New Jersey Alpha Zeta State Organization September 7, 2013 AZ State President, Mary Conover (Pi), called the meeting to order at 10:00 AM in the allpurpose room of the Sayen Elementary School in Hamilton, NJ. President Conover called State Chaplain, Johanna McCauley (Zeta), to deliver the thought for the day. McCauley talked about what is really important in life. Carol Schwartz (Gamma) led the flag salute. President Conover thanked McCauley and Schwartz. She instructed committee members and chapter presidents to meet in assigned rooms from 10:15 to 11:15 AM. The elected state officers, immediate past president and chapter presidents will serve as voting members. The state treasurer will be a voting member this year. The parliamentarian is also a non-voting member. Members presenting a motion must give the president a written statement of the motion. Cards (5X8) can be found on the front table. Reports will be limited to three (3) minutes. Time for discussion will be limited to less than five (5) minutes. Debates will be limited to five (5) minutes. President Conover called for additions and/or corrections to the minutes. There were no additions or corrections to the minutes. The minutes were approved and will be filed in the state archives. Corresponding Secretary Pam Albert Devine reported that six (6) sympathy notes, three (3) get well cards, there (3) thank you and/or congratulatory cards were sent to AZS and DKG members. Treasurer Ellen Hahn provided the treasurer s report. Hahn noted a balance of $13,821.83 in the checking account as of August 25, 2013. The Margaret Abel Scholarship Fund has a balance of $61,165.82 as of July 15, 2013. President Conover asked for questions to the treasurer s report. Hearing none, the report will be filed for audit. President s report Mary Conover (Pi) Conover reported that thirty three (33) AZS sisters attended the Northeast Regional Conference in Portland, Maine, July, 2013. The New Jersey delegation participated in the conference including attending and presenting workshops, participating in ceremonies and events, and planning and implementing social events. Several members also received honors and recognition. Carmela DeMarco (Gamma) was elected as the Northeast Representative to the US Forum. 2

Conover also stated that many committees, officers, and committee chairs met during the summer to plan for the 2013-2015 biennium. Several committee chairs also reviewed the state strategic action plan. She also reported that Dr. Paula Dent, past international president, passed away in August, 2013. The state executive committee voted to donate $25 from the president s discretionary fund to the Golden Gift Fund in memory of Dr. Dent. Conover then explained that Dr. Helen Popovich, International Rules and Bylaws Chair, reviewed the responded to AZS s newly adopted rules and bylaws. Dr. Popovich, shared one suggested change in wording which will be addressed today. Popovich also offered congratulations to AZS for submitting the cleanest documents submitted this biennium. Committee Standing Reports (complete committee reports are attached as reference) Audit report Ingrid J. Williams (Nu) The accounts of Delta Kappa Gamma International, Alpha Zeta State and the accounts of the state convention have been audited by the Finance Committee and found to be in order. Leadership Development Report (Lambda) Nora Pollard (Lambda) & Barbara Glazewski The Leadership Development Committee reminded members of the executive committee that applications for the Golden Gift Leadership/Management seminar are due by December 1, 2013 for attendance at the seminar in July, 2014. Participants in this experience will learn more about the society and who you are as a leader within the society and in the field of education Dedicated Service Award Barbara Henderson (Epsilon) Chapter presidents have the form to nominate a sister for the Dedicated Service Award. The Dedicated Service Award is to remember sisters from our AZState who have ten years or longer in DKG and who have given over and beyond to DKG. Membership Sharon Long (Iota) Our theme for the 2013-2015 Bienium is Gain, Retain, Reclaim. Members are asked to complete Form 50 and sent them to their chapter membership chair. Chapter membership chairs will complete Form 80 and forward them to International and also to Sharon Long. International will use Form 80 to create a state profile. Exhibits and Record Books Michele Klamerus/ Joyce Breitwieser (Theta) Yearbooks will be presented at the 2014 convention from chapters. The following chairs are asked to prepare tri-folds: Educational Excellence, Legislation/US Forum (together 2 chairs), 3

Scholarships/Stipends (3 tri-chairs), World Fellowship, Membership (highlighting the benefits of membership), UN Liaison, and Special Awards. If any other chairs are interested in preparing informational tri-folds that will let this committee know. Nomination Claire Swanson (Alpha) At this time, the state has not received any requests for endorsements for international nominations for 2014-2016. Therefore, we will not be making any endorsements. If anyone is submitting a personal endorsement, they are due by October 15, 2013. Rules/By-Laws Babette Wise (Pi) Wise presented the following motion: The Bylaws Committee moves that the word monitoring be substituted for the words supervision of in Article 1X.C.1.j.2 of the AZ State Bylaws. No second was needed since the motion came from committee. The motion was adopted. Adopting this motion brings us in compliance with the recommendation of International. Program Planning Barb Smith (Omicron) The committee voted on six (6) workshops for the 2014 Annual Convention. In addition, there will be a book discussion in both the AM and PM workshop sessions this year. Educational Excellence Irene Maskaly (Iota) Educational Excellence embodies several of DKG International s Initiatives; DKG at the UN/CTAUN, SEE: Supporting Early Career Educators, and Schools for Africa. Maskaly asked that we approach of members to log their hours and share their support ideas as they reach out to new colleagues. The SEE Chapter Report and SEE Member Report Forms are located on the AZS web page under Educati0onal Excellence. Scholarship/Stipends JoAnne Applegate (Zeta), Jean Jaeger (Alpha), Carol Scelza (Eta) The committee requested that we extend the December deadline for Margaret Abel Scholarship and Elizabeth Bozarth Scholarship from December 1 to December 15 and make the Professional Growth Stipend on the same date. Margaret Abel Scholarship Award Carol Scelza (Eta) Explanatory letters, applications, and criteria for the Margaret Abel Scholarship will be send on October 1, 2013. The recipient will be notified by March 1. 4

Communications/ Newsletter Margaret Niemiec (Rho) The Newsletter Committee has met to begin planning and organizing. Representatives met with President Conover on July 31, 2013 to further develop their plans. Chapter President s and Communication chairpersons have been sent several electronic communications advising them of dates and content of the 2013-2014 newsletter. Convention Mary Jean DeRoberto (Rho) There were 335 members attending this year and50 initiates. There were one hundred eighty-nine (189) surveys collected. This is 56.4 percent (%). All comments were read and noted. Comments were sent to the appropriate committees. The Alpha Zeta State Convention continues to be self-sustaining fiscally. Yearbook Saula Cutter (Gamma) & Jan Wilson (Gamma) All Chapter and Yearbook Committee members have received word and PDF versions of the yearbook to disseminate to their membership. Irene Maskaly moved that the yearbook committee research costs, utilization, and distribution of the yearbook and present to the executive board a report of their findings and their recommendations in January, 2014. There was no discussion to the motion. The motion was adopted. Necrology Cynthia Sokoloff (Alpha) Sokoloff has received notification of the passing of five Alpha Zeta State sisters since our 2013 State Convention. They are: Beta Chapter: Doris G. Bryant February 22, 2013 Eta Chapter: Carolyn Sue Hickman May 27, 2013 Pi Chapter: Gail Eisenlohr April 15, 2013 Rho Chapter: Mary Elizabeth Young February 3, 2013 Tau Chapter: Kathleen E. If you need assistance, please contact Sokoloff for specific instructions. Special Committee Reports Webmaster Jan Paxton (Alpha) The AZ State website was completely re-done. It is now Weebly. The old site is gone. Chapter pages have been eliminated with the hope that all of the chapters will get their own websites. Congratulations to Luann Masters and Gamma chapter for the latest website certified. Alpha, Xi, Sigma, Rho, and Gamma all have certified websites. 5

Strategic Action Plan Roxanne Adinolfi (Sigma) The first formal AZS-SAP was drafted during the 2011-1013 biennium and adopted by the membership at the state convention 2013. The AZS-SAP was updated in September 2013 to align to the revised governing documents (2013 Bylaws and Standing Rules). The AZS-SAP will be undated as deemed necessary by the state President. Special Reports US Forum Carmela DeMarco (Gamma) Unfinished Business - None New Business - None Announcements Dr. Paula Dent passed away in August. President Conover thanked the Social Chairs, Carolyn Dobis (Alpha) for acting as state photographer, and the Ambassadors of Support.
