airport Parking to and from speaker s home or place of business and AUS. Speaker will make ground transportation arrangements not to exceed $150. Ground transportation to and from the conference hotel and an airport reasonably nearby. ACE will not reimburse for a rental car. Meals while in transit and the day of the speaking engagement. $75 total per day for all meals. Speakers will have 45 days from the completion of their presentation to submit an invoice for reimbursement, which should include detailed copies of all receipts. ACE will consider any request for reimbursement waived after 45 days from the speaking engagement as the conference budget will be closed.. ACE will reimburse speaker within 30 days of receiving reimbursement invoice conforming to this agreement.
