7 APPENDIX I - CANDIDATE PRIVACY NOTICE As part of our candidate application and recruitment process PRS collects, processes and stores personal information about you. We process this information for a range of purposes relating to the recruitment process and this may include your application, assessment, pre-employment screening and your worker permissions. This document sets out: i. Why we collect your personal information; ii. What information is collected and; iii. How it is processed within the recruitment process. Throughout this Privacy Notice we use the term processing to cover all activities involving your personal information, including collecting, handling, storing, sharing, accessing, using, transferring and disposing of the information. 1) Why do we collect your personal information? In order to consider you for roles and manage any applications or assignments, we need to process certain personal information about you. The purposes for this are set out below. We only process your information as necessary for the purposes of considering you for and notifying you of potentially suitable roles, progressing any applications, managing any assignments or as required by law or regulatory requirements, so not all of the purposes set out below will apply to you all of the time. Registration & Application: CV, name, address, employment history, academic and professional qualifications, age, diversity (i.e. gender. ethnicity, disability, sexual orientation) for Equal Opportunities Monitoring, nationality and previous disciplinary matters Assessment & Pre-employment screening: CV, psychometric tests (such as a situational judgement test, ability or personality test), interview (face to face, telephone or video), behavioural assessments (such as a role play, group exercise or presentation), technical assessments; county court judgements, credit history, penalties for tax evasion (see sections 6, 7 & 8 for more information on PES screening); Managing assignments: name, address, bank account details, compensation information, time sheets and attendance records; Marketing Activity: to send details of reports, promotions, offers, networking and client events, and general information about the industry sectors which we think might be of interest to you. 2) What personal information might we process? Here are some examples of the type of information we may process. There s a full list in the schedule at the end of this notice. Personal details such as name, address, date and place of birth, gender, marital status & dependents; Work history/job data; previous employers, positions, dates, etc.; Compensation; basic salary, benefits, bonuses, financial information, etc.; Education and work history including professional qualifications and skills; Nationality / visa / immigration/ right to work permit information; (e.g. passport, driving licence, National Insurance numbers) [Photographs and images from recorded assessments or from on site CCTV;] Results of pre-employment screening checks (e.g. credit history, criminal records checks where permitted under local law); Assessment results e.g. Psychometric assessment results, results from gamification and video or telephone assessment During our relationship with you we may also capture some sensitive personal data about you (e.g. disability or health information). We do this in order to enable us to identify and review the equality of treatment between individuals with a view to enabling such equality to be promoted and maintained. 3) Who do we share your personal information with? PRS will need to share your personal information internally (including with Crown Sure and/or Ship Shape Contract Services), as well as with potential employers and some external parties or associates of PRS. Some of these third parties and associates will be located outside the European Economic Area ( EEA ). Your information will only be shared if it is necessary or required (for example in order to carry out pre-employment screening). The application and recruitment process may involve: Assessing your suitability (skills, strengths, behaviours for potential roles); Assessing and progressing any applications; and Activities needed to complete the on-boarding and screening process should an application be successful. To enable these processes your personal information may be shared internally, but the information shared is limited to what is required by each individual to perform their role. Your personal information may be shared internally with the following people: Consultants who may be responsible for assessing your suitability for potential roles; Employees in HR and Legal who have responsibility for certain HR and Legal processes connected with your application and any contractual requirements; Employees in IT and system owners who manage user access; and Audit and Investigations employees in relation to specific audits/investigations. PRS may also need to share your information with certain external third parties including: Client companies of PRS; Third party companies that provide candidate interview and assessment services; Suppliers who undertake background screening (credit checking agencies, criminal checking bureaus, etc.); Academic institutions (Universities, colleges, etc.) in validating information that you ve provided;
8 Other third-party suppliers (or potential suppliers), who provide services on our behalf. 4) How do we protect your information? Our IT and recruitment systems are protected to ensure that unauthorised or unlawful processing of personal information, accidental loss or destruction of, or damage to, personal information does not occur. Where we share information with other parties located outside of the UK, as a minimum, PRS will require that such personal information is protected as required by UK law. PRS also requires its third-party suppliers or recipients of personal information to guarantee the same level of protection as we provide. Your personal information will be retained in accordance with PRS Privacy Policy (which means that we may continue to hold some information after your initial application is complete). A copy of the full policy is available on our website ( 5) Your Rights You are entitled to see the information that PRS holds about you. You can also request changes to be made to any incorrect information. You can ask for information to be deleted if you think that PRS shouldn t be processing that information or is processing it incorrectly. If you have any queries about this notice or your personal information generally, including questions about accessing your personal information or correcting it, you should contact our data protection team info@prsjobs.com in the first instance. It is your responsibility to keep your personal information up to date so that accurate application records can be maintained. As this document is updated, the current versions will be posted on our website ( 6) Screening checks As part of the selection process for certain roles, PRS may perform a number of screening checks, where permitted by local law. These checks are only performed on candidates who have been selected for a particular role and only if required by our client. Your consent will be requested before screening checks are performed. 7) Criminal records checks For certain roles, it may be appropriate or necessary for PRS to undertake checks to ensure that candidates can be relied upon to handle client money and information responsibly. We may therefore ask questions about any prior civil or criminal proceedings you may have been subject to and may also conduct criminal record checks. 8) Credit reference agencies We may undertake searches about you at credit reference agencies who will supply us with information, including information from the electoral register, in support of any application. The agencies will record details of the search, but will not make them available for use by lenders to assess your ability to obtain credit. You have the right of access to your personal records held by credit reference agencies. We will supply their names and addresses upon request. 9) Processing Conditions PRS entitlement to process your personal information is governed by a number of processing conditions. This means that we may rely on more than one of these conditions in order to process elements of your personal information throughout our relationship with you. PRS will process your personal information in the administration of your registration as a candidate; PRS may process your personal information in the administration of any application or in connection with the performance of any assignment. PRS will also process your personal information where it is required by law or regulation or it is in the legitimate interests of you or PRS. This processing will always be fair and lawful and will at all times comply with the principles of applicable privacy laws in the UK. During the course of your application it may also be necessary for PRS or its suppliers to process your sensitive personal information. This processing will be carried out on the basis set out in bullet points 1 and 2 above, as well as your express consent which is captured as part of the Declaration forming part of this form. 10 APPENDIX II RIGHT TO WORK IN THE UK VALIDATION. All applicants, irrespective of their country of birth, must provide the one of the documents or document combinations outlined below, before employment commences. LIST A DOCUMENTS PROVIDING AN ONGOING EXCUSE 1 A passport showing that the holder, or a person named in the passport as the child of the holder, is a British citizen or a citizen of the UK and letter from a Government agency) DOCUMENTS THAT DO NOT PROVIDE EVIDENCE OF ENTITLEMENT TO WORK IN THE UK A Home Office standard acknowledgement letter (SAL) or Immigration Service letter (IS96W) which states that an asylum seeker can work in the UK. If you are presented with these documents then you should advise the applicant to call the UKBA on for information on how to apply for an application card. A temporary National Insurance Number beginning with TN, or any number which ends with the letters from E to Z inclusive. A permanent National Insurance Number when presented in isolation. A driving licence issued by the DVLA. A bill issued by a financial institution or a utility company. A passport describing the holder as a British Dependant Territories Citizen, which states that the holder has a connection with Gibraltar. A short (abbreviated) birth certificate issued in the UK, which does not have detail of at least one of the holder s parents. A licence provided by the Security Industry Authority. A document check by the Criminal Records Bureau. A card or certificate issued by the Inland Revenue under the Construction Industry Scheme.
