Annex 1 The daily news clippings should be supplied electronically from national newspapers and magazines on selected subject areas / keywords as per the details given below: 1. Newspapers and magazines (list given below) should be searched for subject areas as per the keywords listed below. 2. The selected news stories should be scanned, saved on a web-server and a mail with the news clippings hyperlink should be sent to the EU Delegation. The navigation of the clippings and its content should be user friendly and easy to bookmark. Different e-mails are required to be sent per subject area to a number of e- mail addresses (40-60 e-mail addresses per subject area). 3. The submitted quotation should include all the costs like scanning, uploading on the server, server space, sending the e-mail to a number of e-mail addresses, etc. There will be no separate payment, besides your quotation in the Annex 2. 4. The service provider has to exercise good editorial judgement in the selection of the news stories for each subject category / key word and evaluate the importance of the story from the client s point of view. 5. At the end of every month, a copy of the press clippings sent to the E U Delegation during that period should be compiled on a CD and provided to the Delegation. 6. Care should be taken to avoid taking duplicate news items. If the same or similar story is appearing in different newspapers / different editions of the same newspaper, then the one which is most news-worthy and valuable should be selected and sent to us and not all repetitive coverage. This, however, does not apply to news items that are EU centric, each and every news item of this nature should be picked up. 7. The e-mails containing the news clippings hyperlink should reach us at the very latest by 09:00 am everyday. The list of e-mail addresses to which the newsclip hyperlink should be sent will be provided by the EU Delegation. 8. On the occasion of high-profile visits, the news clippings may be required to be sent in hard copy (10 sets) at another location in Delhi (other than the EU Delegation) by 8:00 am. The service provider should have the capability to supply us the news clippings by 8:00 am on these select occasions. This service may be required roughly 8-10 times in a year for 2-3 days each. 9. The list of publications and keywords is not exhaustive. After the start of the services, the selected service provider will have to be in regular contact with the EU Delegation to improve the selection of news clippings as per the requirements.
