CONFERENCE ORGANIZATIONAL OVERVIEW Thank you for your interest and willingness to host a PATH Intl. Region Conference. PATH Intl. regional conferences are annual events, with the exception of the region where the international conference and annual meeting is being held. Regional conferences is an important gathering for PATH Intl. and the equine-assisted activities and therapies community, providing a local opportunity for networking and education within the region. The structure of each conference varies with the host region and location, along with the amount of input a local committee is willing and able to put into the event. However, they are typically two to three days long and typically held over a Friday, Saturday and Sunday. They are typically held at a local PATH Intl. Member Center, college or any location that allows for multiple sessions rooms. The number of attendees varies widely from 30 up to 235, depending on the region (see historical attendance below). Some attendees may have special needs or mobility challenges. The region representative may appoint a task force chair to determine a location, or a PATH Intl. Member Center or local association may decide to host the event and send a letter of intent to the PATH Intl. office to submit a proposal. Many factors go into deciding the location where the conference should be held. Deciding factors include the location of the potential state in respect to past conference sites, ease of travel for attendees and affordability. Once a location is determined the planning of the conference starts to take place. One of the first tasks of the conference task force chair is to identify additional subcommittee chairs, as the committee perceives necessary, and volunteers. Another task to be completed early on is to work with the PATH Intl. office to locate facilities. Following is an overview of the major deadlines and tasks associated with the conference, along with policies, procedures and sample forms. Page 3 of 32

REGION CONFERENCE TASK FORCE JOB DESCRIPTIONS 1) REGION CONFERENCE TASK FORCE CHAIR a) Qualifications: i) Must be a current PATH Intl. member in good standing. ii) Must be a PATH Intl. member for at least two years prior to appointment. iii) Must have a strong interest in assisting and supporting the development and growth of PATH Intl. iv) Must be a resident in the region where conference is hosted. v) Must be committed to active participation. vi) Must have access and ability to use email for communication ease. b) Term: i) Appointed by region representative. c) Vacancies: i) If a region conference task force chair is unable to complete the term, he/she will assist the region representative to find a replacement for the balance of the vacated term. The region representative is responsible for appointment in conjunction with the PATH Intl. staff liaison. d) Removal of Region Conference Task Force Chair: i) A region conference task force chair can be removed if he/she does not fulfill his/her commitments as they are outlined in this document or if he/she exhibits unethical behavior. ii) Specific measurements that can lead to dismissal: (1) PATH Intl. outline of responsibilities are not met (2) Conference task force chair views do not align with PATH Intl. e) Primary Duties: i) Recruits and appoints a region conference task force. (May include state chairs and other RLT members.) ii) Champions educational opportunities for members in the region. (1) Bring educational needs of the members to the attention of the region representative and the PATH Intl. staff responsible for the region conference. iii) Provides assistance to PATH Intl. staff responsible for the region conference including: (1) Site selections (a) Primary facility (b) Supplemental facilities (e.g., arena, center facility, etc.) (2) Presenter Needs (a) Coordinates audio/visual needs. (b) Facilitates solicitation for call for abstracts. (c) Selects and schedules presenters. (3) Local sponsorship (a) Exhibitors (optional) (b) Silent auction contributions (optional) 2) REGION CONFERENCE TASK FORCE: a) The region conference task force supports the regional conference task force chair and PATH Intl. staff to plan, manage and implement the regional conference. b) Primary Duties: i) Recruit Volunteers (1) Volunteers are needed for registration check-in, room monitors and silent auction/merchandise. (2) If a barn day is planned, volunteers may also be needed as horse handlers, side walkers, riders, and for set up and clean up. ii) Promote the regional conference using approved PATH Intl. materials. iii) Provide assistance to PATH Intl. staff responsible for the region conference including: (1) Site selection (a) Primary facility (b) Supplemental facilities (e.g., arena, center facility, etc.) (2) Catering Vendors/Menu Suggestions (3) Presenter Needs (a) Coordinates audio/visual needs. (b) Facilitates solicitation for call for abstracts (c) Selects and schedules presenters (4) Local sponsorship. 3) VOLUNTEERS: a) Volunteers will be needed throughout the conference and can be recruited from the general PATH Intl. membership and leadership. Volunteers will be needed to work in areas such as registration, hospitality, silent auction, room monitors and horse expo, along with set up and clean up. Experienced horse volunteers can be recruited from a center s active volunteer list. Remember that all applicable PATH Intl. standards apply for all volunteers. i) PATH Intl. Registration Desk (1) This is a great way to meet all conference attendees. The primary task for the volunteers in this area is to check in attendees and assist people with onsite registration. Volunteers might be standing for a length of time, although chairs are typically provided. ii) PATH Intl. Silent Auction/Merchandise (1) Volunteers are needed to organize and display silent auction or merchandise items. This may include moving boxes and light lifting. Once set up, the volunteer's primary task will be to help keep the merchandise organized and on display, folding shirts, checking availability of sizes, setting out books, assisting with close-out/pick-up, etc. A PATH Intl. staff member will be available to handle the money and process credit cards at pick-up. iii) Room Monitors (1) Room monitors are responsible for assisting the speakers during their sessions. (2) Responsibilities include: (a) Verifying conference registration identification (i.e., by checking name badges at the door). (b) Acting as the timekeeper, making sure the session starts and ends on time. (c) Assisting speakers with any additional needs or room needs, such as dimming the lights or if audio/visual assistance is needed, etc. 4) PATH INTL. REGION REPRESENTATIVE: a) Attend the regional conference. b) Host region and state meetings at the regional conference and provide minutes from the meetings to the PATH Intl. office. 5) PATH INTL. OFFICE: i) The PATH Intl. office will manage the region conference budget, draft the MOU, publish call for abstracts, negotiate with vendors, sign contracts, market the region conference, process conference registrations, report on registration, and produce and ship conference materials. ii) Registration fees are developed by the PATH Intl. office during the budgeting process. (1) There will be discussions with the region representative and conference task force chair during the budget process. b) Insurance: Region conferences are covered under PATH Intl. s general liability policy. The regional conference task force Page 5 of 32

chair will notify the PATH Intl. Regional Conference Coordinator of the date(s) and location(s) of the event. PATH Intl. staff will use this information to arrange for insurance coverage. REGIONAL CONFERENCE (CHECK LIST) Blue completed by PATH Intl. staff Black- completed by conference task force 12 months Out: Dates of conference are submitted to PATH Intl. office. Dates are first come first serve with no more than two conferences in a single month. Dates can be submitted by region rep or conference task force chair. 8 months and 3 weeks out: Region representative will need to appoint a conference task force chair if he/she has not done so already. The conference task force chair will be the primary contact for the PATH Intl. office. The conference task force chair will then submit by email the conference site (center, church, university). (If deadline is not met, the conference will be canceled.) 7 months and 3 weeks out: PATH Intl. will send the conference task force chair the MOU by email and begin negotiations. Conference task force chair to submit signed MOU. (If deadline is not met, the conference will be canceled.) 7 months out: PATH Intl. will announce call for abstracts and solicit for presenters by emailing membership. The abstracts will be collected through Google Docs and viewable as a shared document on Google Sheets. The regional task force and regional abstract committee workgroup will be given a link to view and score all abstracts. 14 weeks out: The conference task force is responsible for submitting finalized content, including speakers, speaker bios, session titles and session descriptions. (If deadline is not met, the conference will be canceled.) Speaker selection should be finalized. o Speaker confirmation letter/email sent (may be either the region conference task force or PATH Intl.) Negotiate and submit any other contracts (speakers, food, entertainment, etc.). If not already started, begin volunteer recruitment. Send out requests for needed equines, equipment and audio/visual needs. If required, plan to take conference days off from work and submit for approval as needed. 10 weeks out: Online registration is built and made live on website. Submit brochure information to designer (may take up to two weeks). Registration reports will be emailed to either the region representative or regional conference chair on a weekly basis. Submit request for discount codes to PATH Intl. office. Make arrangements for equines, equipment, chair rentals, porta-potties, table rentals and audio/visual needs, as applicable. 2 weeks out: PATH Intl. closes registration and reports final numbers. Submit to the regional conference coordinator any check requests or reimbursement requests that need to be paid prior to event. Let PATH Intl. know of any printing needs (signs, bid sheets, directions, etc.). Follow up on requests for needed equines, equipment and audio/visual needs. Follow up and remind volunteers who are helping. o Create a volunteer schedule. o Ask PATH Intl. to send an e-blast on any remaining volunteer needs or attendee updates. 1 week out: Finalize equines, equipment and audio visual needs. Finalize volunteer schedule. All materials needed to check in attendees and to process onsite registrations are mailed to specified location. Post Event: Return funds to the regional conference coordinator with money tracking form, completed onsite registration forms, donations, merchandise funds and/or silent auction funds, Standards Course exams and evaluations and standards hearing feedback forms. o o Funds should be submitted as soon as possible following conference. Bank of America Account is being closed so do not deposit funds. They must be returned to the PATH Intl. office. Region representative or conference chair should submit check requests, invoices or reimbursement requests to regional conference coordinator (should be submitted within a month). Online survey is emailed to attendees the week following the conference. Review and wrap up with region conference task force (both region conference task force and PATH Intl.). Page 7 of 32

BUDGET AND FINANCES PATH Intl. will set a budget for the regional conferences. The budget is set in March for the following fiscal year. For example in March 2016 the budget for conferences held in the 2016-2017 fiscal year (July 1, 2016 through June 30, 2017) will be set. This also includes the budgeting of registration fees. The budget will be approved by the board of trustees prior to the end of the fiscal year. Budgets are set based on historical attendance, registration fees and past typical expenses. All expenses must be approved by PATH Intl. For example, PATH Intl. will consider facility and catering suggestions. Any fees or charges associated with such expenses must be approved by PATH Intl. before any agreements or commitments are made. Agreements must be signed by the PATH Intl. CEO. All conference expenses should be paid directly through the PATH Intl. office. Any out-of-pocket expenses must be pre-approved by the PATH Intl. office and RLT treasurer. If pre-approved, a completed reimbursement form and copies of receipts must be forwarded to the PATH Intl. office. A copy of the reimbursement form may be downloaded by visiting the PATH Intl. website, www.pathintl.org. Click on about PATH International and then click on documents. Each conference is unique. Some may be hosted and managed by third parties, in which case there is an individual and unique agreement. Third parties wishing to host the regional conference must submit a proposal and indicate any hosting fees, facility fees or other fees they will charge. Please note that PATH Intl. has sole responsibility over the following, which cannot be negotiated: Processing of registrations Management of the conference budget Addition of the event for insurance coverage Outgoing marketing and branding of the conference (e.g., brochure, e-blast communications) COMPED/DISCOUNTED REGISTRATIONS: 1. Covered by Conference Budget PATH Intl. will cover registration expenses for up to four key people. It is suggested that these be committee members who are also state chairs, region representatives or other key volunteers the region might wish to underwrite. Each region conference budget has a line equaling four comps. As part of your overall budget, you can utilize those dollars in whatever way best fits your goals for your overall conference budget. 2. Speakers In order to balance the desire to offer some discount to the presenters while creating a fair standard for everyone, PATH Intl. offers a 50% discount to all region presenters. 3. Region Allocation a. Region Reps can choose to use some of the region s allocation to cover state chairs and region reps costs. Although the Region Handbook does allow the use of allocation dollars to fund the region conference, PATH Intl. sees region reps and state chairs attendance as an outreach function. b. Presenter costs/registration cannot be covered from the region allocation, as that is typically an educational function. An exception, however, is if you want to bring in a keynote presenter that will attract more and new people to the conference, as an outreach function. Only one presenter would be eligible for this per region. c. Scholarships may be covered out of the outreach allocation but should be limited to new attendees as an outreach to increase attendance. PATH INTL. POLICIES AND PROCEDURES 1) REGISTRATION POLICY: a) The PATH Intl. office accepts and process registrations for all regional conferences whether they are submitted online or by mail. The registration process will be clearly evident on all printed and website material marketing the conference. Outside handling and processing of registrations is not allowed. i) Registration Reports: Registration reports will be emailed to the region representative and regional conference chair on a weekly basis. Reports will include registrant names, session counts, and demographic questions such as: 1 st time attendee status, special dietary needs, and wheelchair accessibility. If other information is needed, please contact the PATH Intl. office. 2) REGION CONFERENCE REFUND POLICY: a) Full refunds are given for cancellations received on or before the regular not early or late registration deadline listed on the region conference brochure. There are no full refunds given after the regular not early or late registration deadline listed on the region conference brochure. Requests must be directed in writing to the PATH Intl. office by the regular not early or late registration deadline, listed on each region conference brochure. A 50% refund is given if written notice is received between the regular not early or late region conference deadline and eight days after that deadline. Individuals who do not give written notice to the PATH Intl. office prior to eight days after the registration deadline will not receive a refund. There will be no refunds for cancellations due to weather unless the conference itself is canceled. 3) INSURANCE: a) PATH Intl. will add coverage for each event to the association s policy. We will need to know if there is any plan for alcohol, live animals, audience participation or other activities that potentially may require additional coverage. i) Alcohol Alcohol is not to be purchased with PATH Intl. funds. PATH Intl. cannot charge for alcohol. This includes reimbursing for alcohol purchased by a host center or volunteers, the purchase of drink tickets and payment of host sponsored bars. The donation of alcohol or self-purchase through a cash bar is allowed. If alcohol is part of a regional conference, the alcohol must be served by a licensed server such as provided with catering service or bar tenders servicing cash bars. Markel General Liability policies do not include liability coverage for sale of, serving or providing alcohol this coverage is known as Liquor Legal Liability. Normally, the venue used is the actual server/seller/provider of the alcohol, and as such, it has (and needs to provide) a copy of its Certificate of Insurance showing proof of $1M Per Occurrence Liquor Legal Liability. 4) SPEAKER SOLICITATION AND SELECTION: Potential speakers will provide session descriptions as well as biographies, which include only information that would be pertinent to the session they are presenting. The PATH Intl. office will send out call for abstracts to request speaker presentations, using an email blast with a link to an online submission form. The email will be sent to membership and surrounding universities or other organizations that align with the PATH Intl. mission. i) Topic Selection: All educational presentations, seminars and workshops must comply with PATH Intl. standards. regional conference task force can specify topics that interest the membership as summarized in past conference evaluations and meet the annual guidelines. ii) Regional Abstract Selection Workgroup The workgroup will be responsible for the review of all abstracts submitted to ensure quality assurance by applying PATH Intl. standards and best practices. This workgroup will use their expertise to help approve abstracts by scoring all submitted abstracts on a shared Google spreadsheet. iii) The region conference team will select up to two regional conference representatives to join the regional abstract workgroup to select and score abstracts. iv) After the call for abstracts closes, the group will discuss the submission choices on a conference call two weeks before the final content deadline. Ideally, the regional conference representatives will have an idea of content on which they would like to focus their conference. Remember that the abstract selection workgroup s objective is to only approve abstracts that align with PATH Intl. Standards and best practices, not to select abstracts for scheduling. v) Final list of approved abstracts is given to the full regional conference team to select sessions and organize a conference schedule to submit for the final content deadline. In alignment with the PATH Intl. Strategic Plan objectives of quality assurance and excellence in credentialing, a requirement of six hours of disabilities education has been added to instructor renewal compliance. You may want to consider adding some sessions on disabilities to help instructors meet this requirement. vi) Required Activities: There are a few things that are required to be a part of the regional conference. (1) The region conference task force is responsible for reserving a 1.5 hour time slot for the PATH Intl. update to be presented by a PATH Intl. staff member. (2) Regional and State Meetings: The conference agenda must include at least one hour for a regional meeting followed by state meetings hosted by the RLT. vii) Pre- or Post-Conference Activities: The regional conference task force may choose to offer pre- or post-conference activities or in-depth workshops, which can add another level of opportunity for members. Audio/visual and presentation needs must be coordinated with the person conducting the training. The following activities are planned by the PATH Intl. Certification Department only; please contact the certification department for applications. (1) Hosted activities may include: (a) Mentor Training (b) Equine Specialist in Mental Health and Learning Workshop (c) Registered Level On-Site Workshop and Certification 5) PATH INTL. WEBSITE UPDATE AND BROADCAST POLICY: i) Website Region Conferences Procedure: (1) Regional conference task force chair compiles the updates or changes and sends them to the PATH Intl. Communications Coordinator. ii) Email Broadcast Requests by PATH Intl. Region Conference Task Force Chairs from PATH Intl. Office: (1) In the interest of providing timely information to the PATH Intl. membership and maintaining the integrity of broadcasts coming from the PATH Intl. office as distinguished from spamming, region conference task force chairs may request email broadcasts to their region and neighboring states for Page 10 of 32

the purpose of promoting PATH Intl. region conferences. Requests for broadcast of advertisements for products or employment will not be fulfilled. Any exceptions to the previous guidelines must be authorized by the PATH Intl. CEO. PATH Intl. centers or outside entities wishing to advertise products, services or employment opportunities may contact the PATH Intl. staff to place a classified ad on the PATH Intl. website classifieds or the Strides magazine classifieds at a cost of $1 per word. (All members should verify current advertising rates with the PATH Intl. Marketing Department.) 6) DIRECT MARKETING POLICY: a) Registration Brochure or Registration Form: PATH Intl. will use a brochure or single page registration form to help market the conference and to encourage registration with members who do not wish to register electronically. You will find a sample registration brochure and single registration form on pages 14-19. The regions may not produce, print or distribute their own registration brochure. Once the brochures are final, the PATH Intl. Communications Coordinator will post a printable version of the brochure link to online registration on the PATH Intl. website. 7) CONTENT SUBMISSION: Final content published 10 weeks before the conference date will include conference dates, conference location(s), registration dates/deadlines, registration fees, agenda, session names, session descriptions, speaker names, speaker bios, guest meal/event fees, if allowed, and any other special events or announcements for attendees. 8) MEETING TRAVEL EXPENSE: PATH Intl. can set up conference calls at no cost for the regional conference task force to meet and discuss conference planning. In-person group meetings or travel will not be covered or reimbursed. Groups can choose to meet in person at their own expense. 9) CONFERENCE MATERIALS: a) The PATH Intl. office will prepare and ship the box of conference materials to the region conference task force chair after the close of registration, typically two-weeks prior to the event. The box will contain the following materials. i) Final registration report ii) Money tracking sheet iii) Name badges iv) Conference registration forms for on-site registrant v) PATH Intl. publications SURVEY: b) PATH Intl. will use an electronic survey emailed to conference attendees after the conference to capture evaluation and comments. A sample survey can be found on pages 22-31. If you would like to customize the survey, please work with the regional conference coordinator.
