Evans, Deputy City Clerk, Corporate Services, 905-874-2115 Overview: Procedure By-law 160-2004, as amended, requires the annual meeting schedule for Council and its committees, to be presented for Council approval by the end of September of the previous year. This report recommends a 2013 meeting schedule for City Council, its Standing Committees, and other legislated and advisory committees. The meeting calendar takes into consideration statutory holidays and events such as the Association of Municipalities of Ontario (AMO) and Federation of Canadian Municipalities (FCM) annual conferences and board meetings. The calendar includes dates for two Council Workshops. Recommendations: 1. That the report dated September 20, 2012, from E. Evans, Deputy City Clerk, Corporate Services, to the Council Meeting of September 26, 2012, re: 2013 Council and Committee Meeting Calendar, be received; and 2. That the 2013 Brampton City Council and Committee Meeting Schedule, attached to the subject report as Schedule A, be approved. Background: Procedure By-law 160-2004 states that the Council/Committee meeting calendar is to be established on an annual basis, and approved in September of the previous year. The City Clerk's Office produces an annual calendar of Council and Committee meetings so that Members of Council, staff and the public may refer to a "year at a glance" schedule.

Current Situation: This report proposes a schedule for Council and Committee meetings from Januarythrough December 2013, based on the requirements ofthe Procedure By-law, past practicesand the general principles listed below. Staff has maintained consistency within this schedule but some meeting dates have been adjusted due to statutory holidays, City-sponsored events and other factors. Staff also considered major religious and cultural days in the development ofthe 2013 meeting calendar. Region of Peel A proposed 2013 Regional Council meeting calendar is to be meetings considered at the September 27, 2012 Regional Council meeting. Proposed meeting dates are included on the City's recommended meeting calendar, and will be updated when the Region's 2013 schedule is approved. 15-1-4 Noteworthy Dates By Month October Thanksgiving: Monday, October 14, 2013 November Remembrance Day: Monday, November 11, 2013 December Committee of Council - Budget: For consideration of the 2014 budget, two days are scheduled: Monday, December 2, 2012 and Tuesday, December 3, 2013, with a further half-day (Wednesday afternoon, December 4, 2013), if necessary. One regular meeting of PDD Committee, Committee of Council, and Council are scheduled in December. Corporate Implications: Staff input has been incorporated and no conflicts are anticipated. Conclusion: The proposed meeting schedule reflects the requirements of the Procedure By-law, addresses specific considerations and follows established meeting practices. When approved, this schedule will be circulated to Members of Council and staff, and posted on the City website.
