Dear 2019-2020 RHA Executive Board Candidate, Thank you for your interest in becoming a part of the Residence Hall Association Executive Board! In this packet you will find descriptions of each job position according to the 2018-2019 RHA Statutes as well as requirements necessary to run for and hold office on the RHA Executive Board. At the very end of the packet you will find an application and instructions for additional application materials that must be emailed to rha@wou.edu by 10 PM on Wednesday, April 3rd. To qualify for candidacy to hold a position on the RHA Executive Board, candidates must: Live in the residence hall system during the election and while holding office Be currently registered as a full-time student (12 credits for Undergraduate, 9 credits for Graduate) Attend an RHA Executive Board Tabling Session Times of the two available Tabling Sessions are located in this application s Timeline of Election Process section Have a term and cumulative G.P.A. of 2.5 or above Only for President candidates: Candidates must have at least one year of Residence Life experience to be eligible. (i.e., RHA, Resident Assistant, Hall Government, Peer Mentoring, or National Residence Hall Honorary) *All candidates must go through the room renewal process for living on campus next year. Contained in this packet you will find the timeline for the elections process, position descriptions, and an application for candidacy. Please note that applications are due via email by 10:00PM on Wednesday, April 3rd. Late applications will not be accepted. All applicants will be notified of their application status by the end of day Friday, April 5 th. If you are unable to attend any of the mandatory dates, please don t let this discourage you from running for a position. ***Responsibilities of positions may be adjusted through this year s Constitution Committee*** Common Responsibilities Maintain open communication with the Executive Board and University Housing Staff Build and maintain positive relationships with other organizations, including but not limited to University Housing Staff, Hall Governments, Peer Mentors, NRHH, and ASWOU Contribute to the planning and execution of programs including but not limited to social, educational, community service, and diversity programs Advocate for inclusive and sustainable attitudes and efforts within University Housing Actively participate in all RHA meetings, programs, activities, training, retreats and other functions Submit weekly officer reports to the Executive Board and General Assembly Attend University Housing Staff In-Services Submit one Of The Month nominations to NRHH by week six and 3 each term, excluding summer term Provide training to corresponding new Hall Government members Transition incoming RHA Executive Board members Take on additional tasks and responsibilities as needed Attend one Hall Government meeting a term with the exception of the First Year Liaison Attend one Hall Government program a term Assist with the bid writing process Encourage the growth and development of student leadership on campus Encourage cooperation of Hall Governments President Maintain twelve posted office hours Meet every other week in one-on-ones with the compensated Executive Board positions Meet weekly in one-on-ones with the RHA Advisor Meet monthly in one-on-ones with the NRHH President Call and conduct RHA Executive Board meetings and RHA General Assembly Meetings Develop meeting agendas Oversee RHA Executive Board and Hall Governments with the help of the RHA Advisor Coordinate Hall Government job descriptions and constitution revisions Interpret and maintain the RHA Constitution and Statutes Plan and implement staff training and retreats with the help of the RHA Advisor Attend regional and NACURH Conferences Assess officer progress Meet three times a term with Hall Government Presidents Chair the Constitution Committee Attend all Advising Resident Assistant meetings Coordinate the RHA Executive Board transition processes Coordinate the duties for vacant RHA Executive Board positions

Coordinate and oversee the RHA Executive Board s Hall Government meeting attendance each term Co-administer the RHA email account with the Secretary/Webmaster Chair the RHA Student-led Advocacy Committee (SLAC) Work with the RHA to develop annual missions and goals for the RHA and increase awareness of the constitution s purpose section Vice President (VP) Meet every other week in one-on-ones with RHA Advisor Assume the responsibilities of the President in their absence Serve as a liaison between all on campus organizations Meet at least twice a term with Green Team Attend ASWOU Cabinet meetings or meet with the ASWOU President or Vice President if unable to attend a meeting weekly Act as Director of Elections for RHA and assist Hall Government Advisors with Hall Government Elections: Publicize RHA Executive Board elections Organize all dates for elections Organize the Application Packet Set up rules/poster policies for elections Organize Voters Forum Organize voting booths Ballots: manage electronic ballots Act as a resource for all RHA Elections Inform residents through RHA General Assembly as needed about issues pertinent to WOU Meet at least once a term with Hall Government Vice Presidents Attend all Advising Resident Assistant meetings Programming Coordinator Meet every other week in one-on-one with the RHA Advisor Attend Student Activities Board (SAB) meetings or meet with the SAB Director if unable to attend a meeting two times a term Coordinate "Hall of the Year" program Organize four programs per term with the assistance of Executive Board and General Assembly Organize one diversity, one community service, and one sustainability program per year At least two must be educational programs per term Oversee All-Hall Events Complete and file program evaluations from RHA sponsored events Stay informed on all activities sponsored by Hall Governments Meet at least once a term with Hall Government Activities Directors

Finance Director Meet every other week in one-on-one with the RHA Advisor Organize at least four large-scale fundraisers per year, two of which must supplement the RHA Budget equal to $7,500 Fill out requisition forms within one week of request Deposit all money collected by RHA within one business day Meet with the RHA Advisor and RHA President to assess budget monthly Order supplies needed from University Housing Office Establish and adhere to the RHA Budget Maintain RHA General Assembly Budget Keep records required by University Housing Bookkeeper Meet for one-on-ones with University Housing Bookkeeper as directed by the University Housing Bookkeeper Chair the budget committee and develop the following year s budget Submit current budget report to the Executive Board and General Assembly weekly Maintain communication with contractual partners Act as a resource for Hall Government fundraising ideas Meet at least once a term with Hall Government and Activity Committee Treasurers Publicist Meet every other week in one-on-ones with RHA Advisor Provide publicity for all RHA sponsored events Maintain visual records of RHA sponsored events Meet at least once per term with the Hall Government Publicists Coordinate organizational communication: Thank You Notes, Invitations, etc. Assemble a scrapbook to be completed by the UH-Mazing Student Awards ceremony Initiate event advisements as needed Reserve rooms and equipment for RHA sponsored programs Coordinate marketing and publicity initiatives for the RHA Executive Board Administer social media accounts Secretary Meet every other week in one-on-ones with RHA Advisor Type and distribute all minutes within 2 business days of meetings Keep an updated Hall Government contact list Take minutes at Executive Board meetings and distribute to the following: Executive Board members, RHA Advisor, and Professional Staff members Take minutes and attendance at General Assembly and distribute to the following: Executive Board members, General Assembly members (including NRHH, Peer Mentor, and ASWOU representatives), RHA Advisor, Professional Staff members and Hall Government Advisors

Keep the RHA website updated and promoted campus wide Post all RHA Executive Board, General Assembly and Hall Government meeting minutes publicly online Meet with the University Housing webmaster as needed Meet at least once a term with Hall Government Secretaries Co-administer the RHA email account with the President
