GENERAL INFORMATION VENUE The Meeting of CEI Ministers of Science and Technology will take place in the Synchrotron Light Laboratory Elettra, situated in Basovizza near Trieste, and in the CEI Headquarters in Via Genova 9, Trieste. DELEGATIONS The format of the official delegations is Head of Delegation + 2 Members of Delegation. Any additional information about the organizational issues can be obtained from the contacts above. ARRIVAL AND DEPARTURE Arrival of the delegations is expected both at Trieste and Ljubljana Airports. Delegations are kindly invited to provide all the necessary information about their arrival and departure in the Accreditation Form. TRANSFER The transfer from the Airports to Trieste (and back) will be organised by the host. Delegations are kindly invited to provide their needs with regard to the transfer in the Accreditation Form. ACCOMODATION The delegations will be accommodated in Grand Hotel Duchi d Aosta****, Piazza dell'unità d'italia 2, Trieste. The costs incurred for the accommodation of the Heads of Delegation for 2 nights (18 and 19 October 2011) shall be borne by the host. 6

The accommodation costs of the members of delegation shall be borne by the participants themselves. The room rate in Grand Hotel Duchi d Aosta is 140 EUR per night (breakfast and tax included), while in its depandance Hotel Vis A Vis, just across the road (Piazza dello Squero Vecchio 1, Trieste - reception and breakfast room in Grand Hotel Duchi d'aosta) the room rate is 120 EUR per night (breakfast and tax included). The host will make a preliminary hotel reservation on the first in, first served basis. Delegations are kindly requested to fill in the Accommodation Form annexed here-to and return it to the contacts provided in the form at the latest by 7 October 2011. LOCAL TRANSPORTATION The local transportation will be provided by the host. CONFERENCE PASSES (BADGES) The host will provide conference passes (badges) for all the participants. The pass will grant each participant an access to the venues. MEALS Breakfast is served in the hotel separately. The room rates are per bed and breakfast arrangement. The CEI Secretariat will host a Welcome Cocktail on 18 October and a Buffet Dinner on 19 October for all members of delegation. The Synchrotron Light Laboratory Elettra will host a Buffet Lunch on 19 October. Meals will be provided according to the delegations format, i.e. 1+2. LANGUAGE The working language of the Meeting will be English. No interpretation will be provided. INTERVENTIONS It is expected that the length of each intervention is 5 minutes. VISA REQUIREMENTS Members of the delegation coming from the countries for which visa for Italy is required, should acquire the visas prior to entry at the diplomatic representations of Italy in their countries. 7
