COMMITTEE AND JOB DESCRIPTIONS THE EXECUTIVE BOARD consists of the following elected positions: President, President-Elect, 1 st Vice President (Membership), 2 nd Vice President (Ways & Means/Fundraising), 3 rd Vice President (Non-Fundraising Community Service Projects), Treasurer, Secretary, Member Representative. A Parliamentarian is appointed by the President and has no vote. Refer to Constitution Article IV for job descriptions. BUTTERFLY GARDEN CHAIR: In 2014, our GFWC- SC state president chose as her special project: Mental Health Matters. In keeping with that theme (as the butterfly is the symbol associated with mental health advocacy), CWC installed a butterfly garden at Crooked Creek Park. We worked hand in hand with CCP staff to transform an old overgrown poison oak & ivy garden into a beautiful butterfly garden for all to enjoy. As CWC has ownership of this garden at the park, we are committed to the ongoing support and maintenance of the garden. CHAPLAIN: Arrange for words of inspiration at each meeting and lead the Club Collect and Pledge of Allegiance. (God, Country, Club) Appointed by the CHARITIES: The Club will support the following charities: We Care, Good Works, Community Service Day and others which may be approved by the club. A Club member appointed by the President will serve as liaison to each of the charities, attending the board meetings of the charity when possible and keeping the Club apprised of the needs of the charity. COMMUNITY OF CHARACTER CHAIR: Monthly bulletin board display of a student essay of a character trait (ex. responsibility, self-discipline) at the Chapin Library & monthly publication of essay in the Chapin Times with photos of students. Each student receives a personalized congratulatory card from the Club. The

President shall appoint a Coordinator. CONSTITUTION and BYLAWS COMMITTEE: In charge of making needed revisions or changes, or interpreting the Club s constitution and bylaws. Chaired by the Parliamentarian, the committee shall report annually to the Executive Board on any changes needed in the constitution and bylaws. FUNDRAISING: The 2 nd Vice President is a Board Position. The Second Vice President or President shall appoint coordinators of individual fundraisers. Examples: The Pecan Sale chair will order and distribute pecans, collect monies, track inventory and sales and generally promote the fundraiser. The Auction Chair is responsible for overseeing all aspects of the Auction. This includes forming a committee, planning the event, running the event and post event follow-up. With Board input, the Auction Chair selects the date, time, venue and theme, negotiates contracts, holds regular meetings of the auction committee, updates the membership and maintains the auction database. Celebration Tables Chair is responsible for coordinating all aspects of the event and for choosing her committee. MEALS ON WHEELS CHAIR: Compiles a MOW delivery schedule for Club Members and reminds them of their scheduled date. Serves as liaison with Crooked Creek and the MOW coordinator.

MEMBERSHIP: The 1 st Vice President is a Board Position. Responsible for keeping guest book, a record of visitors and dates of visits, contacting guests and serving as their liaison to the Club. Issues an invitation to join after prospective member fulfills membership requirements. Also in charge of coordinating annual recruitment event (if specified by the Board), for the orientation of new members and assisting with other membership related tasks such as compiling and keeping new member packets up-to-date. The Member Representative is a Board Position. Annually updates, circulates and compiles a survey to determine members willingness to serve on the executive board, their talents, skills, and special abilities that they may be willing to devote to club activities, and any other input deemed necessary in that Club year. Shall assist with duties as needed and other tasks as specified by the President or Board, for example, sending birthday cards, get well cards, etc. COMMUNITY SERVICE PROJECTS CHAIR: The 3 rd Vice President is a Board Position. This position identifies and recommends community service projects to the Board and membership. Individual project chairs for CSP s will be appointed by the 3 rd VP or the Each Project Chair will be responsible for recruiting a committee (if needed) to implement the project, obtaining materials as well as coordinating delivery, as the specific project requires. NOMINATING COMMITTEE: (Refer to Constitution and By-Laws) Develops slate of officers for the following year and presents for Club approval at the March meeting.

PROGRAM COORDINATOR: Responsible for arranging programs for the monthly meetings when time permits. Will plan suitable programs based on Club objectives, the GFWC/SC priorities, and interests of club members. Will locate suitable speakers, make logistical arrangements, and write a thank you letter to the speaker following the meeting. Coordinator appointed by the PUBLICITY: Responsible for making sure the Club is recognized in the local newspapers and social media for all community service projects. Article, with photo when possible, should be submitted to Chapin Times at least monthly. Coordinator appointed by the President SCHOLARSHIP COMMITTEE: In charge of recruiting a committee, contacting staff at Chapin High and Spring Hill High, providing scholarship applications, providing publicity for scholarship applicants, setting a deadline, evaluating applications and selecting winners, notifying winners and attending school awards assembly. This person remains in communication with the schools staffs throughout the process. Coordinator appointed by the SOCIAL: This Chair/committee is responsible for social functions, including but not limited to the spring and fall luncheons, a holiday party, and one social event per quarter during which no business is to be transacted. The social hour preceding the regular monthly meetings are the responsibility of the cohostesses; however, the chair of the social committee is responsible for recruiting hostesses and, if requested, assisting the hostess in locating meeting space. Appointed by the

SOCIAL MEDIA: This evolving position has responsibility for Facebook, Twitter, Pinterest, Instagram and other social media platform publicity, as well as providing photos and captions to GFWC-SC and to GFWC for their promotion of our Club activities on a state and national levels in social media. Appointed by the TELEPHONE OUTREACH: Oversees telephone chain, which is activated to notify members of various occasions or situations. This committee is organized into Care Groups each with a Group Leader. Groups will be called on to provide meals when there is a death or illness in the immediate family of a club member as well as birth to a club member. The Group Leader will be responsible for organizing that meal. The Outreach Chair will be responsible for contacting the Group Leader. If a club member knows of a situation that requires outreach, contact the Outreach Chair. Outreach Chair is also responsible for contacting the Treasurer to order flowers or make memorial donations as needed. Appointed by the WOMAN OF THE YEAR: The out-going Woman of the Year is responsible for conducting the vote for the new Woman of the Year in March. She is also responsible for purchasing the gift (at the Club s expense) for the new Woman of the Year to be presented at the May meeting on behalf of the Club and for providing the information and photo to the Social Media and Publicity Chairs for dissemination.
