GUIDANCE NOTES AND FAQ FOR ONLINE ENROLMENT PASSPORT AND VISA INFORMATION This guidance is provided by the Immigration Service to assist with the passport and visa screens of the online enrolment form. If you are experiencing technical difficulties while trying to complete the form, or have questions about any of the other sections, please email enrolment@warwick.ac.uk for help. On this screen enter your passport details and select your visa type. Some of your passport information may already be included please check everything carefully. Click the arrow on the visa type box to reveal a list of possible visa options then select the type of visa which you hold. If you applied for a Tier 4 visa from outside the UK and have been issued a 30 day travel visa select Warwick Tier 4 Temporary Travel Visa. You will need to collect a Biometric Residence Permit (BRP) card after arriving in the UK. If you were given a special code in your CAS which you used when you applied for your Tier 4 visa, your BRP card should be delivered to the University. If you applied for a Tier 4 visa from inside the UK and have been issued with a BRP card, select Warwick Tier 4 Student visa (SLN NUM) as your visa type. On this screen enter details of your visa. Select dates using the calendar icon. If you applied for a Tier 4 visa from outside the UK and have been issued a 30 day Temporary Travel Visa, enter the start and end dates of that. Copy and paste the CAS number used to obtain your current Tier 4 visa. FREQUENTLY ASKED QUESTIONS TIER 4 (ISSUED OVERSEAS) I have successfully applied for a Tier 4 visa from overseas but my passport contains a visa vignette valid for only 30 days, why is this? Changes introduced by the Home Office in spring 2015 mean that successful Tier 4 applicants will no longer be issued with a visa inside their passport which is valid for the duration of their course but will instead receive a visa vignette valid for 30 days (referred to as a temporary travel visa ) which can be used to enter the UK, and a decision letter confirming the grant of leave. On arrival to the UK you will need to collect a Biometric Residence Permit (BRP) card within 10 days which contains full details of your immigration permission. Do I need anything else besides the travel visa to enter the UK? Yes. You will need to carry the Home Office decision letter along with your passport and travel visa.
What should I do if I cannot travel to the UK before my travel visa expires? If you are certain that you cannot arrive at the University before your course start date (or latest start date where one is stated on your CAS), then you will need to apply for a replacement travel visa to enter the UK. You can do this by contacting the visa application centre which issued your vignette. Do not attempt to travel to the UK using a 30 day travel visa which has expired. If you are unable to arrive by the course start date specified on your CAS then you must contact the University admissions team immediately for further advice. Never travel to the UK after your course has started as you may not be permitted to join your course. Can I complete online enrolment using the temporary travel visa? Yes. Choose temporary travel visa from the list of available visa options on the passport page. For visa number, enter the number in the top right hand corner of the travel vignette and give the validity dates as the start and end date of the travel visa. Can I become fully enrolled and collect my Warwick student ID card with only the travel visa? No. Although you can complete online enrolment using your temporary travel visa (we would encourage you to do this in order to avoid delays later on), you will need to present your passport and BRP in order to become fully enrolled at Warwick. If your CAS contained an Alternative Collection Location (ACL) code for Warwick and you used this in your visa application then your BRP card should be delivered to the University of Warwick for you to collect during campus enrolment. You will receive an email from the Immigration Service once your BRP card has been received advising you when and where to collect your BRP card. If you did not use the ACL code then you will need to collect your BRP card from the UK Post Office branch stated in your decision letter within 10 working days of your arrival in the UK. You will need to present your BRP card to the University along with your passport in order to become fully enrolled and collect your Warwick student ID card. I am trying to complete the visa section of the online enrolment form but the fields already contain data about a Tier 4 visa what should I do? If you used the Alternative Collection Location (ACL) code for Warwick in your visa application we may well receive your BRP card before you arrive in the UK. As part of the process we will enter the BRP details into your student record which will populate the visa section of the online enrolment form. If you see information about a Tier 4 visa when trying to enrol online this just means that we have received your card and have updated your information; you can just confirm the details onscreen are correct and complete the rest of the online enrolment form. If there is no data in the visa screen and you used the Alternative Collection Location (ACL) code for Warwick, then we have not yet received your BRP and you should proceed with entering the details of your temporary travel visa. I have successfully applied for a Tier 4 visa from overseas but when I enter my CAS number into the visa screen it says it has not been used or is not recognised, what should I do? Only students holding Tier 4 visas issued using one of our CAS may enrol at Warwick. Firstly, check that you have entered the correct CAS number always copy and paste from your CAS email rather than typing the number in. If you are certain that you used a CAS issued by Warwick to obtain your Tier 4 visa then you will need to email immigrationservice@warwick.ac.uk with a scan of your decision letter and temporary travel visa. Once we have verified the details of your application you will usually be permitted to complete online enrolment and we will email you with further instructions on what to do next. I have submitted an application for a Tier 4 visa overseas using a Warwick CAS but am still waiting for a decision, can I enrol online? No. You will not be able to enrol online until your application has been approved and you have been issued with a temporary travel visa.
I am coming to study on a course longer than 6 months and want to apply for a Tier 4 visa but am worried my application will not be decided in time, can I enrol using a Short-term Student / Student Visitor visa and then apply for a Tier 4 visa later? No. The Immigration Rules state that Short-term Students (formerly known as student visitors ), must not intend to study for a period of more than 6 months. The University therefore reserves the right to prevent students holding Short-term Student visas from enrolling on programmes of more than 6 months duration. In addition, it is not possible to switch from a Short-term Student visa into Tier 4 from inside the UK. Most visa centres offer a premium application service if you are concerned about the time taken to process your Tier 4 visa application. TIER 4 (ISSUED INSIDE UK) I have applied for a Tier 4 visa from inside the UK using a Warwick CAS and am waiting for a decision on my application, can I enrol online? If there is sufficient time for you to receive a decision on your visa application before you need to enrol online, we would suggest that you wait until you have your new Warwick Tier 4 visa before doing so. If however, you are not likely to receive a decision before you need to complete online enrolment you will need to email immigrationservice@warwick.ac.uk with scans of the following documents: Your passport data page The Tier 4 online application cover sheet Special delivery postal receipt confirming supporting documents have been posted within 15 working days of applying online Biometric enrolment letter (if received) Decision letter confirming Tier 4 visa granted (if attended an in-person visa appointment) It may be possible for you to enrol online if we are satisfied that you have made an in-time application for Tier 4 leave. If so, we will email you with further instructions. You will need to bring the original application documents to the campus enrolment event to become fully enrolled unless by this time you have received your new Tier 4 visa, in which case you should bring that along with your passport. TIER 4 (ISSUED FOR ANOTHER COURSE/UNIVERSITY) I have a Tier 4 visa issued for a previous course of study at Warwick which is still valid but I cannot enrol for my new course, why? Changes to Home Office regulations introduced in 2014 mean that you cannot enrol on a new programme using a Tier 4 visa issued for a previous course of study at the same sponsor. You will need to have submitted a new application using a Warwick CAS issued for your next course of study and be able to provide sufficient evidence of this before you can enrol online. If you are not able to submit a new application before your course start date, please contact immigrationservice@warwick.ac.uk for further advice. I have a Tier 4 visa issued for study at another UK University which is still valid, can I enrol online? No. Only students holding Tier 4 visas issued using one of our CAS may enrol at Warwick. You will need to have submitted a new application using a Warwick CAS and be able to provide sufficient evidence of this, or have received your new Warwick visa before you can enrol online. You will not be permitted to study at Warwick using a Tier 4 visa issued for another University. SHORT-TERM STUDENT / STUDENT VISITOR I am a non-visa national coming to study for less than 6 months and will apply for a Short-term Student / Student Visitor stamp on entry to the UK, what should I enter on the visa screen when enrolling online?
For visa number enter, TO APPLY ON ENTRY. The visa start date should be your expected date of arrival in the UK and the expiry date should be six months after this. I am a non-visa national coming to study for more than 6 months can I start my course using a Short-term Student / Student Visitor visa and then switch to Tier 4? No. The Immigration Rules state that Short-term Students (including non-visa nationals), must not intend to study for a period of more than 6 months. The University therefore reserves the right to prevent students holding Short-term Student visas from enrolling on programmes of more than 6 months duration. In addition, it is not possible to switch from a Short-term Student visa into Tier 4 from inside the UK. I have been issued a 6 month Short-term Student / Student Visitor visa but the online enrolment form is asking for my CAS number, what should I do? You should only be asked to input a CAS number where you have selected Warwick Tier 4 as your visa type. Please return to the passport screen and select student visitor visa from the list of available options. OTHER TYPES OF VISA I have a Dependant visa, can I enrol and study? Yes, study is permitted on a Dependant visa. Select dependant visa (any) from the list of visa options and enter your visa number and start/end dates. If the duration of your Dependant visa does not cover your course of study you will be required to either extend this leave or switch to another appropriate immigration category. You must maintain valid immigration permission throughout the duration of your course in order to remain a fully registered student. I have a Tier 2 visa, can I enrol and study? Yes, study is not currently prohibited on this type of visa. Ensure that you select the correct visa type and enter the start and end dates correctly when enrolling online. If your visa does not cover the duration of your course you will either need to apply to extend your current leave or make an application for Tier 4 leave. I made a mistake when I entered some of my passport and visa details, will this be a problem when I come to collect my Warwick student ID card? Provided you hold a valid visa or other immigration permission which permits study you should be able to collect your student ID card without any problems. You will need to provide your original documents before collecting your Warwick student ID card, at which point we will check the information entered during online enrolment and correct any mistakes you may have made. INDEFINITE LEAVE/REFUGEE/BRITISH PASSPORT I have Indefinite Leave to Remain in the UK, what should I enter as my visa details? Your vignette or residence permit should have a reference number in the top right hand corner enter this as your visa number. For visa start and expiry dates use the validity dates on your vignette or residence permit; if it does not give an expiry date, enter 31/12/2999. I have Leave to Remain in the UK as a refugee but I do not have a passport, what should I enter as my passport details? You can enter the reference number on your Home Office Immigration Status Document. I have a British passport but the online enrolment form is asking for my visa details, what should I do? The online enrolment form asks for visa details from anyone being of a nationality that would normally require immigration permission to study in the UK. If you hold a current valid British passport which states
your nationality as a British citizen then you do not require a visa to study at Warwick, however if this is not reflected in your University record, the online enrolment form will ask for details of your visa. You will need to email a scan of your passport data page to studentrecords@warwick.ac.uk including your name and Warwick student ID number and request that your University record is updated; once this has been done you will be able to complete online enrolment.
