1 KK/ Windsor, Ontario September 8, 2016 A meeting of the Seniors Advisory Committee is held this day commencing at 9:30 o'clock a.m. in Room 407, 400 City Hall Square East, there being present the following members: Sally Bennett Olczak, Chairperson Councillor Ed Sleiman Brian Cyncora Karen Demers Larry Duffield Alex Gyemi Sungee John Celia Southward Sonya Vani Also present is the fohowincs resource personnel: Karen Kacfour, Committee Coordinator 1. CALL TO ORDER The Chairperson calls the meeting to order at 9:35 o'clock a.m. and the Committee considers the Agenda being Schedule "A" attached hereto, matters which are dealt with as follows: 2. DECLARATION OF CONFLICT None disclosed. 3. MINUTES Moved by L. Duffield, seconded by C. Southward, That the minutes of the Seniors Advisory Committee of its meeting held May 5, 2016 BE ADOPTED as presented.

2 Seniors Advisory Committee September 8, 2016 Meeting Minutes 4. BUSINESS ITEMS 4.1 SAG 2015 Annual Report L. Duffield and C. Southward will contribute a brief synopsis for the SAC 2015 Annual Report relating to advocacy work and the status the Age Friendly Network The Chair states regrettably as Joyce Nixon has resigned from SAG, she requests volunteers sit on the Communications and Promotions Subcommittee. S. John and K. Demers volunteer. 4.2 Financial Summary Variance Report The balance of the SAG Operating Budget as of August 31, 2016 is $3,059. meetings. Discussion ensues regarding SAC's attendance at the various upcoming Ward It is generally agreed the SAG brochure be updated to ensure the six dominant languages in Windsor are available for the public. The updated brochure wilt be available as a handout at Ward meetings and other public events. Moved by S.John,seconded by L. Duffield, That APPROVAL BE GIVEN to an expenditure in the upset amount of $600 for translation of the SAG brochure into the six dominant identified languages in the City of Windsor by the Multi Cultural Council. Moved by C. Southward, seconded by B. Cyncora, That APPROVAL BE GIVEN to an expenditure in the upset amount of $1,000 for costs associated with the preparation/activities of the Age Friendly Windsor Network Final Report. Moved by Councillor Sleiman, seconded by B. Cyncora, That APPROVAL BE GIVEN to an expenditure in the upset amount of $400 for the purchase of promotional items, and further that SAG BE ENCOURAGED to participate in the 2016 Ward meetings pending confirmation by the respective Ward City Councillor. It is generally agreed the Communications and Promotions Subcommittee will oversee the purchase of the promotional items noted in the foregoing motion. Page 2 of 6

Cyncora, That the following motion BE CONFIRMED AND RATIFIED: That City Council approve the Senior Advisory Committee's participation in the United Nations International Day of Elders event to be held on October 1, 2016 on the grounds of City Hall, 350 City Hall Square West. L Duffield advises the International Day of Older Persons event will be held at the UniforHall, 1855 Turner Road at 2:00 p.m. on October 1, Hosting Fees for SAC Website (windsorseniors.com) Moved by C. Southward, seconded by L. Duffield, That APPROVAL BE GIVEN to an expenditure in the upset amount of $ payable to the Corporate Services Department, City of Windsor for hosting fees for the SAG website (windsorseniors.com). 4.5 SAG Logo Discussion ensues regarding the upcoming one day event at St. Clair College whereby students from the Graphic Design program will undertake the creation of a SAG logo. The fee for such an endeavour will be $500 of which $300 will be awarded as a bursary to the student with the winning logo. Moved by C. Southward, seconded by A. Gyemi, That APPROVAL BE GIVEN to an expenditure in the upset amount of $500 for the creation of a logo for the Seniors Advisory Committee by graphic design students at St. Ciair College on a date to be determined. L. Duffield and C. Southward agree to attend the one day event to provide the vision for the design of the SAG logo. Page 3 of 6

Southward distributes a document entitled "SAG Planning Dates September July 2017", attached as Appendix "A". C. Southward states the City of London has completed their Age Friendly Network Final Report and is in the process of designing their next 5 Year Plan. L Duffield and A. Gyemi are respectfully asked to leave the meeting during the discussion relating to the Ontario Volunteer Service Awards. C. Southward puts forth the following names as nominations for the Ontario Volunteer Service Awards: Alex Gyemi, Larry Duffield, Frank Duralia, Natalie Taylor, Bruce Draper. The foregoing are nominated and are being recognized for five years of continuous service. Moved by C, Southward, seconded by S. Vani, That the following members and former members of the Seniors Advisory Committee BE NOMINATED for Ontario Volunteer Service Awards: Alex Gyemi, Larry Duffield, Frank Duralia, Natalie Taylor, Bruce Draper L. Duffield and A. Gyemi are invited back into the room. Moved by K. Demers, seconded by B. Cyncora, That the report of the Age Friendly Network Subcommittee provided by C. Southward BE RECEIVED. (b) Communications and Promotions The "Communications Committee Report for the Seniors Advisory Committee - September 2016" is distributed and attached as Appendix "B". In terms of the Council on Aging Calendar, SAC at its meeting held May 5, 2016 approved an expenditure in the upset amount of $500 for an ad to be placed in the calendar that will provide awareness of SAG. K. Demers and S. John will compose the message to be placed in the calendar. Moved by S.John,seconded by K. Demers, Page 4 of 6

(c) Advocacy The "SAG Advocacy Report - September 9, 2016" document is distributed and attached as Appendix "C". A. Gyemi reports the Labour Day Parade held in the City of Windsor was well attended and suggests SAG be represented at next year's event. It is generally agreed that the Communications & Promotions Subcommittee add "SAG participation in the 2017 Labour Day Parade" to the SAG Calendar of events in A, Gyemi leaves the meeting at 11: 25 o'clock a.m. Moved by S.John,seconded by K, Demers, That the report of the Advocacy Subcommittee presented by L. Duffield BE RECEIVED. 6. NEW BUSINESS Moved by L. Duffield, seconded by K. Demers, That APPROVAL BE GIVEN to allow members of the Seniors Advisory Committee to utilize accessible taxicabs as a means of transportation to attend the quarterly meetings of SAG. 7. DATE OF NEXT MEETING The next meeting will be held on Thursday, December 8, 2016 at 9:30 a.m. in Room 407, 400 City Hall Square East. 8. 11 Committee Members: Joyce Nixon Communications Committee Report for the Seniors Advisory Committee September/ 2016 > T> "0 m z D x DO Project Council on Aging Calendar SAC Logo SAC Website SAC Messaging Current Status SAC approved $500 from their budget to purchase a month in the upcoming 2017 calendar. The month of October has been reserved for SAC. June was already spoken for. The theme of the calendar is "WellnessforToday and Tomorrow". SAC has the option of creating a message for their month or simply sponsoring the month and a message will be created by the calendar committee. Contact to get a photograph done is Michelle at michelle.i.wvbenga@)gmail.com The contact for the wording/content is Alison at almbut( hotmail.com As mentioned in our last meeting SAC does not have a logo but would like one. This was brought up in our Age Friendly meeting and one of our members made contact with St. College to discuss having this done by students. As a result Joyce met with Jim Martin (Age Friendly) and Dan Watts from the Graphic Design program at St. Clair College. Dan explained they do this type of project often with students and local businesses. The process is as follows: This can be done in the Fall or Winter semester with the last day being February IS, 2017 The students work on the project one full day from 9am~4pm A SAC representative attends the class for 15 minutes at the start of the day to provide the pitch and the students work on the logo for the remainder of the day The instructor will narrow the choices down to 10 for the committee to review Once a choice is made they committee works with the student to make any required adjustments to the logo SAG would need to provide a pop/pizza lunch for the group (26 students) while they are working -approx.$200 The student with the winning logo would receive a $300 honorarium provided by SAG Working with Scott Bisson to ensure that as the City website evolves to include more content directed to seniors and that the SAG site is linked to these pages for more visibility. Age Friendly voted to continue paying for the site as it is a valuable web domain to have. Items for discussion: who will arrange payment, how can the site be removed as the content is outdated yet continue to keep the domain/future use of the domain. Committee Members would be willing to go to Ward Meetings and Health Fairs to set up the SAC booth however are unsure of their message and role. The Communications Committee was asked to work on the messaging of SAC. Joyce, Scott/ Karen and Sonya agreed to meet to discuss. One meeting was held however with summer schedules it has been difficult to get all 4 members together. In the one meeting held we reviewed the mandate/ mission and responsibilities of SAG. Further discussion is required. SAG Member Lead TBD

12 SAG Advocacy Report September 9, Windsor Essex Mega Hospitals Project: Karen Demers is our SAG Ambassador and attending project related events supported by Windsor Regional Hospitals including August 23 and September 7. A SAC project letter of support to Minister Hoskins was drafted and has been submitted according to the proscribed process. 2. SAG remains a strong active supporter of the October 1 UN Day of Older Persons event. The event organizing committee has met monthly and the flag raising ceremony on City Hall Square will be on Friday September 30 at 10am as directed by City Administration. The related event program will continue on the proscribed Saturday October 1 and will for cost and administrative reasons held at 2pm at the UNIFOR Hall, 1855 Turner Roand, Windsor. Accessible free parking, weather independent, no cost well serviced site underlay choice of location. Speakers, Joyce Zuk and Art Lesny, have been confirmed, 'free* food and entertainment by LAF Choir has been arranged, the Mayor has issued a "Proclamation" and participation by City elected reps is pending, so hopefully a successful celebration of this national and global event will be achieved with increased participation and media coverage. 3. SAG will continue to identify opportunities to partner with other seniors organizations and to look for other issues and events which provide for consultations with seniors and to promoting their quality of life in Windsor. Some of these might be the Windsor 20 Year Strategic Vision, Gordie Howe International Bridge project progress, energy costs, ward meetings, info fairs. 4. SAG will pursue submitting applications for its members past and present who qualify for Ontario Volunteer Service Awards, deadline January 25.
