Accounts Receivable $20,000 were past due $15,000 have been collected in the last six months Wilson Avenue Fence Project Update on Bids Additional bids were considered Amendment to Change Covenant Regarding Fence Height Ballots were mailed to the 110 Households 45 Returned (57 Yes votes are needed to pass the amendment) 39 Voted Yes(+1 from a delinquent homeowner) 4 Voted No(+1 from a delinquent homeowner) EB plans on going door to door to get remaining ballots
Landscape Update President Pfeiffer contacted Colorado Greenbelt Management Spoke with having how much we should have in reserves MBH is responsible for a large storm water drainage on the north end of the greenbelt. MBH HOA is responsible for maintaining storm water drainage for more than just the 110 houses in the HOA. November revised and accepted. Treasurer's Report The Financial Standing Report was read and approved. Wilson Avenue Fence Survey for 19 houses directly affected by the Wilson Avenue HOA Fence 14 of 16 wanted 6 foot fence 2 of 16 wanted 5 foot fence 7 of 15 Prefered White 6 of 15 Prefered Beige 2 of 15 Indicated no preference One Neighbor wanted a gate and was willing to pay for the installation. Board voted no.
Review of Fence Bids Bonnell only does 6' spacing with a product called Freedom Fence All the others use Westech which contains metal cross supports and is built in 8' sections. MOTION: Contact Loveland Fence Company to submit a complete bid for a White Vinyl 6' Fence on Wilson Avenue. MOTION PASSED UNANIMOUSLY. Reserve Account Approximate $14,000 left in reserves after the completion of the fence project. Consider a special assessment to increase reserve account to a goal of $20,000 Potential Upcoming HOA Projects Ash Borer disease treatment. Greenbelt retaining wall maintenance. City drainage vault near 1st Street. Continued landscaping upgrades (sprinklers and watering system). Juniper Tree Removal Rocky Mountain Tree Service finished the removal of the overgrown junipers on Wilson Avenue. Wilson Avenue Fence Covenants Change Requirement Protective Covenants, Conditions, and Restrictions Article X Sec 4. Section I. The maximum fence height along Wilson Avenue is five (5) feet high. Amendment to the Covenant requires 51% approval of the eligible households. Recommended Amendment: The maximum fence height along Wilson Avenue is six (6) feet high. Meadowbrook Heights Homeowners Association EXECUTIVE BOARD MEETING DATE: NOVEMBER 5, 2017 LOCATION: Pfeiffer s House 331 Morgan Drive Called to Order at 4:05 PM Present: Paul Pfeiffer-President John Lewis-Vice President Linda Pfeiffer-Treasure John-Member at Large -Communications James Westerfield-Secretary OLD BUSINESS: City of Loveland provided a copy of HOA land plots with listing of property owners. Tree removal: Positive comments regarding juniper removal. There are a few stumps that need attention. Most of the ash trees were trimmed as well. Paul will check with the tree removal service to see if they can clean those few stumps up. City replaced concrete pan at the northside drainage on 1st Street.
Wilson Avenue Fence Received estimates from Rocky Mountain Fence Inc., Loveland Fence Company, and Bonnell Fencing Services for different height and color fences. The Board discussed fence spacing, color and product type. Dygart Landscaping(did the joint fence project) has not submitted a bid. Truline Fencing scheduled a meeting and did not show. They may submit a bid in the future. Fence Height Covenant The Executive Board discussed the current covenants regarding fencing rules, updating the rules and a potential proxy vote to change the current rules. Article X Section 4.i The Executive Board will poll the 19 property owners that will be most effected by the Upcoming fence project. Afterwich: Motion to have an opinion survey of their preferences : 1. Replace with six foot height fence on Wilson Avenue 2. Vote for White or Tan It was the opinion of the Executive Board that a six foot fence on Wilson Avenue would not detract from the open neighborhood environment and it would give members who have backyards facing Wilson Avenue a little extra privacy and noise reduction. Meadowbrook Heights Homeowners Association EXECUTIVE BOARD MEETING DATE: OCTOBER 18, 2017 LOCATION: Pfeiffer s House 331 Morgan Drive Called to Order at 7:12 PM Present: Paul Pfeiffer-President John Lewis-Vice President Linda Pfeiffer-Treasurer James Westerfield-Secretary John Meyer-Communication Aid to the HOA Board The Executive Board discussed assigned duties. Paul Pfeiffer stayed on as President overseeing the lead on several HOA projects. John Lewis took the position of Vice President while still maintaining oversight of the Architectural Committee. Linda Pfeiffer remained the Treasurer, James Westerfield-Secretary, John Meyer- volunteered to work as a non-voting member of the HOA Board. The EB discussed different way John can help including communications and website development. OLD BUSINESS Review of the HOA Annual Meeting Minutes. Revised and Approved. FINANCE REPORT Treasurer s Reports were provided and approved by the EB. EB discussed the use of Reserves for upcoming projects to ease the overall cost to the members. This options was considered in lieu of extending the special assessment that is due to expire next year.
Collection notices have been sent by the HOA Attorney to those with outstanding back dues. Payments are starting to be received by the Treasurer. Seven households still owe significant back dues. NEW BUSINESS Wilson Avenue Project Rocky Mountain Tree Service was contracted to remove the juniper trees that were growing over the sidewalks along Wilson Avenue. This will help bring the HOA within compliance with city zoning rules and help with the upcoming fence project. President Pfeiffer was starting to solicit bids for the Wilson Avenue Fence. Architectural Review John Lewis reviewed member requests for projects: A prospective property buyer wanted to know if they could keep chickens. MOA Bylaws prohibit the keeping of any livestock (including poultry). A member wanted to know if they could whitewash their wood fence that intersects with the new HOA white vinyl fence. The EB discussed allowing painting of wooden fences or changing to white vinyl fencing. John Lewis would follow up with the homeowner. HOA Website Go Daddy the internet domain manager of meadowbrookhei1.godaddysites.com has offered the option to use a simpler web address for $50 annually. John Meyer would check other internet hosting options. Proxy Voting President Pfeiffer discussed different options to get enough votes for upcoming HOA projects.
