An Invitation to Participate In August 2012, many thousands of professional and learned geoscientists will travel to Brisbane in Queensland to attend the 34 th International Geological Congress, known to the international geological community as the 34 th IGC. The IGC is one of the world s longest running and most prestigious international scientific events. First held in Paris in 1878 to coincide with the Paris Exposition and generally held every four years, the IGC is a high profile, genuinely international gathering. The scientific sponsor of the IGC is the International Union of Geological Sciences (IUGS). The 34 th IGC will also benefit from UNESCO patronage. The Norwegian capital of Oslo hosted the most recent IGC in August 2008, attracting around 6000 delegates and some 100 exhibitors and sponsors. It had the distinction of being the largest Congress ever held in Norway. After 36 years, this major global event has returned to Australia, where the IGC was last held in Sydney in 1976. Ranked among the top Convention Centres world-wide, the Brisbane Convention and Exhibition Centre (BCEC) will be the venue for 34 th IGC. The Congress dates are 5 to 10 August 2012, with pre and post Congress events being held either side of the Congress itself. The Congress The Australian Geoscience Council (AGC), is the peak representative body for geoscientists in Australia, and is hosting the 34th IGC. The AGC member societies include; Association of Applied Geochemists, Australian Institute of Geoscientists, Australian Society of Exploration Geophysicists, Geological Society of Australia, International Association of Hydrologists (Australian Chapter), Australian Geoscience Information Association, The Australasian Institute of Mining and Metallurgy and Petroleum Exploration Society of Australia. These societies all strongly support the 34 th IGC. The Australian Government s geological survey, Geoscience Australia, is contributing financially, providing senior staff for the organising committee and promotion of the event internationally and facilitating delivery of products for the 34 th IGC. State and Northern Territory Geological Surveys and GNS Science, New Zealand, are contributing financially and organising field trips. A wide-ranging scientific program will highlight the crucial contributions of geosciences in meeting societal needs and sustaining planet Earth with particular emphasis on future mineral and energy supplies in a carbon-constrained world, climate change and its impacts on land and water management, mitigation of geohazards and geoscience information and standards. Major contemporary issues will be highlighted in plenary theme-of-the-day sessions. Some 35-40 concurrent symposia on a wide range of topics are proposed for each of the five full days of technical sessions. Individuals will only be permitted one oral presentation and there will be a strong complementary poster program. The Congress will also provide an opportunity for our young scientists and students to engage with some of the best geoscience minds in the world. Delegate Profile The IGC is the major multi-disciplinary global event for reporting on and discussing the latest geoscientific research, applications and international cooperation. Exhibitor Terms Organisations participating in the Congress as exhibitors, including sponsors who have been allocated exhibitor space as part of their sponsorship package, and organisations that have been granted complimentary exhibitor space, agree to the following terms: 1. It is necessary for exhibitors to complete and return (to the address shown below) the Exhibitor Registration Form together with payment in the amount of 50% of the total space fee payable. Exhibitor arrangements and/or packages will not be held or reserved until this form and payment have been received by the Congress managers and the payment cleared. Following approval by the managers and clearance of payment, a confirmation of exhibitor booking and a tax invoice will be sent to the contact person provided on the Exhibitor Registration Form. Payment of the remaining 50% of the exhibitor fee is payable not later than ninety (90) days prior to commencement of the Congress. Full payment of the exhibitor space fee must accompany any Exhibitor Registration Form received ninety (90) days or less prior to commencement of the Congress. 2. Exhibitor sites shall be allocated in order of receipt of Exhibitor Registration Forms and cleared payments. 3. The initial payment of 50% of the exhibitor fee is non-refundable. Unless otherwise agreed to in writing by the Congress managers, failure to pay the remaining 50% by ninety (90) days prior to commencement of the congress shall be considered to be a cancellation of participation in the exhibition and any exhibitor space fees paid shall remain the property of the congress. 4. Exhibitor fees may be paid by credit card (American Express, MasterCard, Visa and Diners Club) or by cheque or money order. A surcharge may apply on payments made by credit card. All fees will be transacted in Australian Dollars (AUD). Cheques and money orders must be payable in Australian Dollars (AUD), drawn on an Australian bank account and made payable to 34th IGC. The host organisation and Congress managers make no warranty as to the number of sponsors, exhibitors, delegates and/or participants that will attend the event. 6. Sub-letting or assignment of exhibitor sites and/or exhibitor benefits is not permitted. Exhibitor sites may not be shared with any other organisation/s unless this has been agreed to in writing by the Congress managers. In cases where such approval is granted, only the name of the organisation that appears on the Exhibitor Registration Form shall be listed as an exhibitor in Congress publications and signage. 7. The host organisation and Congress managers reserve the right to amend and alter the exhibitor floor plan and location of exhibitor sites as circumstances may require. 8. Prior to the Congress, all exhibitors will be provided with an Exhibitors Manual which details the schedule for move-in and move-out of the exhibition venue, venue terms and conditions, delivery details and other important information. Exhibitors agree to comply with the terms expressed in this manual. 9. Exhibitors must hold a Public Liability Insurance policy, current over the dates of the Congress, with cover in the amount of $10 million (Australian Dollars) or more. A Certificate of Currency of this policy must be provided to the Congress managers not less than 60 (sixty) days prior to commencement of the Congress. 10. Custom built exhibition areas must be approved by the Congress managers not less than 60 (sixty) days prior to commencement of the Congress. To obtain this approval, exhibitors must provide to the Congress managers with full details of the proposed build, including full dimensions, content of the display and name and contact details of the build contractor. The exhibitor warrants that the build contractor complies with all applicable Workplace Health and Safety regulations and is appropriately insured. 11. Exhibitors are responsible for any damage caused by themselves, their agents, contactors and representatives. 12. Exhibitors shall receive an agreed number of Exhibition (or Sponsor) Staff Registration Packs (ESRP s). Each ESRP includes a name badge and morning and afternoon refreshments and lunches as described in the Congress program. ESRP s are not transferable and may not be shared. ESRP s are for use by exhibitor (and sponsor) representatives required to staff exhibitor sites.
