Keyport Bayshore Business Cooperative Minutes of the 9/12/18 Meeting Executive Board Meeting Wednesday September 12, 2018 Council Chambers, Keyport Borough Hall Attendees: Ann Boyce - President Jack Straub Vice President Donna Purcell Paul McKeefry - Secretary Larry Vecchio Treasurer (arrived late at 6:56) Lorraine DeVizia George McMorrow (left at 7:05) Joe Merla Chris Sanborn (arrived late at 6:48) Collette Kennedy Keyport Borough Council Representative Lori Davidson Absent: Anna Panayiotou Harry Aumack II Mayor, Borough of Keyport Meeting was called to order at 6:34 PM Minutes from August 8, 2018 Motion to approve was made by Lorraine DeVizia Motion was seconded Joe Merla Approved by voice vote; Collette abstained It was noted that Secretary is still working on minutes for the July 11 meeting Public Session: Nancy Carew spoke on behalf of the tree lighting o She had put in a request for a donation o Tree lighting event is not run by any organization o Steve Gerhardt volunteeredl donate the money to purchase the tree o Tree lighting is National Small Business Saturday o It was suggested that we could tie a MyTown Marketing event to the tree lighting
o Nancy Carew has most details worked out theme is Christmas Magic o School district gets involved o Dance troupe from high school also participates Board commented that a Committee to look at creating event will be considered. Scarecrow Contest a benefit for friends of the library Ed Carew requested $300 in Keyport Kash Frank Pallone will be the celebrity judge Questions about the election of Board members arose during the public session and were address by the board. Public Session closed at 6:50 Nominations for Board of Directors It was noted that nomination forms back to Lori by 9/19/18 There are 3 seats open for 2018: Ballots will be mailed October 1 and are due back by 10/19. In 2019, 2 seats will be up for election In 2020, 4 seats will be up for election Nominations forms were taken from the floor. After discussion about problems with past mailings, the board agreed that this year s ballots would be sent in 6X9 envelopes and the address would include the owner s name and the business name. Ballot package would include a postage-paid return envelope. Treasurer s Report It was noted that Larry Vecchio is not yet a signer on the bank account bank is being difficult Jack Straub questioned negative number on page 1 of report under sponsorships Lori Davidson to investigate and report back Motion to accept treasurer s report was made by Collette Kennedy, seconded by Jack Straub and approved by voice vote. Old Business Collette brought up the check for the mulch by the post office (by Seagrass Landscaping) from the last treasurers report
Jack Straub explained how it worked through the visual improvements committee budget Larry Vecchio queried whether Post Office property owner pays into the BID. Lori Davidson to look up address of Post Office, ownership info, and payment into BID info. Lori Davidson is also working on BID payment lists with the borough Fall Event Promotion Jack Straub advised that: Three-ups for the water bills are done Posters for Big Bellies promoting Music Festival and Christmas events are at the printer Jack Straub advised that September event is rain or shine Larry Vecchio to talk about having the bands do a future event Restaurant Guide Lori Davidson to update current guide and send to print It was pointed out by Paul McKeefry that we need a digital link (url and a digital image) Parking Maps Many thanks to Andrew Kelsey for completing our parking map project. Map to be posted on social media and Citizens of Keyport and should be sent to business owners. Map to also be posted on KBBC website. A motion was made by Larry Vecchio to send Andrew Kelsey a thank you letter and $100 Keyport Kash. Motion was seconded by Lorraine DeVizia and passed by voice vote. Events September 22 o Bands are lined up o Jack Straub has been out explaining about the sidewalk sale to business owners Everyone has been receptive o Per last meeting we are putting Keyport Kash in runners bag o Need to ask borough to extend use of mini park until 7 PM o Larry Vecchio to talk about having the bands do a future event o Special police officers for crossing at Main & West Front o Band budget was $6,500 o Sound $1,500
o Stage being donated by Union Beach (for 10/20/18 as well) o Jack to get logo from Patrick o Race time = 8:30 Start o Trophy time TBD o Band times TBD October 20 Music Festival It was noted that this event coincides with Community Day and Home Coming at the School with a football game Ann Boyce gave the following update o 19 acts plus 2 headliners o Going to need volunteers o Garden Club with do decorations o DPW with do corn stalks on the light posts o Not closing American Legion Drive Chris Sanborn and Jo Merla agreed to meet with Lori Davidson and Paul McKeefry to work on beer, wine, and service After a discussion, a motion was made by Larry Vecchio to increase budget for the event from $30,000. Motion was seconded by Lorraine DeVizia and approved by voice vote. Details of the Chowder Contest were discussed and it was agreed that people will be visiting the restaurants to sample the chowder Vendors and Food trucks will located from post office to borough hall Marketing Facebook campaigns ready to do Visual Improvement Committed No meeting as of yet The finishing of the mini park including adding a permanent stage was discussed but tabled for a future meeting o Larry Vecchio has estimates for stage of $25,000 $16,000 New Business
Fall MyTown Marketing Event KBBC is contracted with MyTown for a fall event (between Halloween and Thanksgiving?) My Town put forward two ideas (descriptions of each were read by Lori Davidson): Town-wide happy hours Fall in love with Keyport Event Collette Kennedy put forward the idea of using MyTown for a local shopping event that kicks off at the Christmas tree lighting A repeat of Restaurant Week was also presented as another idea After much discussion, a motion was made by Larry Vecchio to combine the two ideas from MyTown in a Fall in Love with Keyport that incorporated the savings and photography/social media aspects of each program. This motion was seconded by Jack Straub and approved by voice vote. Tree lighting A motion was made by Ann Boyce to give the Tree Lighting group $1,000 in the form of a check to help them offset expenses. This motion was seconded by Lorraine DeVizia and approved by voice vote. Historical Society for the Tea A motion was made by Collette Kennedy to give $100 in Keyport Kash to the Keyport Historical Society for their Tea and Fashion show to be used as prizes. This was seconded by Chris Sanborn and approved by voice vote. Field of Dreams The request for a donation was discussed but no motion was made. Rules for Receiving Support from the KBBC It was discussed that the KBBC should examine its rules for supporting other organizations. No action taken. Scarecrow Contest Larry Vecchio made a motion to give $300 in Keyport Kash to the Friends of the Library for the scarecrow contest. This was seconded by Ann Boyce and approve by voice vote. It was agreed that the Keyport Kash would be put in the race bags (in an envelope). Music/Shopping Event and October 20 Music Fest to be promoted at race registration as well. Lori Davidson Contract A motion was made by Larry Vecchio to extend the contract for the services provided by Lori Davidson through the end of October. This was seconded by Collette Kennedy and approve by voice vote. Meeting adjourned at 9:15 PM.
