1 Ceremonial Opening The June 2014 meeting of the was called to order at 10:30 a.m. at the Delta Center Adoption of Agenda The agenda was adopted Approval of Minutes The May meeting minutes were approved as written Recognition of National Officers and Committee Members Recognition of Regional Officers and Committee Members Recognition of Local Elected Officials Correspondence Correspondence was read by Soror Bronwen Gibson Hospitality CAC Hospitality Committee recognized visiting Sorors and those celebrating birthdays in June President s Report Desiree Rew National Level No update Regional Delta Days at the NC General Assembly was held in Raleigh, NC on Jun 11 o 180 Sorors attended, 12 CAC Sorors attended Local Charlotte Alumnae has a discount program with Office Depot. Sorors can present our discount card and receive 5-65% off any item. The discount is available to all members. The discount card will be sent via Yahoo and it can be downloaded from our website. The discount card can also be used for personal purchases Save the date Jun 6:00 p.m. for Fellowship Friday. The new Executive Boards of CAC and DOCF will be hosting Fellowship Friday Soror Desiree Butler has resigned her position as Assistant Financial Secretary. The vacancy will be filled at the September Chapter meeting Soror Debra Barrett experienced a house fire and lost everything. If you would like to donate items, please bring them to the Executive Board meeting between 6:30-8:30 or you can contact her directly (phone number provided) The Executive Board made a charge to the Finance Committee to make a recommendation for how to use the $18k (Reserved Funds) in our Investment Account. We received 13 s with 1
2 recommendations on how to use the funds. The Finance Committee reviewed the submissions and is recommending: o $9,000 Mortgage Payment o $5,000 Scholarship Committee o $4,000 - CD/Money Market Account The Executive Committee met on Jun 13 to bring a recommendation for the remaining $13k: o $8,500 Contingency funds to pay Mortgage o $3,000 Custodian/Security Costs o $1,500-Soror Barrett o Motion will be brought by the Finance Committee We will vote on Charitable Contributions and Policies & Procedures today Charitable Contributions Mutsa Kemp $20,500 in Charitable Contributions has been approved. The Committee is recommending that the remaining $1700 be donated as follows: Move that we give the following in Charitable Contributions to the following organizations: $500 to DREF $700 to Heifer International $500 to Second Harvest Food Bank For: 133 Against: 0 Financial Reports Finance Committee Finance Motions Michelle Austin: Move that we apply $5,000 of $18,000 restriction to the Scholarship Committee: For: 147 Against: 0 Michelle Austin: Move that the remaining $13k from our restricted funds be spent for the following: $3,000 for Custodian/Security Costs $1,500 as a donation to Soror Debra Barrett 2
3 $8,500 remaining as contingency funds should the funds not be available in the DOCF account to pay the mortgage. Michel Vaughan: Move to amend the original motion that we separate the vote for the 3 rd item, e.g. vote on the $3,000 and $1,500 together, then $8,500 separately Vote Results to Amend the Motion: For: 135 Against: 6 Michelle Austin: Move that $4,500 from our restricted funds be spent for the following: $3,000 for Custodian/Security Costs $1,500 as a donation to Soror Debra Barrett For: 147 Against: 1 Michelle Austin: Move that the remaining $8,500 remain in restricted funds as a reserve for the Mortgage Payment as a contingency should the funds not be available in the DOCF account to pay the mortgage Valerie Lott: Move to amend the motion as follows: $5,000 Pay now as a Principal payment $3,500 Restricted to cover Mortgage payment Vote Results to Amend the Motion: For: 82 Against: 52 For: 94 Against: 41 Treasurer s Report: Michelle Austin CAC s budget is based on 425 members, we currently have 399 The Finance Committee approached the budget differently since this is a transition year and the number of members has decreased The Finance Committee would only like to fund the budgets that need funds early and move overages of funds remaining from FY13-14 into next year s budget The Finance Committee will not automatically give all excess funds to the same committees 3
4 Michelle Austin: Move that the remaining funds in committee budgets for FY13-14 be retained in the respective budgets for FY14-15 with the exception of: $100 Heritage & Archives $600 Step Team $900 Elections $200 Policies & Procedures $300 General Funds Total of $2,100 These funds are to be transferred to the Administrative Committee to be restricted for funds being requested to improve general Soror and guest experience via the Chapter website, improve Chapter properties, provide support for incoming executive board transition and to purchase a Chapter camera to assist in preserving our history. For: 103 Against: 3 Financial Secretary s Report: Valerie Jackson CAC Finance Committee is accepting payment for the following: o FY2014/15 Member Dues will now incur a $5 late fee; increases to $15 after Jun 18 o $50 Chapter Retreat collecting until August 1 need to register via Google Docs Soror Jackson gave a reporting of all funds receipted in April for the General Operating, Fundraising and South Atlantic Regional Activity accounts Assistant Treasurer s Report: Mutsa Kemp Soror Kemp gave a reporting of the balances in the Fundraising account Treasurer s Report: Michelle Austin Soror Austin reviewed the General Operating account expenditures and activity, Other Assets and Fundraising Account balances and activity for April 2014 Policies and Procedures Jeannine Sargent All of the proposed amendments were reviewed by the chapter in the May meeting Jeannine Sargent: Move to accept the recommended changes from the Executive Board as presented at our May Chapter Meeting Michel Vaughan: Move to amend the motion as follows: Reference 9 and 20 Remove Political Awareness and Involvement o Rationale: Political Awareness and Involvement is the duty of the Social Action Commission and is not limited in the National P&P program guidelines 4
5 Delete Reference 12 & 16 in its entirety o Rationale: These are already covered in the National Constitution and Bylaws so this is clear redundancy Reference 20 under Educational Development, add after include, but not limited to, o Rationale: This language allows us to include additional local programs and other national initiatives that may be developed on a national level Vote Results to Amend the Motion: For: 99 Against: 2 For: 88 Against: 0 Committee Reports (updates) Amenities Corita Floyd Arts & Letters Nettie Lark National Headquarters is encouraging Chapters to support/buy a book authored by a Soror so that she can make the National Bestseller list. Soror Lark will send the information to the Corresponding Secretary Cotillion LaToya Hatchett Soror Hatchett shared highlights from this year s Cotillion season: o 50 th Annual Cotillion o 39 Debutantes were presented o Amount Raised (including activity fees): $121, Scholarships: $34, Special Awards: $1,000 Charitable Contributions: $17, Membership Services Melody Harris Sorors celebrating 25 and 50 year Delta Anniversaries were recognized: o 50 Years: Joy Armstrong and Eliza Watts o 25 Years: Wanda Braswell, Christy Bryant, Elva Cooper, Brandy Daniels, Melissa Demetria Faulkner-Welch, Corita Floyd, Frances Hamilton, Tammy Holt, Karen James, Cheronne Johnson, Valerie Lott, Rickye McKoy-Mitchell, Sula Page, Shakiria Stafford, Veda Stanley and Melinda Washington The Membership Services Committee presented the Dynamic Delta Award to Desiree Rew 5
6 Outgoing President, Desiree Rew, was presented with a gift from the Chapter National Pan-Hellenic LaTwan Williams Jun 21 Annual Greek Picnic will be held at Hornets Nest Park, Shelter 1 from 11-3 PP&D Pamela Murphy Lewis There are free Habitat for Humanity T-shirts available Jun 18 2:00 pm: There will be a celebration for the family who is moving into the house that CAC and Omega Psi Phi helped to build. Sorors are invited to attend Soror Melissa Deas shared an essay written by one of the Delta Academy participants on her Most Memorable Experience PP&D (Physical & Mental Health) Christy Neal Oct 4 Marshall Park CAC will have a team in the Susan G. Komen Race for the Cure. More information will be forthcoming. Team name is Charlotte Alumnae DST If you cannot participate, you can make donations on our team page Note: Results of the Blood Drive were also given: o Goal was to donate 25 units o Charlotte Alumnae gave 19 successful units Social Action Lucille Frierson 12 Sorors traveled to Raleigh for Delta Days in the State Capital o There were a variety of issues that we are standing firm on, namely the raising of teacher salaries in NC A group of sorors met with Speak of the House, Tom Tillis, where several issues were discussed with him Technology Alexis Mitchell The Technology team has created a community message board - Charlotte Alumnae Pro Board An with the details was sent to the chapter on May 26 To register, go to CharlotteDST.proboards.com o Create a user name (form name) New Business There was a recommendation from the floor that CAC perform an analysis on the drop in membership.
