OPEN MONTHLY MEETING MINUTES February 5, 2018 DAYHA Board Members Present: Kristi Duis, Troy Malo, Robin Olson, Jeff Ornell, Kevin Reed, Kirk Reierson Absent: Mike Dorsey, Jaime Nielsen, Troy Schmidt Others Present: Josh Simonson, Carolyn Kivisto Call To Order: 7:11pm by Kirk Reierson OFFICER REPORTS: President 2 nd Sheet update needing to get good cost information looking for a CFO-type person to aid the group in developing the financial story for the 2 nd sheet pass along any names you might have! Treasurer 2017-2018 Budget o State Bank of Delano - $292,334.83 o Minnesota Lakes - $4,683.13 o 2 nd Sheet Fund $27,618.61 Gambling determined by Department of Labor to be under-paying based on a misunderstanding of the large employer versus small employer rules. Until the amount due is known they will hold the February payment of ice fees. Motion by Kevin, 2 nd by Troy M., to approve January Treasurer s report. Motion passed (5 Yea, 3 Absent). Gambling Committee/Manager Kevin February budget for $12,200 (10,000 for payroll, $300 for supplies, $900 for accounting, $1,000 Delano Mini Storage o Motion by Troy M., 2 nd by Jeff to approve February budget. Motion passed. (5 Yea, 3 Absent) December Actual Expenses of $9,919.70, as detailed below: o B Johnson and Assoc. Accounting $0 o Supplies Supplies $109.03 o Paychex Payroll $8,788.80 o Payroll employee payout $444.54 o Sweatshirts $577.33 Motion by Troy M., 2 nd by Kevin to approve December expenditures. Motion passed (5 Yea, 3 absent) Payroll processing will be switched from Paychex to B Johnson and Associates during the review of the account it was discovered that our gross sales push us into the large employer status. We will go back 2 years to true-up the payroll difference it will have an estimated balance due of $2,000 - $3,000 Need another booth installed at Dave s bid received of $2,100 o Motion by Troy M., 2 nd by Robin to spend $2,100 to replace the cabinets at Dave s Town Club. Motion passes (5 Yea, 3 Absent). Snowstormers have inquired about purchasing the old gambling bins Kevin to determine price to charge.

DASA Kevin/Rick Season winding down o 4 more home varsity games Off-season rink improvements o Bathroom remodel tile and labor to be donated, looking for a plumber to donate services (Boys HS team will help with demolition) o Troy Ess to add shelfing and beams in the Zamboni room for better storage and organization HDC Anthony Goalie subs will increase as we approach the end of the season and look to Regional Tournament Girls Update Josh 8U practicing separate from the Mites so far so good but noticing a difficulty in getting coaches to attend looking to level leaders and other coaches for assistance Thank you to Anna Kivisto for helping out with coaching Considering organizing an 8U Jamboree in Delano for next year planning meeting in March Desire to use remaining Jamboree funds to purchase t-shirts for the group since the group was unable to locate a 2 nd jamboree suggested getting estimates from sponsors before committing to a provider o Motion by Troy M., 2 nd by Kevin for the 8U girls to spend up to $300 to purchase t-shirts in lieu of participating in another Jamboree. Motion passed (5 Yea, 3 Absent) Kasey Bigham won the Essay Contest great opportunity for her team and great publicity for DAYHA and Delano hockey in general General updates for each level tournament placing FOX 9 is doing a piece on Rachel Malberg hosting a mock practice in Delano Josh has been in touch with Rachel to consider coaching once life has settled down after her bout with cancer. Recruitment Kevin Try Hockey For Free March 3 rd Kevin to reach out to Ben Pupp to get this added to the website o THFF was advertised during the Olympics! Kirk attempted to reach out to the AD in Rockford to help develop a relationship between the two communities. Recap of Puck in the Park successful overall o Determine volunteer needs sooner

o Plan out of town tournaments accordingly so the association can participate Scheduling Dan, Vicky Equipment Troy S. Sponsorship Troy s Need to confirm but additional checks were recently received which would mean that most (if not all) checks have been received Registration & Teams Jaime/Paula Volunteers Jaime Discussed needs during the District tournaments OLD BUSINESS: DASA Contract no update o DAYHA Fights Cancer - coordinating this with the Mite Jamboree Robin is waiting on the package of goodies more to come Chevy Test Rides arrange for a weekend when we have Intro/Termites and Mites scheduled 20 drives = $500 NEW BUSINESS: KKIH Isaac Wales has resigned o Discussion of finding another volunteer or using the Treasurer in this role more to come o Approximately $1,950 to come to KKIH after family fundraiser DAYHA/DASA Water Usage Contract o Discussion of the Water Usage Contract presented to DAYHA by the School District Water rate of $4.79/1,000 gallons of water used from outdoor spigot o Agreement as received was open-ended board would request that the term of the agreement be in sync with the city s lease on the outdoor rink land (2020). o Board would request that the rate charged to the school be stated in the contract as well

Motion made by Kevin, 2 nd by Robin to approve the contract with the proposed amendments above and allow Troy S. and Kirk to sign if/when needed. Motion passes (5 Yea, 3 Absent). District Tournament Coordination o Bill McCabe will be the overall coordinator Bantam A February 17 th 25 th PeeWee C March 3 rd 10th Discussed number of games and volunteers needed Discussed Board member presence at all games Kirk to put together a sign-up for Board members Inspired Athletx o Kirk provided a debrief of his site visit and what Inspired Athletx has to offer the Association ADJOURNMENT: Motion by Kevin, 2 nd by Jeff to adjourn at 9:22pm.
