1 17 th Model United Nations Training Advisor Handout Thursday, March 15 th GENERAL INFORMATION A. Conference Dates: MUN Training will take place from Saturday, March 24-Sunday, March 25th at the Visalia Convention Center (303 E. Acequia, Visalia, CA 93291). a. We have no planned restrictions on bags or security screenings at the Convention Center. B. Conference Start Time: Conference check-in will occur from 9:00-10:45 am in the Executive Lobby of the Visalia Convention Center. Opening Joint Session will start at 11:00am. a. Please note that the 17th Secretary-General, Deputy Secretary-General, Chef-de-Cabinet and candidates for 18th Secretary-General need to arrive early for opening session dress rehearsal (10:15-11:00 am). C. Conference End Time: The conference is scheduled to end at noon on Sunday, March 25th. D. Meals provided include Saturday lunch through Sunday breakfast. E. Dress for conference a. The dress code for MUN Training is casual school attire. Closed toed shoes are required. PAYMENTS F. All delegations have been sent invoices for the 17th MUN. If you are a Lead Advisor and you have not yet received your invoice, Jena@calymca.org. G. All payments are due upon arrival at MUN Training. All fees must be paid in full (not just check requests). a. Any outstanding balances not paid by MUN Training will have a 12% late fee applied as stated in the Dates & Fee Summary. REVIEW OF CONFERENCE SCHEDULE H. The full MUN Training conference schedule is now available online. a. All programming sessions are mandatory for delegates including the dance/game room. Delegates may not go to a hotel room during conference hours. I. Saturday: Opening Joint Session begins at 11:00 am on Saturday. Delegations should bring their country banners to this session. a. As joint session is quick and the room is used for programming directly after joint session, there will be no chairs set-up in the room. Delegates will be asked to sit on the floor. b. Delegations will be seated as they arrive. Advisors may want to bring a sign to help identify their delegation area during Joint Sessions. J. Immediately following Opening Joint Session will be lunch. a. For delegations with any leadership candidates (for elected or appointed positions), there will be a mandatory Appointed & Elected Candidate Working Lunch.

2 b. Current leadership should also attend (17th Secretary-General, Deputy Secretary-General and Chef-de-Cabinet). c. Leadership delegates will be dismissed first from joint session. Delegates will get their lunch and head straight to their meeting. K. Following lunch, delegates will complete two sessions by program area (Session 1 and 2). L. At 2:30 pm, there will be a Cookie Break in Executive Lobby. a. All advisors are needed to help distribute cookies and supervise delegates. b. Advisors do not need to arrive early. Please help with cookie distribution then supervise your delegates during the break. M. Following the cookie break, delegates will complete two sessions (Session 3 and 4). N. Between 5:00-7:00 pm, all delegations will have time to eat dinner and move into their hotel rooms. a. Each delegation will have an assigned meal rotation time. b. Shuttles will be provided for delegations not housed at the Marriott or Comfort Suites. These delegations will be provided a shuttling schedule in their delegation check-in packet. c. The game room will also be available during this rotation for any delegations with available time. Delegates should not go to the game room without instructions from their Lead Advisor. O. Following dinner, there will be one additional session (Session 5). P. The dance will be from 8:30-9:15 pm. The game room will re-open during this time for any delegates not interested in attending the dance. a. All delegates and advisors must remain in the Convention Center until social activities end. b. Even delegates housed in the Marriott or Comfort Suites cannot go to hotel rooms during this time. Q. For delegation not housed at Marriott or Comfort Suites, shuttling to off-site hotels will run from 9:15-10:15 pm. There will be a shuttling schedule available in your conference check-in packet. R. Sunday: On Sunday morning, all delegations will eat breakfast at their hotel before arriving to conference. a. There is a Delegation Presidents Meeting from 7:45-8:30 am. Each delegation should send a representative. b. There will be space on the earliest shuttle for any delegation presidents shuttling on-site. S. Sessions will begin at 9:15 am. There will be two program sessions (Session 6 and 7). T. Closing Joint Session will take place from 11:30 am-12:00 pm. a. Again, delegates will be asked to sit on the floor. Advisors will not be able to arrive early for seating as this space is used for NGO directly before. b. Delegates should also sit by country as there will be voting during this session. c. During the session, each country will receive a printed caucus ballot and will be given minutes to determine which Secretary-General they will vote for. d. Each country can only vote for one candidate. The top candidates will become finalists. COUNTRY BANNERS A. Every country is required to create a country banner prior to arrival at the Training Conference. B. Banner requirements and guidelines can be found on the MUN Resources Page. C. When you arrive to the Visalia Convention Center, banner will be placed in a designated space for display. D. At the end of conference, please be sure to collect your banner if you want to save it. LEADERSHIP DELEGATES & VOTING U. As previously mentioned, there will be a mandatory Appointed & Elected Candidate Working Lunch on Saturday. This session will help delegates prepare for their election or interview.

3 V. A packet of helpful tips is now posted on the MUN Resources Page. W. All leadership delegates (for elected or appointed office) should be in Summit attire on Saturday. X. Appointed Leadership a. Following the working lunch, program areas will interview candidates for appointed office (12:30-1:15 pm). b. The interview schedule will be posted on the 17th MUN Public Roster. c. If you have an appointed candidate, be sure they review the Appointed Leadership Speech Topics document. d. The selected applicants will be announced during Closing Joint Session. Y. ELECTED LEADERSHIP a. On Saturday, each program area will have a designated time for candidates to give speeches. b. While Session 4 is titled Meet the Candidates, this is not necessarily the time for speeches. c. All program areas will hold elections on Sunday morning. d. If you have e. If you have an elected candidate running, be sure they review the Elected Leadership Speech Topics (and bring a financial disclosure form to conference). Z. 18TH SECRETARY-GENERAL CANDIDATES a. New this year, Secretary General candidates will not give speeches at Opening Joint Session. b. Candidates will give speeches by program area during Session 4 and 5 (see the schedule for rotation). c. Candidates should be in Summit attire on Saturday and Sunday. AA. As a reminder, there will be a primary election for Secretary General at Training. a. During the Closing Joint Session, delegates will be told to sit by countries for voting. b. Each country will receive a printed caucus ballot and given minutes to determine which Secretary General candidate they want to vote for. c. This will serve as the primary election for Secretary-General. d. The top candidates will become finalists and the new Secretary General will be elected at MUN Summit. BB. If you have any questions about leadership delegates, contact munleadership@calymca.org. CONFERENCE CHECK-IN CC. If your delegation is going to your hotel first to drop off luggage, you may check in when you arrive to the Convention Center. DD. Step One: Advisor Check-In. a. You may need to rotate your advisors to get them checked in and keep someone with the delegates on the bus. b. Y&G will be checking the photo ID of every advisor on your Reggo roster. Each advisor must come in person to check in. c. All advisors coming to conference must be approved by your YMCA or school with LiveScan and Child Abuse training on file. d. If you arrive with an advisor who was not listed in Reggo, you must have a letter from the CEO/Principal stating this substitute is cleared (passed LiveScan and Child Abuse training on file) or the substitute will not be allowed to participate in conference. e. If you have questions about advisor ratio or have concerns about being in ratio at MUN, contact Summer. EE. Step Two: Payments, Forms & Rosters a. If delegations have not paid, they will need to bring payment or proof that payment is in process.

4 b. Lead Advisors will need to mark absences (ie. sick delegates) and drops (ie. delegates no longer coming to MUN Summit). This will happen in Reggo and verbally to Jena or Meghann to update the master delegate roster. c. Very important! Each delegation needs to bring 2 sets of all Y&G Authorization Form to conference (for all delegates and advisors). i. You will submit one set to Y&G to be stored at the First Aid office. New this year, the Y&G copy need to be submitted in a folder or binder with your delegation s name on it. ii. The second set stays with the Lead Advisor on-site. 1. New this year, you must show the Y&G Info Desk your copies on-site to receive your materials. d. Next you will get your conference materials, including name badges and check-in packet. i. The Check-in packet will have advisor duties, a contact sheet for all delegations, and a lead staff contact list. e. The registration desk will be open the remainder of the conference for replacement badges and conference information/help. i. Reminder: If a delegates loses a badge, they need to come with an advisor. Any advisor is okay. It does not need to be Lead Advisor. HOTELS FF. Hotel assignments for MUN Training have been sent to Lead Advisors. a. A majority of the program has been assigned to the Marriott Visalia (which is attached and connected to the Visalia Convention Center). GG. Please note that while move-in for delegations is not until 5-7 PM, hotel rooms will not be ready until after 4:00 PM on Saturday, March 24th. Do not try to get keys earlier than 4 PM. a. When delegations arrive to their hotel on Saturday (prior to checking in at the Convention Center), the hotel will provide a space or rooms for luggage storage, so please check in with the hotel when you arrive. b. Delegations should be prepared to store luggage. c. As delegates will not be back to their hotel rooms until after 5pm, be sure they pack any items they need with them into a backpack. HH. On Saturday from 5:00-7:00 PM, delegations will have a break to eat dinner and move into their hotel rooms. a. Any delegation not housed at the Marriott or Comfort Suites will be shuttled to their hotel and back during this time. b. Delegation Hotel move in should be closely supervised by advisors and ensure delegations remain respectful during the quick move in period II. Lead Advisors will need to assign delegates to hotel rooms and roommates in Reggo. Submitting Rooming lists is a 2 step process: a. Step 1: Lead Advisor assigns roommates to both advisor and delegate rooms. This can be done in advance as early as Wednesday prior to conference. b. Step 2: Once you are on the property and have received your room keys and know where your delegates/advisors are, you assign the specific room numbers to the rooms you assigned in step 1. c. We are expecting you to enter your delegates into Reggo so that we do not need to have you complete a printed hotel locator form. Lead Advisors must submit final rooming assignments in Reggo by 10pm on Saturday. I. On Sunday, all delegations must move out of their hotel rooms before arriving to conference.

5 A. Before arriving to conference, all delegations will eat breakfast at their hotel. Delegations not housed at Marriott/Comfort Suites will be shuttled on-site (schedule to be provided). B. While the schedule shows Pack Up Belongings at 6 am, Lead Advisors can adjust packing times for their delegation based on breakfast time (and shuttle time if applicable). II. Check-out Procedure A. Your hotel will again provide a place for each delegation to store luggage until the conference adjourns. 1. Some hotels will have a designated room for luggage and some will use advisor rooms. Lead Advisors should confirm with the hotel in during check-in. B. Delegations should prepare a plan for loading buses after the end of the conference. 1. Many delegation use advisors to pre-load your bus from the hotel if possible. If not, follow luggage storage plans and pick-up luggage after joint session. HOTEL REMINDERS JJ. Most rooms will house four delegates. Rooms may have one to two beds. Delegates should be prepared to sleep on the floor. a. For delegations assigned to the Marriott, please note that all hotel rooms at this property have wood/tile floor. Please be prepared. KK. Delegates are not allowed in hotel rooms other than their own LL. With the exception of Marriott, delegates may not be in hotels that are not their own. MM. No food delivery after 10 pm at all hotels. NN. There may be a pool, fitness center or spa offered but Y&G delegates are not permitted to use them. OO. Do not throw any objects out of hotel windows. Furniture in hotel rooms must not be moved. PP. We are not the only guests in the hotel. Be mindful of non-program neighbors who are expecting quiet during their stay. QQ. Room keys are easily demagnetized by cell phones and credit cards. An advisor must go with delegates to reactivate or replace your room key. RR. Be mindful of quiet hours in your hotel. SS. There will be a SWA assigned to your hotel. You will receive contact information upon check-in. New this year, make sure you reach out to them to provide a primary and secondary contact for your delegation (especially if different than printed delegation contacts provided in advisor packet). TT. Lost & Found: If items are lost at hotel, you will need to follow up with hotel (not Y&G). If item is found, the hotel will likely charge you or your delegation for shipping the item. SHUTTLING UU. Any delegation not housed at the Marriott or Comfort Suites will be shuttled to their off-site hotel by Y&G. a. A shuttle schedule will be provided in your delegation check-in packet at conference. Please be sure to follow this schedule. b. All of the hotels used during MUN Training are no more than six miles from the Visalia Convention Center. VV. Delegations housed off-site will be shuttled during Saturday dinner (for move-in), after the dance, and to conference on Sunday morning. WW. Delegations are responsible for transportation after closing joint session. Y&G is not providing shuttling back to hotels. XX. If you have logistical issues with shuttling to your hotel after Closing Joint Session, contact Summer. YY. New this year, any delegation wishing to use their own transportation for shuttling must have that approved by Y&G prior to the conference with a confirmation letter from your YMCA/school. Those delegations will be provided a permit for your vehicle and designated parking spot during conference hours.

6 ZZ. Remember that buses are on a tight shuttling schedule. If a delegation runs late for one shuttle, it can impact shuttling all future times. Every delegation must be on time for their shuttles to ensure that everyone arrives on time. If delegations are running late, staff will contact the Lead Advisor but we prefer to not do this. a. For example, if you are assigned a 9:45pm shuttle time, that means that your shuttle bus is leaving at 9:45pm. Please be early with all of your delegates accounted for. We will do our best to hold a bus for a late delegation, but cannot guarantee that your bus will not depart without you. AAA. If you are not planning to use any of your scheduled shuttles, please notify Y&G so the shuttle is not waiting for your delegation. MEALS/DIETARY RESTRICTIONS BBB. Meals provided include Saturday lunch through Sunday breakfast. CCC. To save time, Saturday lunch will be a bag lunch. Delegates and advisors will be able to grab quickly. Delegations are welcome to bring picnic blankets to sit outdoors as a delegation if weather permits. There is no meal rotation for Saturday lunch. DDD. For Saturday dinner, all delegations will eat dinner at the Breakfast Room in Marriott (which is attached and connected to the Visalia Convention Center). a. Seating is limited inside so there will be a meal rotation schedule. You will receive your time assignments in your delegation check-in packet. b. If lines are long, be sure to eat and leave quickly so other delegations can get seated. EEE. For Sunday breakfast, your hotel will provide breakfast for your delegation. Look for signs for a breakfast area or talk with the hotel desk if you cannot locate breakfast. a. At some hotels, delegations will be provided a meal rotation to avoid congestion. b. If not housed at Marriott or Comfort Suites, you will need to eat prior to your shuttle so pay attention to timing. FFF. The dietary restrictions Y&G will accommodate for MUN Training are vegetarian, gluten intolerant, and vegan. GGG. Please note that only those participants who registered as such in Reggo can eat off this menu in Visalia. Participants with dietary preferences will have them designated on their name badge at conference and food line monitors will check badges. ADVISOR NOTES HHH. There will be various meetings for advisors: a. Lead Advisor Meeting (Saturday March 24th, 3:10-4:00 pm, Kings Canyon): Each delegation must send one representative. Attendance will be taken during this session. b. Advisor Office Hours (Saturday March 24th, 7:15-8:15 pm, Kings Canyon): Optional time for advisors to meet with the Advisor Development Team for additional help with preparing for Summit. III. Delegations will be assigned Advisor Duties during the Training Conference. a. Advisor duties are assigned based on delegation size. b. Some duties require all advisors to be present for assistance so be sure to communicate with your advisors. c. Advisor Duties will be posted on the MUN Resources Page later this week and will be included in check-in packets. JJJ. Look at your delegation check-in packet you arrive. We know it s a busy day but there are sometimes important updated schedules or notes for Leads. RISK MANAGEMENT KKK. Emergency Contact Info a. The back of every delegate badge must have the name and contact information for an advisor that can be contacted in the case of an emergency.

7 b. Lead Advisors have been suggested to place paper inserts into the back of every delegate badge. For reference, the size of the badge is 2.25 X 3.5. LLL. CONFERENCE BOUNDARIES a. Delegates should not wander beyond the Visalia Convention Center during the conference. b. In an emergency situation where a delegate needs to travel outside the immediate conference area, they must have an advisor with them. c. Delegates may not go to a hotel room during conference hours (including social activities). MMM. First Aid a. The conference will also maintain Deans and First Aid services. b. Make sure to tell delegates they must be accompanied to First Aid by an advisor. c. All delegate prescribed medications must be kept by an advisor. First Aid will also have limited storage for medications if necessary. d. If you need refrigeration for medications, notify ben@calymca.org. NNN. New this year, there is a Y&G emergency line printed in the conference manual. Any participant is able to call that number in the case of an emergency for assistance. CONFERENCE COMMUNICATION & SUPPORT OOO. California YMCA Youth & Government app a. The schedule will be uploaded onto the app. b.
