Working the Bump List Overview Introduction A Bump List allows you to reschedule appointments that have been bumped due to changes in the provider s schedule. The Bump List contains information about appointments that were cancelled for one of two reasons: 1. The provider s schedule was edited due to scheduling conflicts, vacation, meetings, surgery, etc. 2. Bumped Appointments When a provider changes a schedule that results in the removal of patient appointments, the system places these patients on the Bump List. The Bump List allows schedulers to keep track of the bumped appointments that have not been rescheduled. Once a patient is contacted, and the appointment is deleted from the Bump List, either manually or by rescheduling the appointment, the appointment no longer appears on the Bump List. When a provider cancels an appointment, it is considered a Bumped Appointment - not a Canceled Appointment. Appointments being bumped should not be canceled and rescheduled they should be bumped and rescheduled. 2
From the Bump List you can perform the following actions: Reschedule an appointment Delete an appointment from the Bump List Add a Note to a Bump List entry View the Appointment Detail Screen for the Bump List entry Filter the Bump List entries Print the online Bump List Viewing and Sorting the Bump List When you first access the Bump List, you must filter the Bump List using the Bump List Settings Screen. Unlike the appointment settings for Appointment Manager and Provider Schedules, the settings for the Bump List are not saved. Example: Bump List Settings Screen 3
Accessing the Bump List Steps for accessing the Bump List: 1. Access from the VTB (Vertical Tool Bar). 2. Click from the HTB (Horizontal Tool Bar). Example: GE Workplace 4

4. At the prompt select either: a. (Date when the appointment was bumped) b. (Date of the original appointment) The system defaults to, and supplies the earliest and latest dates a Bump List entry exists. 5. At the prompt (depending on the choice selected in the prompt) enter the date to begin looking for bumped appointments, a. Date of the appointment(s) or b. Date appointment(s) were bumped Examples: If you chose to look-up the bumped appointments by Bump Date, and you edited Dr. Smith s February 10 schedule on January 3, the date entered at is January 3. If you selected for the bumped appointments to be booked by Appointment Date, and you bumped the appointments for Dr. Smith s February 10 schedule on January 3, the date entered at is February 10. 6
Click to view dates that have Bump Lists. Example: Bump List Settings Screen Bumped Date Search button The system displays a list of dates that have been bumped. Select the bumped date and click. If the date of the bumped appointments is known enter the date or click the calendar and select the date. 6. At the prompt, enter the date for the system to stop searching for bumped appointments, or use the calendar to select a date. 7
7. At the default Selection Criteria is Department/Provider. 8. At click to view a list of valid departments. Select the desired department and click. The selection appears in the box. An additional option is to enter the department name, number, or mnemonic. 8
9. Repeat for the departments you want to include. 10. You can select multiple departments, providers, and locations. To add a location to the Selection Criteria, click in. 11. To remove an item from the Criteria, click on the item and click. 12. Complete the Selection Criteria and click 13. The system displays a selector list of appointments on the Bump List. Bump List: Reschedule Function Description Provides ability to an appointment from the Bump List. Highlight an entry from the Bump List and click. The New Appointment Screen displays and allows you to follow the standard procedure for scheduling an appointment Note: When an appointment is from the Bump List, the system makes a note in the Appointment History regarding the newly scheduled appointment. The system also makes a note in the Appointment History of the rescheduled appointment indicating the appointment was rescheduled from the bumped appointment. Example: Bump List 10
Bump List: Delete Function Description This function provides the ability to delete an entry on the Bump List. Highlight the entry and click prompt to confirm to delete the entry.. The system will The system prompts to: Example: Bump Delete Comments 11
Note: The Appointment History, viewable from the Appointment Details Screen, displays the date of deletion from the Bump List, as well as the user who performed the deletion. The Delete Comment is also stored with the appointment in the Appointment History. Example: History for Appointment 12
Bump List: Notes Function Description Provides the ability to add a note to a Bump List entry. Select an appointment and click. The system automatically adds a time and date stamp with your username. Example: Bump List Notes 13
Note: The note is stored in the Bumped Appointment History, viewable from the Appointment Details Screen. The Bump List History stays with the appointment, even if the appointment is deleted or rescheduled from the Bump List. Example: History for Appointment 14
Bump List: Actions From available: on the Bump List Screen, the following options are Function Description Displays the Appointment Detail Screen for the appointment selected. Bump List: Field Descriptions Example: Bump List Column Header Description Patient s names for appointments that were bumped. Date the patient s appointment was bumped. Original appointment date. Original time of patient s appointment. Original type of appointment patient was scheduled. Provider of the original appointment. Department where the original appointment was scheduled. 16
Column Header Description Location where the original appointment was scheduled. The Y displaying in the column indicates that the primary appointment has a Resource, Linked, or Ancillary Appointment attached. By selecting the and the following screen displays: Highlight. The Appointment Detail Screen displays: Home Telephone Number entered in Registration Alternate Phone Number entered in Registration Appointment Number assigned by the GE system The GE Medical Record Number (MRN) assigned by the GE system to the patient Patient s date of birth (DOB) The Y displaying in the column indicates that the master scheduler entered a reason that clinic was bumped. To view the reason click and. Rescheduling a Bumped Appointment from Patient s Appointment List You can reschedule a bumped appointment from the New Appointment Screen. Example: New Appointment Screen Steps to use for rescheduling a patient from Patients Appointment List: 1. Select the bumped appointment from the from the New Appointment Screen. 2. Click and select 3. The appointment information will default to the top of the New Appointment Screen to make the new appointment. Note: This will also remove the bumped appointment from the On-Line Bumped Appointment List. This feature is also available on the Appointment List Screen on the Vertical Tool Bar (VTB). 20
