1 2016 District 1 Meeting Minutes Northwestern Region Seattle Bellevue Marriott Bellevue, Washington We Are FANS October 21-23, 2016 Friday, October 21, 2016 Friday afternoon from 4 p.m. to 6 p.m., NWR Governor Stephanie Smith and NWR Governor Elect Marti Crook, NWR Secretary Kristi Puckett and NWR Treasurer Kathy Doll facilitated the Soroptimist Leadership Training Camp, now open to the leadership team of every club. Topics included: 1) membership recruitment, retention and other issues; 2) budget creation and financial reports; 3) the role of the Club Secretary and what are the essential contents of minutes; 4) governance questions, including bylaws and board size; 5) strategic planning and the Club Roadmap for Success; 6) club brand identity; and 7) a review of NWR biennium goals. Dinner was on your own. From 7:30 p.m. to 9:00 p.m., attendees had a Rip Roaring Good Time which was a hands-on service project to rip fabric for Days for Girls ( The project finished early, and attendees had time to socialize. Saturday, October 22, 2016 District 1 Meeting Chair Marilee Paddock welcomed attendees to the 63 rd meeting of District 1. She introduced Mayor John Stokes, City of Bellevue; Northwestern Region Treasurer Kathy Doll; Northwestern Region Secretary Kristi Puckett; Northwestern Region Governor Elect Marti Crook; Northwestern Region Governor Stephanie Smith; District 1 Secretary Karen Marshall; and District 1 Director Renée Recker. The Pledge of Allegiance was recited. Meeting Chair Marilee introduced Mayor John Stokes, City of Bellevue, who delivered the welcome address. Director Renée called to order the 63 rd annual meeting of District 1, Northwestern Region, Soroptimist International of the Americas. Director Renée reviewed the restroom situation. Then all club presidents in attendance introduced themselves and were thanked for their hard work and dedication. Director Renée recognized those in attendance who have held leadership roles at the District, Region and Federation levels. She had those attending a District Meeting for the first time stand and encouraged everyone attending to introduce themselves and give the first time attendees a special welcome. Page 1

2 She thanked everyone who attended the Rip Roaring Good Time event for Days for Girls the night before. She also thanked the following clubs and individuals that sponsored the Beverage Service: SI of Anacortes, SI of Oak Harbor, and SI of Port Orchard. District 1 Registration Chair Becky Taft provided the first Attendance Report of the meeting. Clubs in District 1 35 Clubs in Good Standing 35 District 1 Members 129 District 1 Officers 2 Region Officers 4 Soroptimists from other Districts 0 Guests, other than Soroptimists 2 Total in Attendance 137 Secretary Karen moved that the agenda for the 63 rd Annual Meeting of District 1, Northwestern Region, be adopted with changes made as deemed necessary by Director Renée to insure the orderly flow of our meeting. The motion was seconded by Cherie Kidd of SI Port Angeles and passed. Secretary Karen shared the correspondence we received from Districts 2, 3, and 4. Director Renée announced that the minutes from the 62 nd Annual Meeting of District 1, Northwestern Region, were reviewed and approved by the Minutes Review Committee as appointed by Immediate Past District Director Nancy Buchener. Director Renée thanked the members of that Minutes Review Committee: Kathryn Koehler, SI of Seattle Metropolitan; Andrea Martin, SI of Burlington; and Leann Taylor, SI of Federal Way. Those minutes were posted on the Northwestern Region website within the required timeframe. Director Renée then announced the appointment of the Minutes Review Committee for the 63 rd District Meeting. Individuals serving are: Midge Howard, SI Burlington, Carol Olsen, SI Fidalgo Island and Cindy Brooke, SI Greater Bremerton. NWR Governor Stephanie Smith gave her report. 3 the Imagine Life Without Violence Grant Application will be available on the NWR website on November 1. District 1 Representative for the Nominating Committee, Margaret Ibbotson, was unable to attend the meeting, so Region Secretary Kristi Puckett gave the Nominating Committee report in her absence. Nominations to the District 1 Nominating Committee are due on November 10, 2016 to Region Chair Chris Kelly at prariechick91@hotmail.com. District 1 Representative Karen Hall gave the Fundraising Committee Report. Karen reported that the SIA goal is to see 100% of program expenses be covered by contributions and not be reliant upon investments. All current contributions given to SIA only fund 68% of the total cost of programs, the remaining 32% is covered by investments. Karen also encouraged clubs to meet the fundraising goals of 100% club participation in Founder s Pennies, 10% of funds raised earmarked for club giving, and individual participation in the Laurel Society and Laurel Legacy programs. Director Renée then called upon Northwestern Region Governor Stephanie Smith for the presentation of the Club Giving Awards along with Governor Elect Marti, Secretary Kristi, Treasurer Kathy and immediate past District 1 Director Nancy Buechner. Congratulations to those clubs. A fifteen minute break was called to prepare for the General Session. Director Renée introduced Vanessa Horning, a member of the Northwestern Region Professional Development Committee. Vanessa led us in the General Session Workshop, New Season and New Teams What do you mean you want to change. again! District 1 On-Site Site Coordinator Dana Bune made announcements prior to the break for the Teamwork Does Make the Dream Work lunch preparation. Director Renée welcomed everyone back and recognized those in reserved seating: first time attendees and members of the Laurel Society and Laurel Legacy. Bernie Bell, SI of Tacoma, delivered the inspiration. Director Renée introduced the luncheon speaker, Celeste Mergens, Founder and Executive Director of Days For Girls. Celeste Mergens gave an inspiring and highly personal account about her journey to create Days for Girls and the impact the program is having locally and worldwide. Following On-Site Site Coordinator Dana s announcements, Director Renée recessed attendees to workshops. 4 Social Media The New Playing Field facilitated by Sarah Miller, Co-Chair, Northwest Online Club On Your Mark, Get Set, Go Soroptimist 101 Basic Training facilitated by Northwestern Region Officers Session 2 Workshops: Gather Your Team and Host the Membership Sails facilitated by the NWR MembershipTeam Beware the Sand Traps of Social Media presented by Detective Ed Wallace, Island County Sheriff s Office Club Area Meeting Representatives Workshop facilitated by Director Renée and Secretary Karen The Area Meeting Dates for 2017 are as follows: Olympic Peninsula: Saturday, February 25, 2017 Seattle: Saturday, Match 11, 2017 ARKWAYTCO: Saturday, March 18, 2017 SISS: Saturday, March 25, 2017 Tell and Sell was held from 6:00pm to 7:00pm. The Celebration of Fans banquet commenced at 7:15pm. Director Renée welcomed everyone to the Celebration of Fans Awards Banquet. Sue Riney of SI Oak Harbor provided the Inspiration. Governor Stephanie, Governor Elect Marti, Secretary Kristi, Treasurer Kathy and immediate past District 1 Director Nancy Buechner presented the All Star Club Awards. Congratulations to those clubs. Clubs participated in the Big Cheer. Cheers were judged by Governor Stephanie, Director Renée and Secretary Karen with Bernie Bell as the mediator on content, choreography and enthusiasm. 5 Sunday, October 23, 2016 Secretary Karen welcomed everyone back for the morning session. Nancy Buechner, SI of Friday Harbor, provided the inspiration. Northwestern Region Governor Stephanie presented the Live Your Dream Award certificates and the Dream It, Be It certificates along with Governor Elect Marti, Secretary Kristi, Treasurer Kathy and immediate past District 1 Director Nancy Buechner. Congratulations to those clubs. Breeann Hufford of SI of Bellevue Metropolitan presented a report on the Soroptimist International of the Americas Convention held in Orlando, Florida in July A standing ovation and Thank You to the hotel and serving staff was given. Secretary Karen acknowledged and thanked all Region Committee Chairs and District Representatives for their past efforts and continued leadership. Governor Stephanie presented the invitation to the 2017 Region Conference in Vancouver, Washington, April at the Hilton Vancouver. On-Site Site Coordinator Dana reviewed the upcoming District Meeting date and location: 2017 is October 20-22, 2017 at the Silver Reef Casino in Ferndale, Washington. Secretary Karen introduced Director Renée for her District Director s Report. Tell and Sell raffles were drawn, followed by the Soroptimist Pledge. Page 5
