JUNIOR AUXILIARY OF VICKSBURG SEPTEMBER CHAPTER MEETING September 2, 2010 The Junior Auxiliary of Vicksburg met on Thursday, September 2, 2010, at BancorpSouth for the regular monthly Chapter Meeting. President Chesley Lambiotte called the meeting to order at 5:30 p.m. The prayer was read in unison by all. Ex-Officio Tori Shelton called the roll: Forty Seven (47) Active Members were present; Eight (8) Active Members were absent. A quorum was present. Special guests were Members of the Junior League of Jackson The minutes of the May Chapter Meeting were approved as read. OFFICERS REPORTS TREASURER: KATIE FEIBELMAN Account balances as of 08/23/10 are: JAV Operating Account - $4,463.75 Edward Jones Reserve Account - $50,441.26 Special Functions - $186.85 Memorial Fund - $85.85 JAV Publications Account - $22,678.14 Treasurer Katie Feibelman reminded the Chapter that all dues ($100), fines, and outstanding balances must be paid before the October Chapter Meeting in order to vote. Treasurer Feibelman reminded the Chapter that the Area Meeting is October 9. Cost is $45 per Member. Board Member fees are paid by the Chapter. Make check payable to JAV and submit to Treasurer Feibelman. Treasurer Feibelman reminded the Chapter that we are exempt form sales tax. If you are purchasing anything on behalf of JA do not pay sales tax. Our tax ID # is 64-6022403, sales tax ID # is 075-08771-8, Wal-Mart ID # is 316509, and the Office Max ID # is 203-228-392. Treasurer Feibelman stated that absent/tardy/missed Schedule fines are as follows: $1.00 for being late or absent from a meeting; $7.00 for the first missed Schedule; $14.00 for the second missed Schedule; and $21.00 for the third missed Schedule. Please turn in all late fees to Co-Treasurer Gareth Lampkin. Treasurer Feibelman reminded Members to turn in reimbursement vouchers along with original receipts to Feibleman. Let your project chairman know the amounts or provide

them a copy of each receipt. This process will allow the project chairperson to keep up with expenses related to the project. Treasurer Feibelman stated that the financial statements were attached to the schedule. Treasurer s report was filed for audit. FIRST VICE PRESIDENT: SPELER MONTGOMERY First Vice President Speler Montgomery reminded the Chapter that the Area Meeting is scheduled for October 9. All Board Members are required to attend and, if unable, must submit a letter to the Board requesting to be excused. JAV Members are required to attend either Area Meeting or AEC during first two years of active membership. First Vice President Montgomery advised Members who plan to attend the Area Meeting to turn in their registration fee of $45 to Treasurer Feibelman no later than the September Chapter meeting. Registration for Board Members is paid for be the Chapter. First Vice President Montgomery announced that a Provisional Meet & Greet will be held after the November Chapter Meeting. Location TBA. First Vice President Montgomery requested that anyone needing a new permanent name tag let her know before the October Chapter Meeting. The cost is $5.00. First Vice President Montgomery announced that following October s Chapter Meeting those who put up candidates who are voted in should be prepared to present or inform their candidate with their invitation letter after the meeting. SECOND VICE PRESIDENT: KARLA MCHAN Second Vice President Karla McHan announced that September hour sheets were due at tonight s meeting. Hours should be estimated through the end of September. Members must have minimum 20 hours to vote at the October Chapter Meeting. If a Member does not have 20 hours, they are required to send a letter of explanation to the Board and request permission to vote. Second Vice President McHan announced that those who missed the May meeting can get their hour folder by contacting her via email or phone. Second Vice President McHan announced that information for the October Schedule is due from all Board Members and all Project Chairmen to Second Vice President McHan by Monday, Sept. 27, 2010. Send a copy of officer reports to President Lambiotte and committee reports to Projects Chairman Ginger Parker. A missed schedule will be given if not received on time. RECORDING SECRETARY: AMY SCOTT First Vice President Montgomery announced the next meetings as follows: Board Meeting Sunday, October 3rd, at 2:30 p.m. at BancorpSouth

Chapter Meeting Thursday, October 7, at 5:30 p.m. at BancorpSouth. First Vice President Montgomery reminded all Members that when sending correspondence on behalf of JAV, a copy needs to be sent to Recording Secretary Scott for maintaining in permanent records. CORRESPONDING SECRETARY: LESLIE SADLER Corresponding Secretary Leslie Sadler advised that the following correspondence has been sent: *A sympathy card was sent to Jacquelynn Amborn on the death of her mother-in-law, Florence Amborn. FUNDRAISING: KRISTI SMITH Fundraising Chairman Kristi Smith reminded Members that the Golf Tournament will be held April1, 2011. Fundraising Chairman Smith announced that there will be a brief fundraising committee meeting following tonight s meeting. PROJECTS CHAIRMAN: GINGER PARKER Projects Chairman Parker advised Members to think of possible service projects that could be considered for next year. Project Proposal forms will be available at the October Chapter Meeting. Projects Chairman Parker reminded project chairman that they must submit monthly schedule information as required by Second Vice President McHan. Projects Chairman Parker reminded all project chairs that they need to turn in monthly project forms to Projects Chairman Parker at each Chapter meeting. Every project Member will need to complete a project hour sheet and turn it in to the project chair by the end of each month. Both forms are available from Projects Chairman Parker and are on the JAV website. A missed schedule will be given if forms are not received on time. Projects Chairman Parker advised all project chairs to keep an ongoing project handbook. Camp Silvercloud Custer Camp Silvercloud was a great success this year. We served 25 children with special needs, providing them with 3 full days of fun activities. They did daily crafts, archery, and swimming, and even a scavenger hunt, talent show, and dance. We had 23 high school volunteers. Children s Shelter Marsh Schedule announced. Community Outreach Buckner

Project ongoing. Dave Ramsey Cole Meeting held August 23 rd to discuss 2010-2011 project Family Development Liggett Project ongoing. LEAP Parker Schedule announced. Safety Town Hobson Project complete. PUBLIC RELATIONS: KRISTY COLE Public Relations Chairman Kristy Cole announced that the public relations committee met on August 26 th and discussed marketing possibilities and assigned committee members to specific tasks to be performed throughout the year. Public Relations Chairman Cole announced Pats on the Back : Feibelman, Ferrell, Montgomery, and Shelton. Member of the Month was Lampkin. Public Relations Chairman Cole requested that Members notify her of any project dates and exciting events that may occur that requires marketing or recognition. Public Relations Chairman Cole stated that the public relations committee is working on and email blast to be sent to sponsors and contributors to JAV. Public Relations Chairman Cole reminded the Chapter that JAV Newsletter advertising space is available for the fall newsletter. Prices are $100 for a full page; $75 for ½ page; $50 for ¼ page; and, $25 for 1/8 page. See Public Relations Chairman Cole for a form. It is due October 1, 2010. Public Relations Chairman Cole reminded Members to complete the Member Montage form. JAV PUBLICATIONS: KIMBERLEY MANSFIELD JAV Publications Chairman Kimberley Mansfield announced cookbook office hours as follows: Custer August 18 September 5; Parker Sept 6 - Oct 13. JAV Publications Chairman Mansfield reminded the Chapter that we are seeking new vendors for the cookbooks. Let JAV Publications Chairman Mansfield know if you have any ideas. JAV Publications Chairman Mansfield advised Members to inform Co-Publications Chairman Alainna O Bannon of any events in which we could set up a table and market cookbooks.

CONTINUING EDUCATION: MELISSA BLACKBURN Continuing Education Chairman Melissa Blackburn stated that if you were present for tonight s speakers you may count 1hr. Continuing Education Chairman Blackburn went over the Chapter evaluations with Members Continuing Education Chairman Blackburn stated that River Region Healthy Woman activities occur each month. You may count 1 education hour for attending. SCHOLARSHIP: MELISSA BLACKBURN Graduate Scholarship Program applications are available from Blackburn or on the website. NOMINATING: TORRI SHELTON Nominating Chairman Torri Shelton announced that there is no new business at this time. LIFE MEMBER LIAISON TORRI SHELTON Life Member Liaison Torri Shelton stated that Life Member contacts have been made through Facebook. CONSTITUTION: SPELER MONTGOMERY Constitution Chairman Montgomery announced that there will be a Constitution Committee meeting on Wednesday, September 22, 2010 at 5:30 at BancorpSouth. All committee members are required to attend. Constitution Chairman Montgomery stated that the 2010 2011 Set Policies and Constitution were sent with the May Schedule. They are also available on the website. PRESIDENT S REPORT: CHESLEY LAMBIOTTE CORRESPONDENCE RECEIVED President Lambiotte announced that the following correspondence has been received: *Letters from C. Lambiotte and Mansfield requesting to be excused from Area Meeting. *Letters from Burr and Upchurch asking for permission to vote without 20 hrs *Letter from Edith Crosby, our CSC, praising our JAV Facebook page *Email for NAJA encouraging members to become fans of NAJA Facebook page *Letter from NAJA reminding us to order a hard copy of the Bulletin or download it *Email from Mansfield asking for permission to purchase a new fax/printer for the cookbook office. Listed all correspondence received. All correspondence will be on file. UNFINISHED BUSINESS President Lambiotte reminded Members not meeting the 20hr voting requirement to submit a letter to President Lambiotte prior to October Board meeting in order to vote.

President Lambiotte stated all dues and fines must be paid by the October Chapter meeting in order to vote. President Lambiotte advised Members who are nominating someone for membership to be prepared to speak briefly about their candidate at the September Chapter meeting. All Members must review new member applications prior to voting in October. Please contact President Lambiotte if you cannot attend September s Chapter meeting and need to review the applications. President Lambiotte announced that Beat the Heat Summer Retreat was a huge success. Thanks to Lampkin for offering up her home. President Lambiotte announced that the Fundraising committee has taken over handprint tile and brink sales. NEW BUSINESS President Lambiotte stated that the Cookbook committee voted to increase the shipping rate for our cookbooks. We will charge $4.00 for the first book and $1.50 for each additional book. Via email the Finance committee approved request to purchase a JAV Past President s Plaque to be displayed in the Chapter room. President Lambiotte stated there have been 14 candidates nominated for JAV membership. With a recommended number of 10 new Members, all current Members in good standing will vote in October for 10 Provisionals. According to our amended Constitution, if all 14 get majority, then 14 will be elected. President Lambiotte advised that Members nominating a candidate will be allowed to speak about their nominee for 1 minute. SPECIAL ORDERS There are no special orders. BOARD ACTION President Lambiotte advised the following Board action: *Board approved requests from C. Lambiotte and Mansfield to be excused from the Area Meeting. *Board approved letters from Burr and Upchurch asking for permission to vote on new Members at the October Chapter meeting without having me the 20hr requirement. *Board approved a request from Treasurer Feibelman to amend the budget to include $350 to the miscellaneous line item under PR. Chapter discussed this and First Vice President Montgomery moved to approve the request to amend the budget. SECONDED; MOTION CARRIED.

ANNOUNCEMENTS President Lambiotte acknowledged September birthdays wishes to Scott on the 16th, L. Smith on the 19th, and Custer on the 29th. President Lambiotte reminded Members to notify Corresponding Secretary Sadler of any changes in contact information. President Lambiotte announced that new Bulletins are in and to pick one up if you ordered one.
