May 2018 RE: TEPS Annual Emergency Preparedness Summit Dear Exhibitor: Once again, it is time to make plans to attend our annual conference in Jackson, TN. The Conference will be at the same location as previous years, The Carl Grant Center on the campus of Union University located off Interstate 40 at Exit 84A. We anticipate another large attendance, highlighting educational sessions for Law Enforcement, Fire Service, Rescue Operations, EMS, EMA, Public Health and Hospital Preparedness personnel. We host these first responders from throughout Tennessee and will be providing classes for all levels of emergency response workers. The conference will offer national, state, and locally known speakers. Attached is our schedule and exhibitor information. Please read and submit the enclosed vendor application as soon as possible. Vendor space is very limited so please adhere to the deadline. T E P S Tennessee Emergency Preparedness Summit Exhibitor Guidelines Exhibit Dates: Wednesday November 14, 2018 Thursday November 15, 2018 -Exhibits should be set up Tuesday (November 13) before 6PM -Exhibit hall opens at 7AM Wednesday morning Location: Union University- Carl Grant Center 1050 Union University Drive Jackson, TN 38305 731-343-0203 -Additional information may be obtained at our web site: http://teps.us Attendees: EMRs, EMTs and Paramedics, RNs, MDs, Fire Fighters, Police Officers, Healthcare Students, and Hospital Disaster Preparedness Personnel Attendance of 250 300 anticipated Display Fees: Exhibitor space is reserved on a first come basis, so please register early. A $200.00 late fee will be assessed on registrations or payments received after November 9, 2018. Gold: $3,000.00 - Includes two 6 foot tables, 4 chairs, 4 exhibit badges, ½ page ads in our program, 5 min to address main session, and 4 conference meals, with static display in lot option Platinum: $4,000.00 Includes three 6 foot tables, 6 chairs, 6 exhibit badges, 5 min to address main session, a full page ad in conference program, and 6 conference meals, with included space for static display in lot option Diamond: $5000.00- Includes the same as a Platinum Sponsor plus banner and/or signage advertising, marketing, networking with time to address main session and recognition throughout the conference beginning with our conference announcements- Current Diamond sponsor has first right of refusal for the 2017 Diamond sponsorship Exhibit Space: Exhibit spaces will be assigned by TEPS staff before the conference in order of sponsorship beginning with diamond and working down to bronze level. There are quite a few premier locations with high visibility and exposure, those areas will be assigned by level and payment submission date Amenities: Exhibit space includes items mentioned above and a conference bag with conference agendas. Exhibitors are responsible for their own signage and table cover Registration: Each Exhibitor must submit payment and a signed Contract to Exhibit Payment of Fees: Payment of all fees with a signed contract must be received no later than November 9, 2018. Payments are to be made payable to TEPS, referencing TEPS 2018 in the memo line, and mailed to the address listed on the Contract. Exhibits must be set-up and ready to receive participants by 7:00AM Wednesday.
TEPS reserves the right to prohibit or require the removal of any display or exhibit or any part of an exhibit which it deems not suitable or in accordance with these regulations or in accordance with acceptable professional ethics or for other reasons deemed necessary or appropriate by TEPS All exhibits shall conform in all respects to applicable safety, health, and fire codes plus rules of the Union University Carl Grant Center. Security: Insurance of exhibit contents and personnel is recommended. TEPS does not insure exhibitor property. TEPS and Union University shall use reasonable care in providing security measures during the hours of installation and operation for the protection of the exhibitor s materials and display. Beyond this, TEPS, Union University, their respective officers, directors, and employees or agents shall not be responsible for the safety or protection of the property of the exhibitor, its employees and agents from any cause. Liability: By exhibiting, exhibitor for and on behalf of itself, its employees and agents, release and waive any and all claims, demands or actions against TEPS and or Union University and their respective officers, directors, employees, and agents. In addition, exhibitor agrees to hold harmless and indemnify TEPS and or Union University, their respective officers, directors, employees, and agents resulting from any negligent or intentional act or omission of exhibitor, its employees, agents, and invitees, and each of them. The person who signs the Contract to Exhibit on behalf of themselves, their employers, employees, or agents warrants they are authorized to sign such contract. Persons who may for any reason falsely represent their power and or authority shall not be cause for alteration or termination of the Contract to Exhibit. Transfer, release, or removal of individuals from the title/position as noted in this Contract to Exhibit as listed by the exhibitor either Party noted below shall not be cause for alteration or termination of this Contract to Exhibit. Cancellations: Applicants who register for space may cancel, in writing, to TEPS, and must be received at the registration address prior to November 9, 2018, to receive a refund minus a 50% cancellation fee. Applicants who
cancel after November 9, 2018 will forfeit the entirety of their registration fee. Occupy Space: Failure to occupy any space by Wednesday, November 14, 2018 by 6 PM shall be deemed forfeited by the exhibitor. TEPS staff may reassign such space without any obligation to the exhibitor.
