UNMAS/GICHD Bi-Annual Technology Workshop 1. Workshop 18-20 June 2014, Pretoria, South Africa Administrative and Practical Information Note that the final workshop program will be distributed in mid-may The workshop will take place 18-20 June at the Centurion Lake Hotel (see the attached map). The Workshop starts at 09.00hrs on Wednesday 18 June 2014 and ends Friday 20 June at 14:30hrs. It is suggested for participants to arrive in the evening of 17 June. 2. Accommodations Sponsored participants are reminded that the GICHD will cover the cost for hotel rooms (with breakfast included, without extra charges) during the period Wednesday 17 or 18 June (depending on arrival in Pretoria) to Friday 20 June 2014. For sponsored participants the room will be paid for separately by the GICHD. For non-sponsored participants the bill is to be paid upon check out. For both sponsored and non-sponsored participants kindly make sure to pay any additional charges such as telephone bills, mini bar, food, laundry and any other extra charges at the front desk before departure. Sponsored participants are required to finance any additional nights outside 17-20 June. Kindly be informed that hotel rooms must be reserved before 9 May. If you have not informed the GICHD before 9 May it will be assumed that you will arrange accommodations separately and hotel reservations will not be maintained by the GICHD. You are required to inform the hotel about your exact arrival time. Check out is at10.00hrs. Luggage can be stored in a secured room at the hotel free of charge. The hotel reception desk will assist as necessary. Also note that a board room has been reserved at the hotel for any bilateral meetings during the workshop. Transportation The closest airport is the Oliver Tambo International Airport in Johannesburg. The distance from the airport to the hotel is 42 Km. There is also a public train system, the 1 5
goes to the Centurion Train Station and is approximately 1 km from Hotel. The attendees can organise the Hotel to pick them up at the station. The website for the train is www.gautrain.co.za. Participants are required to arrange transportation from the airport to the hotel on arrival and departure themselves. Arrival should be scheduled for Tuesday 17 June in the afternoon or evening and flight departure not before 14:30hrs on Friday 20 May. Daily transfer to the Denel Land Systems Offices in Pretoria and back has been arranged. Private transportation outside the meeting program is to be arranged for and paid for by the individual. 4. Meals Breakfast is included in the room price. The GICHD will provide a free lunch for all participants at the meeting venue during all days of the workshop, coffee breaks are also provided by the GICHD in the morning and in the afternoon. You are invited to a workshop dinner on Wednesday 18 June at 19.00hrs at the Stone Cradle Restaurant (www.stonecradle.com) Transportation to and from the restaurant will be arranged. Please inform the GICHD the soonest if you have any special dietary requirements. Note that for sponsored participants no per diem or any other financial compensation is provided. 5. Presentations If you are presenting at the workshop, please send your presentation to d.rankin@gichd.org by noon 10 May. Presentations delivered during the workshop will be provided to all participants on a USB stick on the last day of the workshop. 6. Visa Requirements Note that most country nationals are exempt from needing a visa to enter South Africa. Check the list here below for nationals requiring a visa for South Africa. The GICHD will provide supporting visa letters as required and requested. To obtain such a letter, you must provide the GICHD with passport details (copy of passport, name, first name, passport number, place of issue, date of issue, date of expiration, the soonest). If you require such a supporting letter and you have not received one yet, you need to request one within a week after having received this instruction. The information required is to be sent to d.rankin@gichd.org the soonest. 7. Security The risk of violent crime to visitors travelling to the main tourist destinations is generally low. The South African authorities give high priority to protecting tourists and tourism police are deployed in several large towns. Most cases of violent crime occur in the townships. 2 5
