3 PURPOSE The purpose of this document is to provide guidelines for the executive of Grandmothers 4 Grandmothers Regina (G4G) and an overview of the organization for members. Grandmothers 4 Grandmothers Regina is a group of individuals who volunteer to raise funds. We choose to direct our funds to the Grandmother Campaign of the Stephen Lewis Foundation. Ninety per cent of money raised through the Grandmothers Campaign goes directly to the grassroots of Africa, to hundreds of communitybased projects fighting HIV. G4G Mission Statement We fundraise for the Stephen Lewis Foundation to support African grandmothers who are raising a generation of children orphaned by AIDS. The Stephen Lewis Foundation The Stephen Lewis Foundation (SLF) works with community-level organizations that provide care and support to women, orphaned children, grandmothers and people living with HIV and AIDS in sub-saharan Africa. Since 2003, the SLF has funded over 1100 initiatives, partnering with more than 300 community-based organizations in the 15 African countries hardest hit by the pandemic. These grassroots groups are the lifeline for their communities. They provide: counselling and education about HIV prevention, care and treatment distribution of food, medication and other necessities home-based health care and access to education for orphans and vulnerable children; and support for health care for the sick and vulnerable grief counselling support for grandmothers caring for their orphaned grandchildren Grandmothers Campaign, SLF African grandmothers are central to the life of their communities. They care for millions of children orphaned by AIDS, sometimes as many as ten to fifteen in one household They display amazing reserves of love, courage and emotional resilience, even while grieving the loss of their own adult children With the support they have received from the grassroots organizations, they now are able to teach others about HIV prevention and treatment, create loan groups to enhance their income generation efforts and sit on land rights councils The African grandmothers have become experts in home-based care and nutrition for those who are HIV positive They have become community leaders whose expertise is recognized globally and they push hard for their human rights Canadians have raised $19.5 million for African grandmothers through the Grandmothers Campaign To learn more about the work and the programmes being developed by and for African grandmothers and their grandchildren, visit the website of the Grandmothers Campaign at 3

4 FROM THE BEGINNING A HISTORY OF GRANDMOTHERS 4 GRANDMOTHERS REGINA Handbook, September 2017 It was August 2006 when six caring and curious women gathered to explore the idea of forming a Grandmothers group in Regina. Believing we could raise a few dollars through coffee parties and other small initiatives, we submitted a notice to the paper advertising our inaugural meeting on September 19th. That evening, we were so excited to see some 20 women and a Leader Post photographer come to learn more. We were on our way! Community support began almost immediately we secured meeting space at no charge from the Regina Community Clinic. When some of our members suggested having hot dog sales outside a local grocery store, we found that store welcomed and supported us. Through word of mouth and visibility in the community we soon found our numbers growing. Before the end of our first year, we had grown sufficiently in numbers and confidence to hold a fundraising dinner. With 322 people in attendance, we netted $10,000 in support of the African grandmothers. The now-annual dinner has become our signature event. In year two, we added Granny s Attic Garage Sale, set up a merchandise booth at Wintergreen Fine Craft Market, and continued with our fundraising dinner, followed by Christmas in June where we sold Christmas products that had been donated by a local merchant. After hearing about the Edmonton Grandmothers success with Scrabble for Africa, we added that event to our calendar. It was a great success with over $11,000 in pledges the first year. The event has continued to draw interest and continues to be a good fundraiser for us. Another new event was a concert. A local jazz artist, Bev Zizzy, wanted to put on an evening of music featuring female performers with proceeds to the Stephen Lewis Foundation. She became a G4G member and spearheaded a planning team to organize the Sisters 4 Sisters concert. We continued with the same events for the next few years holding garage sales five years in a row. We retired that event due to reduced revenue and the high volunteer hours required. In September 2012, we hosted the Prairie Region Gathering, with 85 people attending from across Saskatchewan and Manitoba. Kazuri Jewellery from Kenya became a popular fundraiser with Grandmothers groups across the country, and the Regina group held a one-time special Kazuri Jewellery event. A second concert, A Valentine Evening with Jack Semple, followed in 2011, with an International Women s Day concert with Jeffery Straker in Art from the Attic was introduced as a new fundraiser in the fall of 2013 and continued as an annual event. Then in the fall of 2015, the group took on the challenge of collecting sewing supplies and holding its first Fabric & Yarn Sale. In the spring of 2017, we held our 11th annual fundraising dinner. In 2009 the YWCA Women of Distinction Teamwork Award was presented to the six founding members. At the end of eleven busy and successful years, we were delighted to learn that the funds raised by our group, and as a result of our group s efforts, exceeded $700,000! The amazing women who are G4G Regina continue to bring forward new fundraising ideas, and volunteer with enthusiasm to make them successful. 4

5 GUIDELINES Handbook, September 2017 Affiliation with the Stephen Lewis Foundation Proceeds from fundraisers shall go to the Grandmothers Campaign of the Stephen Lewis Foundation All donations shall go to the Stephen Lewis Foundation Receipts for income tax purposes are issued only by the Stephen Lewis Foundation Financial The fiscal year is July 1 to June 30 An up-to-date record of finances shall be kept A bank account shall be mandatory with a minimum of three authorized signatures. Two authorized signatures shall be required for cheques written or for the withdrawal of funds A balance of $4,000 should be maintained in our account for the purpose of paying suppliers for merchandise and for venue deposits The treasurer shall submit the annual financial statement to members at the Annual Meeting Records shall be kept in digital copy for seven years Conditions of Membership There shall be one class of membership and all members shall have voting privileges There shall be no reimbursement of membership fees should a member choose to withdraw G4G Members Meetings Meetings shall be held monthly except in December and July Executive Committee Meetings Executive Committee meetings shall be held four times a year or as deemed necessary Officers (see Roles and Responsibilities for job descriptions) The executive shall consist of the following positions: Chair Past chair (necessary only if the chair or both co-chairs have completed their three year term(s) and will not be on the executive committee in any other role. Should one co-chair continue in any role, no past chair is necessary) Treasurer Secretary Coordinator of each of the five Standing Committees (Membership, Sponsorship, Communications, Merchandise, Education) Should one of these positions be vacant, a member-at-large may be elected/appointed to the Executive 5

6 Shared positions (co-chairs) on the Executive or Special Event Committees are encouraged. When a position is shared on the executive, there shall be one vote per position. Term of office for Executive Members shall be 3 years; new members are appointed in June and the full executive is ratified at the Annual Meeting in August. Each signing officer shall have a current criminal record check. Reporting Minutes shall be kept for both executive committee meetings and general meetings The Chair of each standing committee shall submit a report to G4G Chair before each executive and general meeting The Chair of G4G, the Treasurer, the Secretary and each Standing Committee Chair shall submit an annual report to G4G Chair by the end of July Event and Special Committees Committees shall be struck as necessary Terms for Special Committee members shall be defined and dependent on the task Special Committees shall report to the membership The G4G Chair shall receive a final report from each Event Coordinator and each Special Committee by the end of June Social Responsibility Statement We will make environmentally and socially responsible decisions and choices whenever possible. Examples are: choose tap water over bottled water have a plan for reusing and recycling bring our own mugs to meetings purchase fairly traded goods buy locally where possible Mode of Repealing or Amending Guidelines Guiding Principles may be amended at the Annual Meeting, or at a special meeting of the membership, if warranted. Two weeks in advance of the Annual Meeting, members shall receive notice of meeting with copies of any motion to amend a Guiding Principle. Annual Meeting To be held in August A quorum shall consist of twelve members 6

7 ROLES AND RESPONSIBILITIES CHAIR The Chair will serve on the Executive Committee for a term of three years. RESPONSIBILITIES Handbook, September 2017 Attend and chair executive and general G4G Regina meetings Circulate to the membership the agenda and supporting documents prior to the meetings Keep up-to-date with developments at the Stephen Lewis Foundation (SLF) and the Grandmothers Campaign Maintain contact with the Grandmothers Campaign Officer at the Stephen Lewis Foundation Provide news to the G4G Regina Newsletter and the Prairie Region Update as requested Spokesperson for G4G Regina Ensure that G4G Regina guidelines are reviewed annually and amended as appropriate Support all Standing and Event Committees in their work Maintain G4G Regina membership list, distribution list, Friends of G4G Regina list Ensure that an historical record of G4G Regina is retained ARCHIVES We will maintain an historical record of our organization and its events. Grandmothers 4 Grandmothers will maintain copies of the following: Administrative Records o Minutes of all meetings general, executive, annual o Financial statements (monthly, executive annual) for seven years Annual Reports Other memorabilia REPORTING Prepare an annual report by July 30th Work with the chair of Communications to prepare the annual activity report Report on executive committee meetings to the general membership SUCCESSION PLANNING Participate in succession planning for the organization. 7

8 SECRETARY The Secretary will serve on the Executive Committee for a term of three years. RESPONSIBILITIES RECORDING Attend all general meetings, where possible Attend all Executive Committee meetings, where possible Keep the minutes of the meeting, and send them to the Chair within 7 days of the meeting Be knowledgeable about agenda items for all meetings GENERAL Keep up-to-date with developments at the Stephen Lewis Foundation and the Grandmothers Campaign In January, send a thank you note to the Regina Community Clinic and confirm use of the space for the next operating year Send thank you notes to individuals or organizations who provide on-going support (thank you notes for fundraising events will be sent by the event committee members) Send cards, as appropriate, to members on behalf of G4G. SUCCESSION PLANNING Participate in succession planning for the organization. 8

9 TREASURER The Treasurer will serve on the Executive Committee for a term of three years. ROLE The Treasurer will manage the funds and maintain the accounts of the organization, and send donations to the Stephen Lewis Foundation in a timely manner. The Treasurer shall ensure the process for securing funds at each event. RESPONSIBILITIES BANKING deposits to be made within 7 days of an event bills to be paid within 7 days of receipt of invoice or expense claim donations to the Stephen Lewis Foundation to be made quarterly, or after a major event, whichever comes first. A final annual donation to be made no later than June 30 EVENT SUPPORT provide a float to the event treasurer, in denominations appropriate to the event with assistance from event volunteers, reconcile event revenue and expenses REPORTING submit to the G4G Chair: a monthly report, a report for each Executive Meeting, and an annual report by the end of July SUCCESSION PLANNING Participate in succession planning for the organization 9

10 FINANCIAL PROCEDURES (Also see forms attached) As G4G raises funds, expenses and donations must be tracked. Because funds are raised from the public, in support of the Stephen Lewis Foundation (SLF), G4G must maintain clear and accurate financial records. The treasurer will refer to: Grandmothers to Grandmothers Campaign Treasurer s Resource Kit & Tax Receipt FAQs. Bank Account A bank account shall be mandatory. Four (4) members of the Executive Committee, including the chair and the treasurer, will have signing authority, and any two (2) must sign all cheques. Fiscal Year July 1 to June 30 Reporting Monthly financial statements shall be presented at G4G general meetings An annual financial report shall be presented at the August general meeting As soon as possible after a fundraising event, the financial spreadsheet is to be shared with event chair(s) Forms of payment G4G will accept payment in the form of cash, cheque, credit card, debit, and e-transfer. Cash and Deposits Should be made within seven days following event or meeting. Deposits may be made by individuals other than treasurer Deposits can be made at any branch of Conexus Credit Union Use Business and Organization Deposit Book provided by treasurer Use G4G Deposit Summary Form to add more detail and file in appropriate file Record deposits in accounting program as income in appropriate category Immediately following each event or as soon as it can be arranged, income is recorded on an accounting sheet completed and signed by two individuals Money received at a regular meeting should be in an accounting envelope (see attached for hard copy, electronic copy in treasurer s electronic files) If requested, Treasurer will write receipt to members submitting money 10

11 Electronic Banking The amount deposited into the G4G Regina bank account from credit card transactions will be the full amount minus applicable transaction fees The amount received will be entered into the accounting program The Square will be used for all credit card transactions The Treasurer and Co-Treasurer will be responsible for the Square equipment and instructions on how E-transfers to use it Credit cards may be used for membership fees and all fundraising purposes. Electronic transfers may be used for membership fees and other purchases E-transfers will be recorded in the accounting program under the appropriate category Cheques and Expenses A record of all cheques written must be entered in the accounting program under the appropriate category. Procedure for Claiming Expenses Complete G4G Expense Claim form Sign form Get approval signature from Event or Committee Chairperson or member of the Executive Attach all applicable receipts Submit all of the above to G4G treasurer for reimbursement If payment is required urgently, the completed Expense Claim form can be submitted electronically to both the Treasurer and Chairperson. Once approval via is received from the Chairperson, the treasurer will issue a cheque and collect the hardcopy paperwork at a later date. Procedure for completing the Accounting Form Whenever money is collected at an event, this form should be completed by 2 people Both people should count the cash/cheques and list the quantity of denominations plus the totals on the form. Both people then sign the form which indicates that they agree on the amounts recorded This form along with the funds is submitted to the G4G Treasurer. Procedure for completing the Receivables Form Whenever the Treasurer is given cash or cheques that are not accompanied by an Accounting Form, the Receivables Form should be completed Both the member and the Treasurer should count the money and the Treasurer should record this amount along with other information required on the form. Both the member and the Treasurer should initial this form indicating that the amount recorded is accurate. Invoices Invoices are issued by the treasurer. Funds to the Stephen Lewis Foundation Proceeds of fundraising events are donated to the Stephen Lewis Foundation 11

12 Handbook, September 2017 Funds raised will be sent to the Stephen Lewis Foundation at least quarterly, and the bank account balance maintained at approximately $4000 Only The Stephen Lewis Foundation can issue receipts for income tax purposes G4G can act as a trustee or agent for a donor making a gift to the Stephen Lewis Foundation. The Stephen Lewis Foundation will issue tax receipts to individuals for donations of $20.00 or more. The treasurer provides a list of names with contact information. All donor and sponsorship funds requiring a receipt for income tax purposes from the Stephen Lewis Foundation or a letter of acknowledgment must be entered on a form and forwarded to the Stephen Lewis Foundation within 30 days with a record being kept by G4G (see attached.) Money to be receipted in the calendar year must be mailed to the Stephen Lewis Foundation prior to December 31. Reserve Fund/Seed Money A balance of $4000 will be maintained for expenses related to upcoming events. This money will be used at the organization s discretion to cover the deposit on a venue for an event, rental of equipment or to purchase merchandise for sale or for any unexpected costs and emergencies. Membership fees and money raised through internal fundraisers help sustain this fund. The Stephen Lewis Foundation will not issue tax receipts for the money in the Grandmothers 4 Grandmothers Regina reserve fund. Event Floats In consultation with the coordinator of the event and the treasurer or designate, a decision about the amount and denomination of the float is made A cheque from the Grandmothers 4 Grandmothers account, paid to Grandmothers 4 Grandmothers Regina, is used to access float funds Float information should be entered on a Grandmothers 4 Grandmothers Float form and put in the cash box for the event along with the float (see attached for hard copy, electronic copy in treasurer s electronic files) Following the event, the float amount should be entered in the appropriate category on the Grandmothers for Grandmothers Deposit Summary Sheet and deducted from the revenue of the event. Membership Fees Membership fees may be used to off-set operating expenses. 12

13 COMMUNICATIONS CO-ORDINATOR and COMMITTEE The Communications Co-coordinator will serve on the Executive Committee for a term of three years. The Coordinator may invite other members to assist with the work. Those members will support the work of the committee as outlined below. ROLE The Communications Committee will promote Grandmothers 4 Grandmothers and its events in Regina; develop relationships with members of the media, and seek out publicity opportunities in Regina and area. The committee has shared responsibility with the G4G chairs in providing internal communication. RESPONSIBILITIES PUBLICITY MATERIALS Arrange for design, printing and distribution of posters, brochures, cards and displays to advertise events and activities as required. PRINT AND BROADCAST MEDIA In collaboration with event and activity coordinators, develop appropriate pitch points. Contact media and follow up within a reasonable time. Invite the media to events. Approach members of the media to cover the stories. Make use of media kits provided by the Stephen Lewis Foundation. SOCIAL MEDIA & WEBSITE Work with the social-media volunteers to ensure up-to-date information is available through various online formats. Provide website, Facebook and Twitter administrators with timely updates. Monitor social media regularly. Ensure current Internet resources are created, maintained, and used appropriately (G4G Regina website, Facebook, Twitter). RECORDS Maintain a list of media, community, and on-line contacts, complete with deadlines and contact information REPORTING Submit to the G4G Chair: a monthly report, a report for each Executive Meeting, and an annual report by the end of July. Provide regular reports on event-related promotion to Event Coordinators leading up to an event. Prepare the Annual Activity Report for distribution to the public. Produce a monthly newsletter for members SUCCESSION PLANNING Participate in succession planning. 13

14 EDUCATION CO-ORDINATOR and COMMITTEE The Education Co-ordinator will serve on the Executive Committee for a term of three years. The Co-ordinator may invite other members to assist with the work. Those members will support the work of the committee as outlined below: ROLE The Education Coordinator is responsible for member education and community education. RESPONSIBILITIES Ensure an education component is included in each members meeting Ensure an active Speakers Group is formed. Use the SLF s Speakers Bureau Guide to implement Modules 1 and 2 with G4G Regina members Work to ensure that both a School Program and a Community Program are delivered Keep up-to-date on the work of the Stephen Lewis Foundation, the Grandmothers to Grandmothers Campaign and related matters, and be informed on issues relating to HIV/AIDS in sub-saharan Africa. MONTHLY EDUCATION Discuss with the co-chairs and other Executive Committee members possible ideas for education topics, while keeping in mind suggestions from other members Ensure presentations selected address our areas of focus: to learn more about the African continent, its people, the HIV/AIDS pandemic, and the work of the Stephen Lewis Foundation Identify presentations at least one month prior to the required date. They should be between 20 and 30 minutes long, including question and answer time, to begin at 7:00 p.m. If external speakers are invited, they are welcome to stay for the meeting and to join the group for refreshments Ascertain the needs regarding electronic equipment Introduce and thank the speaker The education portion of one of the fall general meetings may be a refresher/update on the work of the SLF, the Grandmothers Campaign, and G4G Regina. SPEAKERS GROUP Ensure that all G4G Regina members are knowledgeable about the Grandmothers Campaign and related issues Provide training to G4G members who wish to become part of the G4G Regina Speakers Group. Three areas of emphasis: o G4G Regina members o Schools o The wider community REPORTING Submit to the G4G Chair: a monthly report, a report for each Executive Meeting, and an annual report by the end of July. SUCCESSION PLANNING Participate in succession planning for the organization. 14

15 MEMBERSHIP CO-ORDINATOR and COMMITTEE The Membership Co-ordinator will serve on the Executive Committee for a term of three years. The Co-ordinator may invite other members to assist with the work. Those members will support the work of the committee as outlined below: ROLE The Membership Coordinator is responsible for recruitment and retention strategies aimed at growing the membership of G4G Regina. RESPONSIBILITIES COMMUNICATION Arrange phone communication with those members who do not have regarding: o upcoming meetings o providing hard copies of minutes by mail, if requested o special events o other information to parallel that sent by Facilitate new members and guest introductions at the monthly meetings Prepare and provide new member package FEES Collect membership fees Maintain the membership database Notify the Chair of renewed and new members who have NAME TAGS Ensure nametags are available for all members, and temporary nametags for newcomers to the meeting RECRUITMENT Identify membership recruitment ideas and bring to the Executive Conduct membership recruitment based on the criteria determined by the Executive Committee REPORTING Submit to the G4G Chair: a monthly report, a report for each Executive Meeting, and an annual report by the end of July SUCCESSION PLANNING Participate in succession planning for the organization. 15

16 MERCHANDISE CO-ORDINATOR and COMMITTEE The Membership Co-ordinator will serve on the Executive Committee for a term of three years. The Co-ordinator may invite other members to assist with the work. Those members will support the work of the committee as outlined below: ROLE The Merchandise Coordinator is responsible for organizing the selection, purchase, pricing and sale of appropriate merchandise for fund raising purposes, as well as booking appropriate sales venues and making sure that merchandise is attractively displayed at sales. RESPONSIBILITIES MANAGING MERCHANDISE INVENTORY By adhering to G4G Regina s Social Responsibility Statement, the Merchandise Coordinator should ensure that: environmentally and socially responsible choices are made, whenever possible, through purchase of fairly traded goods, preferably crafted by women purchasing decisions have a positive impact on community locally produced goods adhere to the above principles by soliciting merchandise ideas from the general membership, researching potential suppliers and consulting with Merchandise Committee members, the Coordinator should: o ensure appropriate items are selected for sale, obtaining samples when possible o oversee placement of orders, pricing of items and storage of inventory o arrange for and monitor inventory and sales of special event items, such as Teacher Appreciation cards STAFFING SALES TABLES AT EVENTS obtain volunteers and organize the roster of merchandise table volunteers, ensuring that all are familiar with the origin and features of the total merchandise inventory, as well as proper procedures for collecting payment from customers ensure that potential buyers know about the SLF and G4G, and that they are aware of the socially responsible decision-making that occurs in the selection of products for sale obtain from Treasurer the cash box and float, plus the necessary equipment and materials for collecting payment for goods sold ensure that two money counters 'sign off' on their calculations at the end of each sale meet with Treasurer to reconcile sales; ensure PST is paid where applicable REPORTING Submit to the G4G Chair: a monthly report, a report for each Executive Meeting, and an annual report by the end of July. RECORD KEEPING maintain records of the cost of each item, including the basic price, costs of currency conversion, GST, shipping costs, as well as any costs associated with packaging for sales ensure that spreadsheets showing event costs, gross income, net income and miscellaneous expenses are kept current SUCCESSION PLANNING Participate in succession planning for the organization. 16

17 SPONSORSHIP CO-ORDINATOR and COMMITTEE The Sponsorship Co-coordinator will serve on the Executive Committee for a term of three years, working collaboratively with a small committee for the duration of the term. ROLE The Sponsorship Coordinator and Sponsorship Committee are responsible for obtaining sponsorship for G4G s annual signature spring fundraiser. RESPONSIBILITIES Oversee a committee and work collaboratively to obtain sponsorship Update Sponsor Appeal material, and ensure it is print and electronically ready for distribution six months prior to the event Maintain an up-to-date database of recurrent sponsors Utilize the database to generate discussion and track all activity related to obtaining sponsors Hold 4-6 committee meetings commencing September Oversee, track and record the dissemination and outcome of Sponsor Appeal material/outreach Generate a list of potential sponsors, augmented by potential contacts obtained from the general membership Collaborate with the Communication Committee to ensure sponsors are listed on the G4G website, Face Book, and in print material as per sponsorship categories; review written material for accuracy prior to going to print Monitor sponsorship commitments to ensure funds are received by the G4G treasurer Send thank you letters to sponsors upon receipt of funds. RECORDS Maintain a database of sponsorship outreach during the three-year term Retain a record of sponsors, including amounts donated, for five years Retain electronic Sponsorship Appeal material for future reference. REPORTING Provide the G4G Chair with a monthly report Provide the G4G Chair with reports for quarterly executive meetings Provide the Communications Committee with a report for the Annual Activity Report SUCCESSION PLANNING Participate in succession planning for the organization. 17
