1 CARLISLE GOLF CLUB MINUTES OF THE 108th ANNUAL GENERAL MEETING HELD IN THE CLUBHOUSE ON THURSDAY 26 th JANUARY 2017 The Captain, Mr. T Doig welcomed everyone to the meeting. He asked the members present if it was their wish that the President, Mr. D Gray, Chair the meeting. This was agreed unanimously. The President then took over as Chair of the meeting. He commenced by welcoming everyone especially those members attending an AGM for the first time. The President then proposed appointing Miss Jo Kyle Club Secretary and Mrs Mary Bellingham Membership Secretary as tellers for the evening. There were no objections. APOLOGIES FOR ABSENCE Various apologies had been received including committee member Mark Nield and the Lady Vice Captain Lisa Anderson-Ward. He then asked those present to take a moment to contemplate the current members who had passed away during the previous year. These members were: Mr Edwin Backhouse, Mr Alan Best, Mr John Fendley, Mrs Vicki Hamilton, Mr David Jack, Mr Robin Liddell, Mr Jim Robinson, Mr Ian Rogerson, Mrs Jenny Walker, Mr Willie Mckie, Miss Norma Pieri. He also went on pass condolences for past members who sadly passed away including Vera Clifford Past Lady President and Lady Captain and Pauline MacNish Past Lady Captain. 1. To adopt the Minutes of the 107 th Annual General Meeting held on Thursday 28 th January 2016 Bill Crossley proposed adoption of the minutes of last years 107 th meeting and Margaret Gilder seconded that the Minutes be accepted as a true record of the meeting. They were duly accepted by a unanimous vote. 2. To approve the Accounts for the year ended 30th September 2016 and receive the Annual Report from the Committee of Management. The President asked if there were any questions relating to the accounts. No questions were forthcoming. Jenny Bland proposed adoption of the accounts and annual report and Jean Crossley seconded that the accounts and annual report be accepted. They were duly accepted by a unanimous vote. 3. Revision of Club Rules: Revision of Club Rules 9 and 18,19 The President explained that as per the rule changes approved at the 2016 AGM the vote would be by ballot and that a simple majority was now required. Rules 9 The Treasurer explained that following the restructure of the club agreed at the last AGM to comply with the new CASC criteria the land had now been transferred into the name of the Limited company and that there was no further requirement for the club to have Trustees. The Treasurer proposed the removal of rule 9. This was seconded by Mike Bland. Rules 18, 19
2 Chair of House explained that these rule changes are intended to bring Carlisle Golf Club s Licensing rules in line with all other Golf Clubs in the area. They remove the need to sign in visitors, which in practise has not happened for a number of years, and allow the club to invite none members to functions and to use our facilities and thereby benefiting from the extra revenue raised. He went on to say that the club recently suffered the disappointment of having to cancel the New Year s Dinner Dance through lack of support, in future year s we would have the ability to invite the general public to attend to make up the numbers which would enable us to utilise the clubhouse and catering and bar staff for the benefit of all. He explained that the current business model benefits considerably through the use of our facilities to generate income by taking control of our own catering for both club and commercial bookings, these rule changes would allow this to continue and to add to our commercial nonmember income by simplifying our licensing rules. He then pointed out that our current none discounted, non- member bar income now exceeds the members annual spend and a significant (up to 25% discount subsidy) arises out of this arrangement for all our benefit. He said it was the intention to continue to focus on and give priority to events for members as at present and to maintain the club dress codes and related club rules. The Chair of House then proposed the revision of rules 18 & 19 as per the notice of resolution posted. This was seconded by Vince Conway. The President then asked for any questions on either of the proposed rule changes. A question was asked regarding rule 9. A member said it was his understanding that the club was owned by the members and asked how the new limited company structure affected this. Chair of the General Committee explained that although the club was now limited by guarantee it was still owned and run by the members in accordance with club rules. He re-iterated that the restructure had been necessary for the club to remain a CASC organisation saving approximately 30K/year in rates reduction. He then explained that in accordance with CASC regulations and the club rules in the unlikely event of the club being dissolved any assets had to be given for charitable purposes and that members could not benefit in any way. With regard to rules 18 and 19 clarification was sought as to whether the changes would mean any member of the public could then come into the club to order food and drink at any time. Chair of House explained that in essence they could as long as they complied with the club s rules and dress code. He did however state that the main purpose of the new licence would be that members of the public could be included to boost numbers at social functions and for additional catering revenue. The meeting was then adjourned to enable all full members present to complete their ballot papers. The meeting re-convened and the President read out the results of the ballot. Rule 9 approved by a majority of 74 in favour 1 against Rules 18,19 approved by a majority of 68 in favour 7 against. The President did then point out that the ballot did also include the postal and votes received prior to the AGM.
3 The Chair then announced that next year s junior captain was Travis Little. He informed members that Travis drives into office on the 22 nd April and asked members to come and support him if at all possible. 4. To Elect: The Vice Presidents Bob Hobbs proposed that the Vice presidents be re-elected on bloc, Dorothy Dalton seconded the proposal. The motion was duly carried unanimously. The Men s Captain - The retiring Captain, Mr Tom Doig, said what an honour and privilege it had been being Captain for He thanked his Vice Captain and the committee for all their help over the year and said how much he had appreciated the support from the membership. He went on to say he was delighted to propose Mr Barry Hickie as Men s Captain for Tom Boyd seconded the proposal. The motion was carried, and Mr Barry Hickie was duly elected Captain unanimously. The President then presented the Captain and Immediate Past Captain with their ties. The newly elected Men s Captain said what an honour and privilege it was to be Captain of Carlisle Golf Club and he thanked the retiring Captain and the committee for his nomination. He also thanked the members for their best wishes. He explained that he had been a proud member of what he considered to be one of the best courses in the North of England for 29 years and said he felt honoured to be following in the footsteps of many excellent Captains and that he would do his utmost to represent the club in the manner expected. The Men s Vice Captain The Captain said that he was delighted to propose Mr Brian Davidson as Men s Vice Captain for He said Brian had been a member for 40 years and was well known amongst the membership as he was a Past Captain, Vice President and Chair of Competitions. He said he was very grateful to Brian who had stepped up in unique circumstances. Jimmy Render seconded the proposal. Mr Davidson was duly elected unanimously. The Vice Captain responded saying this was slightly unchartered territory being Vice Captain for the second time around but said he hoped he could do an even better job this time with more time on his hands now he was retired. He said it was an honour and a privilege and that he would do his utmost to support the Captain throughout the year. The Lady Captain The retiring Lady Captain Lesley Wilkinson said what an honour it had been being Lady Captain in She thanked her vice Captain and members of both the Ladies and General Committee for their support throughout the year. She said it had been a year in her life she will never forget with many wonderful memories and friendships made. She then said she had great pleasure in proposing that Lisa Anderson-Ward be elected as Lady Captain for Caroline Ritchie seconded the proposal, and Mrs Anderson-Ward was duly elected unanimously. The retiring Lady Captain then explained that the new Lady Captain unfortunately could not attend the AGM but said that she would pass on the Lady Captain s brooch to her at the earliest opportunity. She then read out a statement from the new Lady Captain.
4 First, I apologise profusely for being unable to attend this evening due to a longstanding holiday booking that I could not cancel. I would like to thank Lesley for her proposal to be Lady Captain for I feel honoured and privileged. I am looking forward to the year all be it a little nervous. I know it will be a busy year challenging but enjoyable. I will do my upmost to do my very best in the role. I would like to congratulate Lesley on her successful year, she is going to be a hard act to follow. During my year I would like to encourage the use of the three F words that golf is all about fun, friendship and fulfilment. Finally, I hope that everyone has a great year and I would like to congratulate Barry on his election and look forward to us working together. The Lady Vice Captain - The Immediate Past Lady Captain said it was with great pleasure that she proposed Mrs Lesley Aitken to be Lady Vice Captain for Judith Clifford seconded the proposal and Mrs Aitken was duly elected unanimously. The Lady Vice Captain responded saying she was proud and honoured to be Lady Vice Captain and was looking forward to working with the committee and supporting the Lady Captain. She said she had been a member of Carlisle Golf Club for 25 years having started her golf career at Hawick Golf Club at the age of 12 where she was the only girl in Hawick to play the game. After moving to Carlisle and joining Carlisle Golf Club she left Hawick and moved to Minto Golf Club. She went on to represent Hawick and the Border County Team as a player and was Lady Captain at Hawick twice so said this will be her third time around. She then concluded by putting the record straight that she was not however a schoolgirl international player and that this in fact is the teenager Lesley Atkins from Minto Golf Club! The Treasurer Stewart Long proposed that Tom Ogden be re-elected as Treasurer, again at some length! Deidre Brown seconded the proposal. The motion was carried and Mr Tom Ogden was duly re-elected unanimously. The Accountants - John Willis proposed that Armstrong Watson be re-appointed. Mary Bellingham seconded the proposal. The motion was carried and Armstrong Watson were duly re-appointed unanimously. 5. Election of Committee To appoint 5 members of committee:- 4 nominations have been received. Mr Michael Bell, Mr Anthony Gilsenan and Mr Nicholas Stewardson were duly appointed to the general committee for a 3 year period and Dr John Britton was duly appointed to the general committee for a period of 2 years. The Chair then thanked those retiring committee members for all their hard work, the immediate past Captains Susan Wilkinson and Neil Murray and also Ian Hoodless. He also thanked the retiring Lady President Anne Nichol for all her efforts over the last 3 years. The Chair next stated that he was delighted to announce that the committee had granted Jimmy Render life membership for all his hard work and devotion to the club for many years. 6. Presentation of Slater Trophy The President explained that the Slater trophy, first presented in 1937 was awarded to a member with the most meritorious performance during the year and that it can be awarded for services to
5 the club or for outstanding performance on the course. He said this year it goes to outstanding performance on the course. He explained that this year there had been some outstanding performances including Rebecca Mcintyre successfully defending the Ladies Club Championships and Geoff Nixon beating some of the best amateurs in the country to take the prestigious Eden Trophy at St Andrews. However, the Chair announced that this year the Slater Trophy was being presented to Kieran Waters. Kieran was not only Club Champion this year but County Champion winning with a score of 266 over the 4 rounds. He said Kieran is not only following in his Dad s footsteps on the course but also in his demeanour and behaviour on and off the course, a fine ambassador and credit to Carlisle Golf Club. Kieran thanked the President saying what a surprise this had been and what an honour and privilege it was to receive the Slater Trophy and to be younger than his Dad had been when he received it was even better. Kieran said it was a privilege to be a member of and to represent Carlisle Golf Club and said there was no better course around. He wished both the Captains well for their upcoming year. 7. Any Other Urgent Business It was queried as to why the drainage programme that had been agreed at an AGM in 2013 had not been finalised. Chair of Greens responded saying if the funds were available it was the intention to undergo further drainage in the autumn. The member then expressed concern that decisions made by the membership at meetings are not being carried through as priorities differ with a change of personnel on committee. Chair of Greens re-iterated that it was their intention to carry out further drainage in line with the original plans. The member was informed that decisions taken by members at a general meeting are respected by the committee and acted upon. The meeting closed at J Kyle Secretary/Clubhouse Manager 27 th January 2017
