1 MINUTES OF DISTRICT 105 M CABINET MEETING HELD SUNDAY 27 TH MAY 2012 ST. Matters Arising: There were no matters arising. REPORTS SECTION 1 District Governor and Officers 1. District Governor Report as submitted. DG Neil thanked all the Officers for their hard work during his year in office and for their support to him during the year. On behalf of Andy Pemberton he also thanked all those Lions who had helped with MD Convention. 2. District Secretary Report as submitted. 3. District Treasurer Lion Brian explained the format of his report. Appendix A missing to be circulated with Minutes. Action: Lion Pauline Hoogerwerf Outstanding expense claims be sent to the Treasurer by the end of June. No activity on Youth Account. Discussed at F&A Meeting. Clubs should fund youth activities through voluntary levy. Donations to youth fund to be requested through District Shopping List. No monies paid from Youth Fund this year, because of issue with previous hotel management at Holiday Inn. 4. Sergeant-at-Arms No report. Adoption of reports proposed by Brian Burgess, seconded by Paul Anstice carried. SECTON 2 Region & Zone Chairmen Region 1 No report. 1
2 Zone A as submitted. Zone B Lion Praful updated membership figures and asked for help with Edgbaston Club. Zone C as submitted. Region 2 as submitted. Zone D as submitted. Zone E as submitted. Zone F Lion Terry reported an increase of membership + 1 for Malvern. Malvern Walk 10 th June. Region 3 Report attached (with apologies) Lion Chris reported that Rushden would be holding a membership drive in the near future. Zone G as submitted. Zone H as submitted. Zone I Lion Martin reported approval of name change from Market Harborough Branch to Harborough Twenty 12 Lions Club, which will charter on 21 st October. Details to be confirmed. Adoption of reports proposed by Chris Haynes, seconded by Christine Moss carried. SECTION 3 MEMBERSHIP 1. Membership as submitted. Lion Heather said there were good membership opportunities in the next few months at following large events, if Lions turn up wearing tabards: 23 rd June Aldridge Show 30 th June 30 th June Stratford River Festival (Shakespeare Lions) 30 th June Victoria Park Torch Relay (Sandwell Lions) 4 th August Baggeridge Country Fair (Bilston & Willenhall Lions) District membership currently 20 up. MMR reports should be sent in on time. No reports from Redditch, Shakespeare, Towcester, Moseley, Market Harborough, Bilston & Willenhall, Handsworth to be chased by ZCs. Yellow card drops do work keep trying. 2. Extension Coventry Phoenix Charter lunch 27 th May after Cabinet meeting. Market Harborough Branch to become Harborough Twenty 12 Lions Club Atherstone meeting after Cabinet. Royal Leamington Spa in progress. Ideas to Lion Doug for new club areas. Action All. 3. Retention no report. Membership Region 1 no report. Membership Region 2 as submitted. Membership Region 3 Lion Bill asked for help with a yellow card drop by Coventry Phoenix on 9 th and 10 th June. Adoption of reports proposed by Heather Lee, seconded by Richard Wilson carried. SECTION 4 LEADERSHIP & TRAINING 2
3 1. Leadership Lion Pauline thanked everyone who had attended the training sessions that Lion Phil had organised so well. Dates for future sessions to be sent to Clubs/Officers in plenty of time. Global Membership Team meeting for next year s team 21 st July, a.m. at MDHQ. New Lions orientation to be held 12 th September and 15 th September at MDHQ. Certified Guiding Lions training either 20 th October or 27 th October at MDHQ. Let Phil and/or Pauline Fanti know if you are interested. 2. Training Lion Phil thanked everybody who had attended the training sessions, which had generated plenty of good ideas. Lion Heather Jeavons recommended the Certified Guiding Lion course to everybody. This was endorsed by Lion Heather Lee. Thanks to Lions June Lloyd Adams and Cath Kendall for help with training. Adoption of reports proposed by Pauline Fanti, seconded by Heather Lee, carried. SECTION 5 FINANCE AND ADMINISTRATION COMMITTEE 1. Chairman First 10,000 sent to Niger for repair of wells. Lion Paul congratulated Lion Pauline Hoogerwerf for her efforts. Decision 1 Adoption of Convention accounts. Account came in under budget. Adoption of Convention accounts proposed by Paul Anstice, seconded by John Barnes, carried. Decision 2 Adoption of Safety Management System Document. Adoption of document proposed by Paul Anstice, seconded by Wim Hoogerwerf, carried. Document to be uploaded onto District website. 2. CNRO as submitted. 3. Convention Host Chairman no report 4. Events/Lion Tamer Lion John circulated booking forms for District Changeover Lunch on 15 th July. Forms to be returned to Lion Pauline Hoogerwerf as Lion John is moving house soon. version to be circulated next week. Chains of Office to be returned to Lion John prior to District Changeover. 5. Health & Safety as submitted. 6. Insurance as submitted. Adoption of reports proposed by Paul Anstice, seconded by Phil White, carried. SECTION 6 LONG RANGE PLANNING COMMITTEE Meeting held and structure of Cabinet discussed. Also working on a financial plan. Adoption of report proposed by Simon Moss, seconded by Phil Corbin, carried. 3
4 SECTION 7 PR & COMMUNICATIONS COMMITTEE 1. Chairman/Webmaster Lion Simon asked District Officers for next year to send a photo, and some details regarding themselves and their post, to the Webmaster before the end of June. Lion Joy taking photos after meeting. Almost all Clubs now have a website only Edgbaston and Handsworth Ladies are without. 2. Deputy Webmaster/Midland News as submitted. 3. Public Relations PR Workshop at St. John s Hotel, 25 th November. 23 Clubs involved in Olympic Torch Relay so far. 4. Almoner as submitted. Adoption of reports proposed by Simon Moss, seconded by Martin Hill, carried. SECTION 8 YOUTH COMMITTEE 1. Chairman as submitted. 2. Competitions as submitted. 3. Life Skills Tacade purchased by Lions now called Lions MD 105 Life Skills Limited. LCIF helped with purchase. Lions Quest involved. Lion Linda said that an Audit of resources is taking place, which belong to TACADE. MD Officer and District Officers will be given a list of resources that they can purchase. Proposal 700 to be charged to each District. Current value of stock held by 105 M is approximately 800. DG Neil/DG-Elect Paul not aware of this. Paul will talk to other DGs-Elect as Council approval will be required. DG Neil said a Trustees meeting with Quest was being held in Busan and further information would be forthcoming after that. 4. Youth Football MD Final played on 26 th May won by Llantrisant against Radcliffe. Lion Carl said how much he had enjoyed being Youth Football Officer over the years and received applause from the Officers present. 5. Leo Co-ordinator no report. 6. Special Olympics no report. 7. Vulnerable Persons as submitted. 8. Young Ambassador as submitted. 9. Youth Exchange Late report circulated at Cabinet meeting. No electronic version available. Thanks to hosts and to those offering to help at Airport on 25 th July. Hosts required 25 th July to 4 th August and 4 th August to 14 th August. 3 young people going outwards this summer. 4
5 Adoption of reports proposed by Harry Fry, seconded by Praful Modi, carried. SECTION 9 HEALTH & ENVIRONMENT COMMITTEE 1. Chairman as submitted. 2. Speech & Hearing as submitted. 3. Diabetes no report. 4. Environment as submitted. 5. Learning Disabilities as submitted. Lion Wim informed Cabinet that, because Lion Greg is no longer able to continue with Special Olympics, it is being combined with Learning Disabilities and moved onto the Health Committee. 6. MIAB/Medical Alert no report. Lion Chris apologised to anybody trying to obtain supplies of bottles from MDHQ. The problem is being addressed. 7. Sight Preservation Awareness & Action Lion Ian reported that donations to Sight Savers were 2,450 from 105 M. The MD total had increased from 37,000 to 44,000 this year. Adoption of reports proposed by Ian Haffner, seconded by Chris Haynes, carried. SECTION 10 INTERNATIONAL COMMITTEE 1. Chairman as submitted. 2. LCIF as submitted. 3. North Sea Lions as submitted. 4. Water Projects & Street Children Lion Pauline updated on the well project. 10,000 had been sent so that work on the five wells in worst condition can hopefully be started before the rainy season. Pauline thanked everybody who had made donations so far and requested that Clubs continue to donate in the forthcoming Lions year. Decision for District to purchase a sample Edukit withdrawn. Instead, Pauline to contact Jacquie Prebble for a list of contents, which can then be uploaded to the Website. ACTION Pauline. SECTION 11 IPDG & VDG REPORTS 1. IPDG as submitted st VDG as submitted. Lion Paul said it was good to see Lion Martin Bye and hopes that he achieves his objective to get better! 3. 2 nd VDG as submitted. 5
6 4. PDG Liaison Lion Doug said a Do you want to be a DG? session was being organised. Date to be confirmed. Adoption of reports proposed by Paul Anstice, seconded by Simon Moss, carried. NOTIFIED ANY OTHER BUSINESS None notified. ANY OTHER BUSINESS Lion Harry Fry said that more rooms were available at the 105 M Convention Hotel in Torquay. Contact Harry if interested. On behalf of those present, Lion Wim congratulated DG Neil for the excellent way in which he had chaired the Cabinet meetings over the year. TAILTWISTER Lion Ian was merciless. DATE OF NEXT MEETING Sunday 19 th August, St. John s Hotel. Reports due by Friday 27 th July. CLOSE OF MEETING DG Neil thanked every member of Cabinet for their support during his year of office. He said that, by looking round the room he could see that his objective had been achieved SMILE! Meeting closed at a.m. a record. 6
