1 MN WIC PROGRAM Count of Nutrition Visits, Certs & MCAs by Grantee & Agency AGENCY MANAGEMENT Report Overview A count of nutrition visits, certs and MCAs by WIC Type during the specified time period for the specified grantee and its agencies. NOTE: This template is based on the Grantee ID. Some uses include: Assess productivity based on services completed by grantee/agency for a specified time period. Count number of participants provided services by WIC type. Notes This report requires the user to enter the GRANTEE ID into the PROMPT instead of the Agency ID. Participants are counted in the NUTRITION VISITS table each time benefits were issued with an Issued Date during the specified time period. If the Issued Date was the same as a Cert Start Date, the contact is counted in the CERTIFICATIONS table, not the NUTRITION VISITS table If the Issued Date was the same as the MCA Completed Date, the contact is counted in the MID-CERTIFICATION ASSESSMENTS table, not the NUTRITION VISITS table Counts for the NUTRITION VISITS table are accurate as of the date an agency completed their transition to HuBERT since benefit information was not transferred from the legacy system. Participants do not have to be issued benefits to be counted in the CERTIFICATIONS or MID-CERTIFICATIONS ASSESSMENTS tables. Participants are counted as long as the Cert Start Date or Completed Date fall within the specified time period. MCAs are based on completion of the MCA Guided Script GS. Any MCAs completed via the Participant Folder will not be included. Also, the MCA GS was not implemented in HUBERT until July 2013; reports run for dates prior to this will not display MCA counts.
2 This report is not unduplicated since participants are counted for each contact that occurred during the specified time period. The Grantee ID is based on the Agency ID recorded at the time of issuance, cert or MCA. The WIC Type is based on the participant s WIC Type at the time of issuance, cert or MCA. The report output is formatted to download to an 8 x 11.5 inch PDF landscape. It can also be exported to Excel margins will need adjustment and headers/footers will not display. Tab 1 Counts Page 2

8 Technical Notes Notes Separate queries were created for the NUTRITION VISITS table for two reasons: 1. Criteria to exclude benefits issued on the same date as MCAs results in having to pull information from the MIDCERTIFICATION table or view. Since Non-breastfeeding and Pregnant women don t have MCAs, separating the queries allowed the MCA table to be excluded for N and P women. 2. In order for each column to display correctly in the table, once the N and P queries were separated, the rest of the queries had to be separated also. The NUTRITION VISITS table was built column by column due to the separate queries. The CERTIFICATIONS and MCAs tables were built using a cross-tab. The V_Midcertifications table was used in the GMCAs Query because it has the State WIC ID, which is necessary to count records. The Statewicid was concatenated with the Issueddate, Certstartdate or Completeddate in order to make each record unique so that each would be counted with a distinct count using all resulted in 0 values. Joins to the MEMBER table were removed from all queries. The Grantee ID was used for the PROMPT instead of Agency ID because otherwise, the user would be required to enter all agency IDs for the Grantee total count. By using the Grantee ID, the total count is correct and all the agencies assigned to the Grantee display.
