Gree ngs from the President December 2014 First of all I would like to wish everyone a Merry Christmas and a Happy, Prosperous New Year. Also I want to thank everyone who has volunteered and/ or participated in our activities this year. It has been a great year for shows and activities despite the weather which put us to the test getting things done sometimes. There are a couple of exciting things I want to mention to you all. As you know NAC of ADA is having our annual holiday party AFTER the holidays. Debbie Carson has graciously offered to be our hostess again and the affair is set for Jan 10 th at 6pm. We are still working out the details so watch for emails coming in the future. Second item is nominations for the board of directors for next year. As I said before we have a number of members who have paid their dues and wish to step down totally or step back from officer positions. The criteria for board members have been outlined in the minutes. The by-laws are also going to be included in this newsletter so you can read about the board/officer jobs. It is important to note the board is simply the guide and facilitator for club activities. Those activities happen because of the volunteers, who are not necessarily board members, but who are willing to do what needs to be done. We need folks to step up and be on the board. The board will then decide who the officers will be or, as in years past, who is willing to do the job. I have been hearing rumors about some folks being interested but they have not stepped out of the shadows YET. The nominating committee is the current board. Please contact any one of us with your nomination (you can nominate yourself) by Jan 10, 2015. We will even accept nominations at the party. A ballot will then be prepared and mailed out to the membership and voting will be done and votes counted at the annual membership meeting Feb 24, 2015. Finally I want to make you aware, if you did not get the USEF email, about a new program called On the Levels. It is only $20/yr. to watch riders doing tests at all the levels. There are rated judges and professional trainers doing the commentary during the videos. You can even watch the judges scoring the tests and their comments. What a great training tool!!! My only criticism (personally) is that these are very good riders on very good horses. It may not necessarily show your average amateur rider on an average horse. What little I have watched is more a demonstration of what a good rider on a good horse should look like. That is not a BAD thing. It shows a standard to which we should all aspire probably. Yes it is time for the annual NAC of ADA Holiday Party BUT This year it is AFTER the Holidays January 10, 2014 6pm Debbie Carson s home 3257 Chipmunk Dr, Prescott (across the road from American Ranch) This will be a catered event for members and 1 guest/spouse Other friends and non-members are welcome but there will be a charge RSVP will be required We want to give back to our members for all the years and hard work to make NAC of ADA the success that it is. Minutes of the Board December 3, 2014 Location: Lynn Simpson s house, Chino Valley Present: Linda Roth, Joyce Cecchini, Michele Renner, Emily Dolan, Lynn Simpson Not present but in contact by phone: Jack Tismeer, Cue Crampton, Sondra Wilkening Meeting was called to order at 5:50. Linda moved and Joyce seconded that the minutes of the November meeting be approved as published. Linda gave the treasurer report with a bank balance of $7257.89 with only a couple of bills outstanding. Joyce gave a P/L statement for the show program for 2014. Funds collected $1170 with another $300 still outstanding. Printing $627.39, postage/mailing $73.69. Income from program $491 plus?$300 if collectable. The first item of business was to decide on a nominating committee. It was unanimously agreed that the board members would be the nominating committee. The deadline for nominations will be Jan 10, 2015 at our club Winter Party. The date for the annual membership meeting will be Feb 24, 2014 and will be held at Lynn Simpson s house. Lynn will be sending all the current members of NAC more detailed information about nominations but the main items are as follows: Board members must be ADA/NAC members in good standing The elected board members decide who the officers will be once the new board is formed. The current need is for members who willing to take on officer positions if elected to the board. Several of the current board members are willing to stand on-board in 2015 to help mentor/buddy new members and help transition new members. The board is the guiding influence for the membership. Club activities depend on volunteers to make events happen. Jobs like show secretary, show manager, newsletter editor, website manager, education promotion, advertising and sponsorship coordinator, etc. can be done by any member who is willing to take on the task Sondra is working on the catering plans for the party Jan 10 th at Debbie Carson s home. This will be a catered buffet affair open to all NAC of ADA MEMBERS and their spouse /significant other. Non-members may attend but they will have to pay?/ person (depends on club cost). There will be a white elephant exchange which is an annual FUN event. More info to follow Finally we discussed ideas for the future of the club. One idea was to only have one mid-summer show next year. Perhaps it could be a 2 day show with regular dressage one day and a full day for western and gaited dressage if the number of entries supports it. The second idea was to spend more effort and time doing educational programs and clinics. That is a wide open area. One of the issues with the big ADA sponsored clinics like Conrad Schumacher, Hilda Gurney, and Jan Ebeling etc. is the cost to participate and the distance to travel. So we are looking for ideas to promote more educational opportunities locally. We are a club of primarily amateurs with limited funds so we have to work from that point of view. Following is a relevant excerpt from the NAC ByLaws Re the provisions regarding Officers. The full text of the ByLaws is posted on the NAC web site. ARTICLE VI: OFFICERS Section 1. Officers. The officers of the Chapter shall be a president, at least one vice president, a secretary, and a treasurer, each of whom shall be elected by the Board of Directors. Only members of the Board of Directors shall be eligible to the office of president or vice president. Such other officers and assistant officers, as may be deemed necessary may be elected or appointed by the Board of Directors. Any two or more of the offices may be held by the same person except the offices of president and secretary. Section 2. Resignation and Removal. Any officer of the Chapter may resign at any time by giving written notice thereof to the Board of Directors. Any officer may be removed by a majority vote of the Board of Directors. Section 3. Vacancies. A vacancy in any office may be filled by a majority vote of the directors in office for the unexpired portion of the term. Section 4. President. The president shall preside at all meetings of the Board of Directors and shall be charged with the general supervision, management and control of all business and affairs of the chapter. The president shall sign any contract or other instrument which the Board of Directors has authorized to be executed, except where required by law to be otherwise signed or executed. The president shall appoint an officer or other member to be responsible for reporting to The Arizona Dressage Association Board of Directors the details of the Chapter s activities. Section 5. Vice President. The vice president shall act as president in the absence of the president and shall have such further duties as shall be assigned by the president or the Board of Directors. Section 6. Secretary. The secretary shall keep the minutes of the meetings of the Board of Directors, be custodian of the chapter s records, and perform such other duties as from time to time may be assigned by the president or the Board of Directors. Section 7. Treasurer. The treasurer shall have charge and custody of all chapter funds and shall keep records in books belonging to the chapter full and accurate accounts of all receipts and disbursements, and shall render to the president and directors at the meetings of the Board or whenever requested by them an account of all his transactions as treasurer and of the financial condition of the chapter. The finances of the Chapter shall be kept separate from those of The Arizona Dressage Association. The Treasurer shall send a year end report to the Arizona Dressage Association Treasurer for tax purposes. Section 8. Compensation and Expenses. Officers shall serve without salary. Expenses incurred in connection with performance of their official duties may be reimbursed to officers upon approval by the Board of Directors.
