55 payment terms The exhibition area has been designed to ensure good visibility and access to all displays. The exhibition area will be located a short distance from all Congress sessions. All morning tea and lunch catering, as well as pre-event drinks, will be held in the exhibition area to ensure maximum exposure throughout the Congress. In addition, sponsors who receive priority placement will be allocated their booths in the first instance, and the remainder of the booths will be assigned in order of date of confirmation (based on receipt of the completed Acceptance Form). Exhibitors will be contacted by the conference organisers for booth location preferences. PAYMENT TERMS 60% deposit required on confirmation of sponsorship. 40% final instalment required by January A tax invoice will be sent. CANCELLATION TERMS If the event is cancelled by the organiser less than 12 months prior to the scheduled date, the sponsor is entitled to a 75% refund. If the event is rescheduled by the organiser, and the sponsors can reasonably demonstrate their inability to participate, it will be entitled to a full refund. In the event of sponsor or exhibitor cancellation, UDIA(VIC) reserves the right to retain monies paid in full unless resold. In the event of cancellation by a sponsor or partner, which must be in writing, the sponsorship sum is not refundable unless a replacement sponsor can be secured. Should one or more of the agreed partnership or sponsorship benefits not be able to be delivered, the organisers reserve the right to substitute an alternative benefit in lieu. TO CONFIRM SPONSORSHIP Should you wish to confirm sponsorship please contact as below and an Acceptance Form with terms and conditions will be forwarded for completion and sign off Please return the completed Acceptance Form together with the first instalment of 60%. Payment details will be on the form which also acts as a tax invoice On receipt of the form and payment, confirmation will be sent with a formal tax invoice for the sponsorship amount Specific details regarding the exhibition including booth allocation, artwork for logos and advertisements, specifications and delivery details for signage and delivery of satchel inserts will be sent in a confirmation letter at a later date.
