The pledge of Allegiance was recited by those in attendance. Secretary s Report

2 1. Edit 1400 goats to reflect the correct amount of money for goat funds. 2. Motion by Yvonne: Make changes needed to the December minutes and abstain from reading the minutes. Seconded by Gary. Financial Report 1. Reconciliation Summary Report as of January 4, 2019: Ending Balance of Bank Statement is $35,229.17. After uncleared transactions, register ending balance is $30,110.17. 2. Added Bills: Chris Comden (Door prize at OFMA Convention)-$40, Stafford (Lime stone)- $395.75, Gas Bill-$557.87, OFMA Hotel-$2745.80. 3. Julie & Teresa Johnson discussed starting sale amounts. 4. 1099 & Hinkle will be going out next week. 990 will be sent out by the end of January. 5. Meter reading will be completed for the Christmas Cruise Thru remaining balance for bills. 6. Jeremy Submitted KOI Contract. 7. Jerry discussed the by-laws revised copy to the ODA, we received $30,000 (House Bill 523) for the new concrete at the senior tent, and $124,000 to finish the Senior Pavilion Project. Once we receive the money, we will reimburse the commissioners. 8. Motion by Jerry Sheets: Pay the bills and approve financial report. Seconded by Nichole. Motion by Tracey: Approve the treasurers report. Seconded by Ben. Correspondence: 1. OFMA Districts 1 & 2 Spring Meeting: Hosted by Hancock County & Wood County Fair. April 13, 2019 @ 12:00pm. (See Notes for Address) Guests: 1. Mary Bishop 2. Sheriff's Office (Dana)-Nothing to report. 3. Rick Henricks-Demolition Derby Discussion: Prior issues brought to the board about Demolition Derby did not occur at the Defiance County Fair.

3 Committees: 1. Executive Committee: Provided everyone with committee list. Pete Mendese (sound) attended Executive Board Meeting about discussion of a 3-year contract at no additional pay increase than previous year. 2. Fix Committee List: Jerry Sanders is Livestock Chairman, Yvonne needs added to Sale committee. 3. Golf Carts: Tracey discussed the option of re-booking the company from previous year while at convention. Motion by Larry: Allow Tracey to sign contract at convention with the same golf cart company as previous year. Seconded by Ben. 4. Entertainment: Nicole discussed that she has secured a sled for antique tractor pulls, that is all paid for. The event can only run on Sunday of fair. This topic is tabled until Entertainment committee has finalized entertainment following convention. Entertainment also discussed the need to sign the contract with KOI for the Truck Drags. Motion by Joel: Allow the contract to be signed for KOI Truck Drags for the first Saturday of fair. Seconded by Nicole. 5. Goats: Discussed that there are more goats at our fair and they are out of pens. Yvonne stated that the Goat Barn Account has $1,428.71 to cover half the cost of new pens and will need that number matched in order to buy new pens. Mitch Troyer has volunteered to haul the pens from Missouri. Motion by Carol: Have the Senior Fair Board match the amount of the Goat Barn Account contribution and order new goat pens. Seconded by Emily. 6. Social Media: Discussed a need to put a flyer out on our social media for our Auxiliary and volunteer hours that are available for those to put towards their requirements to join the senior fair board. (Please see notes for more information) Breanna discussed needing 16 day passes and 4 season passes to be used for the Facebook Contests. Motion by Carol: Allow Social Media committee to use 16 day passes and 4 season passes to the 2019 Defiance County Fair for Facebook Contests. Seconded by Yvonne.

4 7. Livestock: There are a few uncashed checks. Jeremy and Julie will check into those checks. Livestock dates were given from Teresa Johnson. (Please see notes for a list of all dates given). Old Business 1. Dues ($8) & Personal Liability ($11) need to be paid to the secretary. 2. Those attending OMFA Convention are to reimburse their $50.00 if they are not able to attend convention for whatever reason. Members attending are: Lavon, Gary, Deb, Tracey, Mike, Jeremy, Angie, Carol, Breanna. Final paperwork will be submitted to OFMA by Friday, December 14, 2018. 3. Pricing for manure at race horse barn was discussed. It was suggested to raise stall rent. The senior fair board decided to table this discussion until the rental committee could come up with a solution. Jeremy will follow-up with the committee to ensure a solution has been reached. New Business 1. The board received a three-year Contract Proposal from Burton Brothers. Their contract would be dated August 18th-24th, 2019 and no operation on the Saturday at the start of fair is an option for either year of the contract. The contract Proposal expires January 6, 2019. Motion by Angie: Sign the contract with Burton Brothers, before the expiration date, if we are unable to find another ride company at the OMFA convention. Seconded by Tracey. 2. Entertainment committee discussed the option of moving Truck Pulls to Friday of fair, with approval from Horse Racing rules and regulations being able to change their dates to Tuesday and Thursday of fair. (Please see notes for schedule changes) Motion by Carol: Allow Truck Pulls to change dates to the Friday of fair and swap Harness Racing to Thursday. Seconded by Angie. 3. Discussed the House Bill 312 for conflicts with places of employment and new proposal for credit cards for all Agricultural Societies. 4. Discussed the Sound proposal from Pete Mendese. Pete would like a three-year contract for the same price from the previous year. He will observe the grounds for any updates or improvements that need to be made, provide the board with a list and cost before any changes are made. Motion by Joel: Approve Pete Mendese s three-year contract for sound.

5 Seconded by: Nicole. 5. Discussed the need for approval to advertise for bids for: Gates, Janitorial, and Electrical. Gates discussed needing to wait until after OMFA convention to confirm their bid advertisement. We discussed waiting until all three contracts were ready in January before posting in the paper. Motion by Kate: Approve the Janitorial and Electrical bids to be advertised in January after we have all three bids complete. Seconded by Tracey. 6. Horse Racing Report: We are number 6th in Ohio counties for Horse Racing with 160 horses. 7. Kate attended the District Meeting. They discussed financial reports (there s a need to write to our senators about allowing us to post financial reports somewhere more cost efficient) and they discussed OFMA Director changes in how they are chosen. See Kate for more information. Motion to Adjourn 1. Motion by Larry: Adjourn the meeting. Seconded by Jerry Sheets. Notes Volunteer Hours: Please submit days with times and locations that you d like volunteers to help for fair. These hours will count towards the hours needed in order to run for a position on the board. Your dates and times can be submitted via email or text to Ben or Breanna.
