1 Page 1: [1] Deleted Robby Boparai 10/22/14 5:13 PM All Campus Transfer Association (ACTA) ACTA is a commission of the Associated Students with the following purpose and principles: To plan and coordinate all campus events geared toward transfer students, including assistance with but not exclusively Transfer Admit Day, Preview Day, Transfer Orientation, and Welcome Week festivities for transfers To assist transfer students with the transition to UCSD both socially and academically To increase and initiate programming for transfer students at UCSD To increase representation and advocacy for transfer students To increase awareness among the faculty, staff, and student population at UCSD of the increasing number of transfer students on our campus and the individual and collective needs of these students To create and maintain a web page and social networking presence to inform transfer students of events both on and off campus geared directly towards their needs and interests To form outreach, yield, and retention groups to ensure greater numbers of more satisfied incoming transfer students at UCSD To partner with the administration of The Village at Torrey Pines and the student programming leadership of Villagers Initiating Progress to ensure advocacy and programming efforts also benefit students living in on-campus transfer housing Membership ACTA adheres to an open membership policy for students Members should agree to the above principles though not necessarily to the individual platforms of ACTA New members of ACTA may vote on items upon attendance of their third subsequent meeting Officers President, hereinafter assumed to refer to the ACTA, rather than ASUCSD President Shall set the agenda and chair ACTA general body meetings Shall possess a general knowledge of the duties of each office and provide guidance accordingly Shall be the official spokesperson of the association Shall assume the duties of recruitment and retention of ACTA members Shall facilitate the election and appointment of ACTA officers Shall act as a liaison to the UCSD Transfer Services Department Shall remain informed about campus-wide committees that specifically involve or impact transfer students Shall build and maintain a relationship with the ASUCSD Vice- President of Campus Affairs and foster two-way communication about ACTA s involvement in transfer student issues

2 Vice-President Shall oversee ACTA subcommittees and facilitate the success of their projects Shall ensure all event calendars are accurate and up to date Shall fill in for the President in case of absence Secretary Shall take the minutes Shall monitor attendance at general body meetings Shall maintain official ACTA records and correspondence Shall create a membership roster with contact information of those actively involved Shall oversee and compile an events calendar for the association Treasurer Shall draft ACTA s annual budget for the following year by eighth week of spring quarter Shall facilitate membership reimbursements and advance withdrawals Shall oversee and initiate any financial operations required for ACTA events, programs, campaigns and efforts Shall ensure ACTA s adherence to planned budget guidelines, and keep officers informed of opportunity costs as appropriate Shall build and maintain a relationship with the ASUCSD Vice- President of Finance and Resources and foster two-way communication about outstanding budgetary issues that require ASUCSD attention Outreach Coordinator Shall organize outreach, yield, and retention groups with the UCSD Transfer Student Services and Admissions & Relations with Schools departments Shall identify new outreach, yield, and retention opportunities for ACTA Shall ensure ACTA s presence at outreach events sponsored by other departments or student organizations, as appropriate In absence of the President or Vice-President, shall serve as spokesperson for ACTA at outreach events May request assistance from the Publicity Committee to complete duties Activities Coordinator Shall oversee planning and execution of campus-wide events, both on- and off-campus With the President, shall appoint members to an Activities Committee to assist with duties such as event planning and execution Shall work with the Historian to ensure all planned activities are recorded

3 Shall keep a journal of all successful and unsuccessful events for future reference Public Relations Coordinator Shall promote ACTA meetings, events, programs, campaigns and efforts Shall outreach to both campus-wide and college-specific departments, student organizations and community groups to foster increased communication and collaboration With the President, shall appoint members to a Publicity Committee to assist with duties such as promotion, flyering and community interaction College Representatives Shall be a representative from each of the college transfer organizations In the event that a college does not have an active transfer organization, shall coordinate with college council transfer representation Shall work to establish or bolster transfer organization membership at each college Shall ensure that the transfer-related events calendar for each college or transfer organization is accurately and regularly updated VIP Representative Shall be a representative from Villagers Initiating Progress Shall build and maintain relationships between ACTA and VIP Shall keep the ACTA board updated on VIP activities and issues that face the Village at Torrey Pines student population Shall ensure that the transfer-related events calendar for Villagers Initiating Progress is accurately and regularly updated Undergraduate Student Parent Representative Shall be a representative from the Undergraduate Student Parent Association Shall build and maintain relationships between USPA and ACTA Shall keep the ACTA board updated on USPA and issues that face the undergraduate student-parent population Technology Coordinator Shall oversee and facilitate communication through the internal and external ACTA listservs Shall oversee and administrate ACTA s presence online and through social media Shall oversee and administrate the ACTA website, and coordinate with the Associated Students Webmaster on development and updates as needed Sports Coordinator Shall oversee planning and execution of campus-wide sports events, both on- and off-campus

4 Shall ensure ACTA s successful participation in the intramural sports community Shall build and maintain relationships with the UCSD Department of Recreation May request assistance from the Activities Committee to complete duties ASUCSD Council Representative Shall attend all meetings of the ASUCSD Council Shall provide the rest of the ACTA board with a review of ASUCSD Council meetings Historian Shall ensure photographs and videos of transfer students are taken at ACTA events and social gatherings Shall provide all recorded media to the Technology Coordinator for distribution Shall organize and maintain a journal of all involved activities and procedures as a reference CCB President (ex-officio) Shall keep the ACTA board updated on ACCB activities and issues that face the commuter student population Transfer Senator (ex-officio) Shall keep the ACTA board updated on the highest levels of campus development and issues that face the entire transfer student population, and offer support and resources as necessary and appropriate Elections Elections for the office of ACTA President, Vice-President, and Outreach Coordinator shall take place by week five of spring quarter each year All other officer positions, excluding college representatives, shall be elected by week 3 of the fall quarter College representatives shall be appointed by their respective college transfer organization, or in the event that a college does not have an active transfer organization, their college council Members eligible to vote shall elect officers by a simple majority vote during any meeting If a majority of members present prefers, candidates for a position may not be present during the vote for that position Elected members shall take office upon notification of the ASUCSD Clerk of the election results In the event that ACTA has a membership of less than three members for three consecutive meetings, ACTA should be assumed to be in a rebuilding phase During a rebuilding phase, the elections process shall be replaced by an appointment process wherein the ACTA President may appoint interested individuals to any position until three officer positions have been filled, at which point elections shall recommence

5 If all available positions have not been filled by week three of the following fall quarter, the President may appoint members to the remaining unfilled positions Removal of Officers Should any officer of the association fail to fulfill their duties or willfully violate any rules of the ASUCSD, any voting member of the association can call for a vote to remove the officer The vote will occur at the following meeting; removal will require twothirds vote of all members present and will be administered by paper ballot Both the individual who filed the complaint as well as the officer whom the complaint was filed against will be given the opportunity to speak before the vote takes place In the event of the removal of an officer, the ACTA membership shall hold new elections following the procedures set forth in this Chapter
