The Constitution of EKTA - Indian Students Association of University of Hartford Purpose: Ekta, the Indian Students Association is a registered cultural club for Indian students at the University of Hartford. The club aims to foster unity and the spirit of India. The club will facilitate and celebrate events and programs to showcase Indian Culture at the University of Hartford. Ekta is a registered member with the Student Government Association (SGA) and will follow all rules laid out by SGA and University of Hartford. Membership: The membership of Ekta shall consist of: Any registered undergraduate and graduate students at the University. Alumni of the University. Outsiders can be registered with Ekta by paying a membership fee of $10 per year. Executive Board: E-Board is elected by the general body or appointed by elected executive board. The E-Board will consist of the President, Vice President, Advisory Director, Treasurer, Secretary, Public Relation Officer, Web Master, Alumni Relations. Executive board eligibility: Must be University of Hartford Current, full time student. Must not be on scholastic probation from the university. The President and Treasurer must have completed atleast one semester at the University and should be Undergraduate students. Elections: Elections will be held once every academic year. Elections will be open ballot unless a request is made for a closed ballot. All positions shall be nominated and seconded. If two or more candidates are in the fray,
majority vote rules will be applied. Incase there are no contenders and if Ekta is unable to fill vacant positions the existing E-Board will appoint a member. Appointment may only be revoked by majority rule. Current Secretary will count ballots and announce results of elections. If secretary is a contender, the Webmaster will count the ballots. Any member can ask for a recount. In case of a tie re-election for that post will be conducted one week later. E-Board members may be re-elected Campaign address will be given one week after nominations or on the day of elections. Each contender may take up to 5 minutes of campaign address. Executive Board- Resignation and Impeachment Any officer may resign during the course of the term by submitting a written resignation to the E-Board. An officer can be impeached for failure to perform assigned duties and, not representing the best interests of EKTA members and effecting the reputation of EKTA. Any elected or appointed officer can be removed from office by a majority vote from the General Body. In the event of a vacancy in the middle of an academic year the E-Board will appoint a member. Appointment may only be revoked by majority rule. If the office of the President is vacant the Vice-President will assume Presidency. Executive Board Duties: Ekta is a member run organization governed by the E-Board. Given below are the responsibilities and duties of all E-Board members. President: The president shall represent the organization at all university and Ekta events. The president will preside over all E-Board and general body meetings. The President along with the Treasurer will attend all SGA annual calendar and Budget meetings. The President will be responsible for all communication between SGA and Ekta. Vice President: The Vice President shall handle all presidential responsibilities in absence of the president. The VP is responsible for all communication and coordination with Student Activities Center-SCA (room reservations, technology orders). The VP is also responsible for all permissions and waivers. (Public Safety, Food Waivers)
Advisory Director: The Advisory Director is responsible for managing, planning, coordinating and executing all Ekta events. The Advisory Director will be responsible for all communication and coordination between International Center, Faculty Advisor, other Indian Faculty and Ekta. Advisory Director will invite and coordinate all E-Board and general body meetings. Treasurer: The treasurer shall be responsible for creating, maintaining, and monitoring all financial records, expenditures, revenues, fundraising, sponsorships, ticket sales, and reimbursements for Ekta. The treasurer will submit an itemized budget to the E-Board at the beginning of each semester. The Treasurer should attend all SGA annual calendar and budget meetings. Secretary: The secretary shall be responsible for recording the minutes of each E-Board meeting and general body meetings. The secretary will be in charge of maintaining and organizing all internal records and forms for EKTA. Public Relation Officer: The PRO officer shall be responsible for all publicity of EKTA. The PRO will also Advertise and market all Ekta events. The PRO will create, design and post all publicity material such as flyers, posters, invitations and banners within and outside the University. The PRO will update member and potential sponsors databases. Web Master: The Web Master s responsibilities will be to maintain and update the web page of Ekta on a day to day basis. Details on the web include contact information of the E-Board, news about upcoming events, links to other Indian Student Associations and such others. Incase the Secretary is contending in elections, Webmasters will count the ballots for the elections. Alumni Relations Officer: He/She has to maintain updated Alumni database. He/She will communicate with the Alumni about the upcoming meetings and events. The ARO will direct funds and donations from Alumni to the organization. Special Guidelines All activities sponsored by Ekta shall be organized in a joint effort by the entire E-Board and general body. Only the President, Vice President (in the absence of President), and Treasurer are authorized account holders (issuing checks and depositing). The E-Board has no obligations to follow prior events.
At the end of the year, the E-Board, will compile a memoir of the past years events for the Ekta s internal records. Ekta s official logo has to be placed on all official documents and publicity material. Refer internal records for the logo (updated, Spring 2009). Constitution: The constitution will be the rulebook that all members of the organization will adhere to. The constitution of Ekta can be changed only once in per semester. Any changes or amendments to the constitution should have a two-thirds majority vote by the current E-Board. The E-Board must understand and follow the constitution.
