There were many exciting things that happened this month! What a great tour we had of the Treasury building! Thanks to Jim Kirk for arranging and setting up the tour of the Financial Management Center. We had our second CEC meeting on Sep 9th. Your Chapter Executive Committee has been very busy doing exciting things. I would like to thank Chuck Koelsch as we are online with a website. Although we are still in the site development and building phase our website has information on the current meeting and the upcoming seminar. Continue to echo the message about our upcoming fall seminar, Branching Out, scheduled for November 16, 2010 at JCCC. Leeanna Wilder is doing an excellent job in putting together the Fall seminar and is still taking suggestions on possible speakers for our Spring seminar. Please send Leeanna information on speaker (s) you have experienced and think would be excellent or if you would like to be a speaker at a seminar to Wilder.Leeanna@epa.gov. Our seminar will be the only training activity we will have in November. Thanks Leeanna! To make paying for training events more convenient and secure for you, we have ordered a wireless credit card scanner that should be available at our next meeting.. With the scanner we will still be able to accept the cards we currently accept and more, you card information would be secure, and you will get a receipt right on the spot. We will still have the ability to process your agency payments as usual. Thanks Pat Hudon! We are reviewing and updating our Chapter Bylaws. Mark Brant and Michael Malloy are doing good things with that. Mark and Michael provided some excellent comments and insightful ideas at our last CEC meeting. If any of you would like to come to one of our CEC meeting, just let me know. Upcoming CEC meetings will be in January and May 2011. Thanks Mark and Michael! Thanks to all of you for your participation in our local and national membership drives. If you have any questions about membership, Connie, our membership chair, can answer it. Page 4 CHAPTER EXECUTIVE COMMITTEE NEWS & TIDBITS Tour of Kansas City Regional Financial Center, Department of the Treasury For the September AGA meeting, the setting was Treasury s Kansas City Regional Financial Center (RFC) located on N. E. 34 th Street, K.C. MO. Following an excellent lunch at Harrah s Buffet, the AGA group and guests arrived at the Treasury facility at 1 PM on 16 September 2010. We were checked into the facility by presenting photo identification and passing through a metal detector at the front door and provided a visitor s badge for each person. Our host for the Treasury tour, Lauren Ray, met us at the door and helped get each of the 27 persons into the facility and gathered in a 50 seat auditorium where she welcomed the AGA Chapter and guests. Next, she provided a short 15 minute historical account of the 1935 formation of the Treasury Regional Financial Centers and changes for this Kansas City office. Changes included transition from few employees to about 124 presently, from downtown locations to the present site in N.E. Kansas City and growth from manual Government check writing and signing to use of the current machine which regularly produces 85,000signed checks/hour. It encloses them in envelopes and puts these in the U.S. Mail Service all done securely in the RFC facility. At the conclusion of the very informative and interesting film, the group formed into three smaller groups and each left the auditorium room to start their tour of the RFC. In the smaller group that I accompanied, we saw the mail receiving area and how customer s requests for financial services were received, accounted for and securely handled through each step. We saw material storage areas that stored and handled the paper-like material that, when processed, would become a Government check that would be signed and placed in an envelope and then posted. We were shown the equipment doing the physical check writing and the computer components tracking and accounting for each of these processes and all checks. We passes through work areas to assist in scheduling customer requests for check printing services, such as Social Security Administration check support and SSA Supplemental Benefit checks, USDA s Commodity Credit Corporation checks, etc, to list names of a few customers of the RFC. When printing so many checks, some problems of delivery or non-receipt happen and we were shown work areas where the specialists received such trouble calls and resolved each. As noted on the Treasury s web site, few problems are experienced and are usually quickly resolved. The statistics are very impressive, of the amount of funds expended, and the success rate of delivery of the funds by signed check. Please go to the RFC s web site to learn more. At the conclusion of this most informative tour we again assembled in the small auditorium and when fully gathered we left as a group, returning the Visitor s badges we d been provided. What a tour! Page 5 CHAPTER EXECUTIVE COMMITTEE NEWS & TIDBITS CONTINUED Chapter Executive Committee Quarterly Meeting, September 9, 2010 In attendance were Oscar Williams, Laura Logan, Constance Smith, Carrie Miller, Mark Brandt, Pat Hudon, Chuck Koelsch, Owen Gilchrist, Leeanna Wilder, Jim Kirk, Michael Melloy and Rhonda Lucas. Meeting was opened by President Oscar Williams discussing the 2009 Financial Review. It was noted that the review could have listed observations. Next on the agenda was Pat Hudon to discuss this year s budget. Carrie Miller asked for the Community Service budget be changed from $200 to $500. With that change, Laura Logan moved we accept the budget as stated. Motion was seconded by Chuck Koelsch. Motion was passed unanimously. CEC is considering the purchase of a credit card scanner. Pat provided several options available including the lease or purchase of a scanner. Committee members suggested we need a comparison between the options. Pat will send the CEC members a comparison; members will respond via e-mail as to their preference. We hope to have the scanner available for the Fall Seminar. We also discussed purchasing a gift for a CEC officer who is taking a leave of absence due to a family tragedy. Carrie made a motion to purchase a $50 gift card and a plant arrangement. Constance Smith seconded the motion. Motion was passed unanimously. The cost of meals for our monthly meetings was discussed. Our chapter is losing money some months due to contractual arrangements required by some eating establishments. It was decided we need to look at more options this year. Next on the agenda was the Fall Seminar. Leeanna Wilder stated the event is scheduled for November 16 th at the Johnson County Community College. She has several speakers lined up and presented a list of probable speakers and topics. She asked for suggestions on speakers and topics and received feedback from the group. The Fall Seminar theme will be Branching Out. Leeanna will send more information to the AGA Chapter in the near future. She also noted the Spring Seminar may be held at the Kaufmann Foundation. There will be no November regular monthly meeting due to the Fall Seminar being held that month. Mark Brandt was next on the agenda to discuss By-Laws. The CEC officers made several suggestions on changes. Mark will work with Michael Melloy to incorporate changes, review and send out to the CEC committee for review and further comments. They will incorporate any additional changes and sent out again for final review. Next on the agenda was discussion of the Kansas City AGA Chapter website. The CEC Webmaster Chair position was discussed due to the delay in getting the website up and running. Mark made a motion to replace the position with Chuck Koelsch. Motion was seconded by Constance and passed unanimously. Chuck stated we should expect the website to be up and running within 30-45 days. New Business included the discussion of member recruitment. Reaching out to local agencies such as the Financial Executive Board (FEB) are options we should look into. This would provide an opportunity our Chapter to influence the FEB that AGA can provide low cost educational opportunities at no cost to the government along with networking opportunities. We also discussed how we can persuade suspended members to become active AGA members. It was suggested we offer incentives. Chuck brought some examples of how we are publicizing our AGA events, such as luncheons, on several websites. Motion made and seconded to adjourn the meeting. Motion approved unanimously.
