Board Meeting Friends of the Paul Sawyier Public Library August 13, 2018 Present Debbie Brown, Amber Dickens, Dudley Ellis, Chris Evans, Donna Gibson, Judy Goddard, Carolyn Keltner, Arba Kenner, Anne Wesley Mays, Janet Meyer, Diana Peters, Lyda Phillips, Lynn Russell, Jill Starzman. Cloyd Stratton, Judy Stratton, Pat Thomas, Russ Wright The meeting was called to order at 5:00 PM by Pat Thomas in the Board Room. Approval of Minutes The minutes from the July 9, 2018, meeting were approved by voice vote. Treasurer s Report Chris Evans presented the treasurer s report for July, 2018 (attachment #1). She noted that both scholarships checks have now cleared. Other checks reflected in the report were for sales tax, Spellapalooza, and book store supplies. Next month s report will include a check made out to the library for the Summer Reading, Books for Kids and catering for the opening ceremony for the library expansion Membership Report Dudley Ellis reported that for July there were 85 new or renewed members, 495 members in good standing, 1591 persons in the data base and 20 expiration notices sent.
Financial Report Cloyd Stratton presented the July Bookstore financial report (attachment #2). He noted the store closing for the 4th of July holiday. He pointed out that July compared well with all months except June, which was higher than usual due to the book sale and the grand opening of the new location. There was a special receipt of a donation from Colette Cardwell. Committee Reports Bookstore Judy Stratton reported that patrons are complimentary about the new store location. She gave an addendum to last month s book sale report, saying that boxes of books left over from the sale were donated to the jail, Kings Daughters Apartments, the hospital, and the VFW Auxillary. Judy announced the next book sale would be October 23-27 and the Volunteer Luncheon would be November 9, both events in the River Room. Linda Aldrich will cater the luncheon. Scholarship Jill Starzman asked that those desiring to donate to a fund for the GED student meet following this meeting to work on that. She reported that essays written as part of the scholarship applications would be kept in a notebook in the bookstore. Awards The Awards Committee met just prior to today s meeting and determined that our scholarships meet the criteria for an award; so they will meet again and work on the application for the award. Nominating Committee Dudley Ellis reported that the Nominating Committee had come up with a slate of officers and board members to be voted on at the October meeting, with terms to begin January, 2019 (attachment #3).
Unfinished Business Spellapalooza Donna Gibson reported that the library team, The Rodeo Readers, enjoyed the experience of Spellapalooza, and had excellent costumes. Meet & Greet Russ Wright announced the Meet & Greet would take place on October 11 from 5 until 7 PM in the River Room. He and Diana would work on inviting participants. Financial Russ Wright reported that the legislature may alter the tax law; so that we would not have to pay sales tax on Friends memberships. New Business Paul Sawyier Art Exhibit Donna Gibson announced that the library would be hosting an exhibit of 30 Paul Sawyier original paintings on September 8 from 10 AM until 4 PM. Bill Coffey will give talks during the day. Donna asked for volunteers to help guard the paintings and passed around a sign-up sheet for that. Bookstore Signage Anne Wesley Mays recommended that the bookstore have a sign which could be seen from the library entrance. Donna Gibson reported that signs for the library are currently being worked on and that the suggestion would be taken into consideration. United for Libraries Membership Pat Thomas reported that it was time to renew membership in United for Libraries. The dues are $125 for large Friends groups (>499 members) and $80
for medium-sized groups. She reported she would determine our average membership to decide which group we belonged in. It was moved by Janet Meyer and seconded by Arba Kenner that we renew our membership. The motion passed by voice vote. Library News Donna Gibson announced several upcoming events: Gathering of Authors on August 25, an Evening with Silas House on August 28 at 6 PM, book launch for Richard Taylor s Elkhorn on September 26 at 5:30 PM and others. They are all listed in the Biblio Bulletin, and she distributed copies. Donna also reported that some equipment remains in the garage, although some was given to Habitat for Humanity. Comments/Concerns It was reported that there is consideration for getting book bags to sell in the bookstore. Results for On the Table will be presented on Thursday 8/16 at 11:30-1:00 and 5:30-7:00.
