15 JACK OFALLTRADES Customer Service Departments in Melbourne, Viera, and Palm Bay are tasked with having knowledge of civil, criminal, traffic, injunctions, and recording Civil, criminal, traffic, and recording are all handled by the same bank of clerks Injunctions are handled by specifically-trained clerks to deal with the intricacies of the injunction process and nature of the proceedings Court clerks are routinely cross-trained to assist in both criminal and civil court Call Center staff are trained to answer questions in all case types and divisions, reducing inquiries to individual departments

16 EFFICIENCIES We were the first county in Florida to mandate e-filing by the judiciary We were among the first counties in Florida to devise a way to do criminal case initiation through the Portal We use in-court processing for our criminal divisions to expedite and keep pace with busy criminal dockets We no longer make paper files: all files are electronic and older files are converted to an electronic format so the judges can view them in their viewer (icms) We have a suite of seven e-filing assistant groups that handle all levels of questions, from e-filing to procedural questions We have created an intricate, innovative system to identify documents most often requested by our customers to ensure their up-front redaction to reduce wait times Our pilot online access system, BECA, provides VOR d images to our customers within the same business day and usually within an average of less than 30 minutes We use Adobe products to electronically sign clerk-issued documents, such as summons, defaults, and other court forms Standing quarterly meeting with our state attorney, public defender, and sheriff to discuss ongoing issues between the criminal justice partners to ensure smooth and efficient business transactions
