Lee Center, Alexandria, VA Soror Rhonda Luss, Basileus, Presiding Minutes Date: Saturday, September 9, 2017 General Membership Meeting No.: 17-06 The meeting was held on Saturday, June 10, 2017 at Nannie J. Lee Center, Alexandria, VA. The Zeta Chi Omega Chorale provided a musical prelude. The meeting was called to order by Soror Rhonda Luss, Basileus at 10:02 am. Meditation: Led by Soror Toni Carter Pearson. Greetings: Soror Jessica Sims, Hodegos Introduction of visiting sorors: Soror Mauri Bishop, Soror Chavelle Hedges, Soror Vallerie J. Pringle, Soror Myah Snowden, Soror Rose Merry Brock, and Soror Khia Ross Quorum: Soror Yvette Darnaby, Philacter Zeta Chi Omega 122 sorors present; quorum established. Adoption of Agenda: Soror Rhonda Luss Addition: Graduate Advisor-Soror VaShawn Guice Veal MOTION: Soror VaShawn Guice Veal moved to adopt the agenda with the noted correction. Motion seconded. Thanked Membership Committee, sponsors and co-sponsors, workshop presenters, and sorors who donated dinner for the candidates on Friday nights for making the first two MIP weekends a success. Reminded sorors that the Boule hospitality assessment of $300 per graduate chapter and $150 per undergraduate chapter should be included in the 2018 Chapter Budget. MOTION: By the direction of the Executive Committee, it is moved that the Chapter ratify the decision to approve the Zeta Chi Omega Stroll Team s performance during the Summer Night with Diamonds and Pearls party on Friday, June 9, 2017. Call for the Vote. Unanimous Vote. Motion carried. Anti-Basileus: Soror Robin McCoy Presented written report Report is in the Ivyette Target I-approximately 50 people attended the ASCEND graduation on May 12, 2017. Target II-The Longest Day activities include Zumba class, Nutrition class, and visiting 3 Nursing Homes in Alexandria and Arlington. The Longest Day activities will take place on June 17, 2017. Target III-28 Sorors served a hot lunch meal to the residents of the Carpenter s Shelter on May 28, 2017. Fiscal Responsibility Workshop is planned for September MOTION: By the direction of the Executive Committee, it is moved that a Financial Fitness workshop be held in the month of September 2017. Tamiouchos: Soror Stephanie Woodland Kelly General Fund Account: Beginning Balance as of May 1, 2017 $ 90,749.36 Total Revenue $221,759.33 Total Expenditures $ 67,704.81 Ending Bank Balance as of May 31, 2017 $154,054.72 Property Fund: Beginning Balance as of May 1, 2017 $281,657.30 Ending Balance as of May 31, 2017 $288,210.30 Presented written report with footnotes. Report will be filed for audit. Pecunious Grammateus: Soror Crystal Lander Presented written report. Total Membership as of 05/31/17: 371 Total Cash Receipts for period 05/01/2017-05/31/2017: $148,152.80 Note that the Pecunious Grammateus and Tamiouchos reports differ due to items receipted in May, but not yet reflected in the deposits. Congratulated all June birthday celebrants Announced that the June birthdays will be celebrated with the July, August, and September birthdays immediately following the September meeting. All Sorors are welcomed to attend. Soror Geraldine Lewis is relocating to the Chesapeake area. 2

Soror Jackie Guillory is retiring after 30 years of service and moving to Montgomery, AL. Soror Ester Stubbs-Varnado is relocating to Huntsville, AL. Philacter: Soror Yvette Darnaby Presented written report Explained that it is necessary to move toward an automated sign in system to provide a more efficient and smooth process for signing in over 400 sorors. Presented research on three systems and recommended Club Sentry MOTION: By the direction of the Executive Committee, it is moved that the Chapter purchase membership sign-in software from Club Sentry, at a price not to exceed $1,351. Discussion. MOTION: Soror Crystal Lander moved to table the discussion and refer it back to the committee to clarify questions. Motion seconded. Call for the Vote. Motion Carried. Graduate Advisor: Soror VaShawn Guice Veal Presented written report Sigma Alpha will prepare files for upcoming chapter re-evaluation in September 2017 Soror Althea Matteson graduated from Marymount University with honors. She will transfer her membership to Zeta Chi Omega Chapter. STANDING COMMITTEE REPORTS Nominating: Soror Bonnie Jones-Moon, Chairman Presented written report Announced the following officer positions will be open for nominations on the 2017 Chapter Officer Ballot: Basileus, Grammateus, Anti-Tamiouchos, Pecunious Grammateus, Ivy Leaf Reporter, Graduate Advisor, Philacter, Epsitoleus, and 5 Nominating Committee Positions. 2017 Officer Applications should be submitted by hand or email to the Nominating Committee no later than September 15, 2017. Standards: Soror Amanda Pratter, Chairman Presented information on the Chapter Retreat MOTION: By the direction of the Executive Committee, it is moved that the Chapter Retreat be held on August 19, 2017, at the Hilton Alexandria Mark Center in conjunction with Game Night hosted by the Sisterly Relations Committee on Friday, August 18, 2017. Call for the Vote. Unanimous Vote. Motion Carried. Membership: Soror Tonya Perkinson, Chairman Presented written report Report in the Ivyette MIP Weekend 3 is scheduled for Friday, June 23, 2017 through Sunday, June 25, 2017. It will be held at the Hilton Washington Dulles Airport. Hotel check-in time is 3 PM and check out is 12:00 Noon. The New Member Luncheon will be held on Sunday, June 25, 2017, at 1:00 PM. Soror Lisa Wilson, Arlington Deputy Commonwealth Attorney, will deliver a 7-10 minute presentation to educate sorors on the grand jury process. The date will be determined by the Executive Committee based on the Chapter Calendar and the availability of Soror Lisa Wilson. AD HOC COMMITTEE REPORTS 2017 Founders Day: Soror Saundra McCullough-Cobey Chairman Presented written report Presented final closeout report and recommendation MOTION: By the direction of the 2017 Founders Day Committee, it is moved that the residual funds in the amount of $445.50 be used for the planning and executing of the 2019 Founders Day Celebration. The funds will be available in 2018 for the 2019 Founders Day Chairman. Call for the Vote. Unanimous vote. Motion Carried. Mentoring: Presented by VaShawn Guice Veal Presented written report Presented information on New Members Bowling event. There is a deposit of approximately $333.00 required to hold the reservation at Bowl America. MOTION: By the direction of the Executive Committee, it is moved that Mentoring Committee have a bowling party on July 7, 2017, at the cost of $14 per person. The deposit will come from the Mentoring Committee line item. Call for the Vote. Motion Carried. Sisterly Relations: Soror Allyson Hilliard, Chairman Presented written report The annual Chapter picnic is scheduled for June 10, 2017, immediately following the Chapter meeting. For all sorors attending the Leadership Seminar in Las Vegas, NV, there will be a Chapter Sisterly gathering on July 14, 2017, at 5:30 PM, at Bahama Breeze. Stroll Team: Soror Marquita Davis, Chairman MOTION: By the direction of the Stroll Team, it is moved that the Chapter approve that a stroll team request be forwarded to the Regional Director for permission to stroll during the Chapter Retreat. Call for the Vote. Motion carried. UNFINISHED BUSINESS None NEW BUSINESS None ANNOUNCEMENTS IFNV: Soror Hazel Cameron, President Applications are available for the 2018 Cotillion, scheduled for April 14, 2018. Cooley-Moore Scholarship Luncheon Fashion Show is scheduled for Sunday, November 12, 2017. Ticket sales have begun. 4
