For those who have Chinese, Burmese, Bangladeshi, Mongolian, Vietnamese, Sri Lankan and Nepalese nationality For those who decide to enroll at AGU and who have no status of residence For enrollees A guideline to receive a student status of residence If you do not have a status of residence, you or your representative who lives in Japan are required to apply for the issuance of a Certificate of Eligibility (CoE) at a regional immigration bureau. After receiving the certificate, you are required to apply for a student status of residence at the Japanese embassy or consulate in your home country. It takes approximately 1.5-2 months after applying to receive a Certificate of Eligibility issued by the Immigration Bureau of Japan if it is approved, so please plan and apply accordingly. Please note that the Certificate of Eligibility is valid for 3 months after it has been issued. If you or your representative (your relative/guarantor) would like to apply for a Certificate of Eligibility then documents created by AGU will be required, so please contact the International Center of your campus promptly. If you reside outside Japan and would like AGU to apply for a Certificate of Eligibility, we will apply at the immigration bureau. AGU takes no responsibility if the application is not approved. <Deadlines for sending documents/data to the International Center (IC)> 1st deadline: December 11, 2018 2nd deadline: December 20, 2018 3rd deadline: February 15, 2019 <Application procedure before you arrive in Japan> 4 Student 5 Japanese embassy/consulate in your home country 1 AGU International Center 2 Immigration Bureau of Japan 3 Step1 Sending required documents for applying for a Certificate of Eligibility representative request (applicant IC) Please send all the required documents for representative request listed in the following table to the International Center in each campus via EMS or any international delivery service, such as FedEx, DHL, UPS, etc. which has a package tracking service (1). Please be aware that it may take time to have the Certificate of Eligibility issued if there is inadequate documentation. Moreover, the Immigration Bureau of Japan may see fit to request additional documents. Step2 Sending Certificate of Eligibility (IC applicant) AGU will apply for a Certificate of Eligibility on your behalf (2). After the certificate is issued (3), The International Center will send the Certificate of Eligibility (or the notification of the result) to the applicant s residential address via EMS (4). * Generally, it takes 1.5-2 months for a notification from the immigration bureau. Step3 Apply for student visa (applicant nearest Japanese Embassy or consulate) After you have received the Certificate of Eligibility, apply for a student visa at the Japanese Embassy or consulate in your home country (5). 5-B [If the supporter resides outside Japan] Documents certifying the ability to pay the expenses during the student s stay All of the following documents 1Letter of Financial Support ( 経費支弁書, Keihi Shibensho) The supporter s full name, signature and Inkan (or signature) is required 2An original statement of the supporter s deposit balance and income (as many of the following documents as you can submit) Certificate of deposit balance, income certificate (for the past 3 years), tax payment certificate (for the past 3 years) 3The original copy of a proof-of-employment letter from the supporter s employment If the supporter is self-employed, a business registration certificate or tax certificate, etc. is required 4The original document certifying the relationship of the student and the supporter e.g. certificate of family relations, Residence Certificate, an official copy of family register 5Documents to prove the ability to support expenses during stay (a) If the expenses are paid by overseas remittance Proof of payment (b) If someone else is supporting the expenses and bringing the expenses from outside Japan- (If a foreigner): a document to certify his/her identity such as residence card etc.; (If Japanese): a photocopy of a driver s license or health insurance card. 5-C [If the supporter resides within Japan] Documents certifying the ability to pay the expenses during the student s stay The following documents 1 Letter of Financial Support ( 経費支弁書, Keihi Shibensho) The supporter s full name, signature and Inkan (or signature) is required 2 Supporter s proof-of-residence in Japan Photocopy of the Supporter s Residence Card (front and back page) and Residence Certificate ( 住民票, Jumin Hyo) 3 Document(s) to prove the supporter s income Tax Certificate ( 課税証明書, Kazei Shomeisho) (where gross income is stated) (for the past 3 years) Tax Statement ( 源泉徴収票, Gensen Choshu Hyo) Tax Return (copy) ( 確定申告書, Kakutei Shinkokusho) An original deposit balance certificate (also attach document(s) showing the source of income such as a certificate of employment or tax certificate, etc.) 4 Proof of payment 5 An original document certifying the relationship of the student and the supporter e.g. certificate of family relations, Certificate of Residence ( 住民登録票, Jumin Torokuhyo), an official copy of the family register ( 戸籍謄本, Koseki Tohon)

6 Documents certifying the educational background [For enrolling in undergraduate school] High school graduation certificate (expected) and transcript [For enrolling in graduate school] College/University graduation certificate (expected) and transcript [If you are currently in or have been to a Japanese language school] Certificate of completion and attendance certificate from your Japanese language school together with the documents certifying your educational background * If you have a diploma, refer to the notes (2) below. 7 Reason for applying for a Certificate of Eligibility 8 International Reply Coupon Documents regarding the 9 intention and ability of study *If your attendance rate is less than 80%: Fill out a statement noting the reasons with evidence (objective documents) in 7. If you wish us to send within Japan, please enclose postal stamps for JPY 1,400. Please submit if it applies to you 1 Academic Record For students from China, high school ( 高中 ) academic results, and if you have taken the unified entrance examinations for universities ( 高考 ), please submit your results notification 2 Documents to prove applicant's background

<Notes> (1) All the photocopies listed above are required to be clear, single-sided, and of A4 size. (2) If you only have the original documents to submit and would like to have the documents returned, please enclose the Application for the Return of an Original Copy of a Certificate form ( 証明書原本返却願届 ) together with the documents, otherwise the documents will not be returned. The Application for the Return of an Original Copy of a Certificate form can be downloaded from the International Center s International Students website (for enrollees). (3) The immigration bureau may require you to submit additional documents besides those listed above. (4) If you have studied in Japan in the past, please be sure to submit your certificate of attendance and transcript. If your attendance rate is less than 80%, submit a statement noting the reasons together with evidence (objective documents). (5) For 5 on the table above, be sure to submit all the required documents according to the applicable criteria in 5-A/5- B/5-C. (6) If you should make a mistake, draw a double line over the error, and then place your Inkan (or signature) over the mistake (correction fluid or tape may not be used). (7) If your documents are in any language besides Japanese or English a translation into Japanese is necessary. Please have the item translated and have the following information noted 1the translation date 2the translator s name 3the translator s address 4the translator s telephone number 5the translator s signature, on a blank space of the document. The applicant themselves may translate the documents. (8) All certificates are required to include issuer s title and full name / issuing authority s location, telephone number and fax number. (9) Documents issued are valid only for a certain time period. It may take several days after AGU receives your documents to submit them to the immigration bureau, so please be sure to check when your documents were issued. For documents issued within Japan they are valid for up to 3 months from the issue date. For documents issued outside of Japan they are valid for up to 6 months from the issue date. (10) Please do not use staples, only paper clips. *For Students of Chinese Nationality (1) Please submit a copy of the Household Register ( 戸口簿, Hukouben) including the page with the household address. (2) Regarding proof of graduation from universities in China (including colleges); if possible please submit the original of the academic certification report issued by China Higher-education Information and Student Information: CHSI or China Academic Degree & Graduate Education Development Center: CDGDC (3) For students who graduated from senior high school in China ( 高中 ) and have taken the unified entrance examinations for universities ( 高考 ), please submit your results notification issued by CDGDC (certificate stating your scores from 高考 ) if possible. (4) Please do not abbreviate the address in China (e.g. 中国 省 市 ( 県 ) 号 )
