1 Liberty High School Baseball Diamond Club By-Laws The mission of the Liberty High School baseball team is to develop student athletes to be competitive in the classroom as well as on the baseball field. Athletes involved in the baseball program will be students first and athletes second, which will prepare students for life after high school to become contributing members of their community. The coaching staff is dedicated to helping all players succeed at the individual s highest level, which will build a successful team. The purpose of the Liberty High School Baseball Diamond Club is to provide encouragement and to generate support for the baseball activities at Liberty High School. The Diamond Club is to act in mutual partnership and support of the coaching staff and to contribute to the longstanding tradition and success of the Liberty baseball program. Activities in which the Diamond Club will engage include, but will not be limited to the following: 1. Positive interaction between the club, school officials, coaching staff, student body, Liberty High School, Timberview Middle School and the general public. 2. Banquets and awards ceremonies, for all Liberty baseball teams. 3. Fundraising activities. 4. Communication of Liberty Baseball news to the various media. 5. Communication of a positive image of the Liberty Baseball program to the community. 6. Working for the development of a constructive attitude by all students toward all levels of athletic endeavor. 7. Field improvement. All Liberty Baseball Diamond Club activities will be conducted in accordance with Diamond Club guidelines and Bylaws, notification and approval of the Liberty High School Baseball Coach, the Athletic Director and the Diamond Club Officers. HISTORY The Liberty Baseball Diamond Club was established as a support group to encourage parent participation, promote effective communication between parents and coaches, and to support fundraising activities in order to enhance and expand the Liberty High School baseball experience. The Diamond Club strongly believes that positive parental involvement during the high school years is a significant key to the success of any student athlete.

2 ARTICLE 1 SECTION I NAME The name of the association shall be the Liberty High School Diamond Booster Club (hereinafter referred to as Diamond Club ). SECTION II FISCAL YEAR AND BUSINESS YEAR The Fiscal and Business Year of the Diamond Club shall be June 1 to May 31. Newly elected officers will assume administrative control of the Diamond Club on June 1. The Diamond Club officers will conduct a fiscal and business review on an annual basis. SECTION III MEETINGS Diamond Club general business meetings will be held at a pre-announced time during the fiscal and business year. Meetings will be held a minimum of two times a year and other meetings will be held as deemed necessary by the Diamond Club officers. Diamond Club officers board meetings are not typically open to the public, but individual invitations may be offered for specific needs or circumstances. Individuals may request to address the board with prior coordination. SECTION IV PUBLIC NOTICES Public notices for general business meetings and/or any Liberty Baseball communications should be published at Liberty High School, via Internet on the Diamond Club website, via , or as arranged by the Diamond Club officers. The Diamond Club Board shall make every effort to effectively communicate all Liberty Baseball and Diamond Club information in a timely manner. ARTICLE II SECTION I MEMBERSHIP Membership of the Diamond Club will be made up of citizens interested in promoting greater interest in baseball as carried on by Liberty High School. Typical membership would be any person who is a parent or guardian of a child or children who participates or has participated in the Liberty baseball program. All members will be required to abide by the bylaws of the Diamond Club. Membership privileges can be revoked at the discretion of the Diamond Club Officers. Members of the Diamond Club are highly encouraged to participate in fundraising projects (i.e., Concession stand, announcing, score board, field preparation), support Liberty Baseball via exemplary behavior during game attendance, address concerns to the Board members of the Diamond Club, attend general business meetings, provide feedback to the Diamond Club officers regarding finances and project plans, and volunteer expertise when appropriate.

3 SECTION II - INDIVIDUAL MEMBERSHIP QUALIFICATION Persons shall become members by paying the prescribed annual membership dues (as described in Article II; Section IV) and signing the membership form, per each voting member. SECTION III - MEMBERSHIP PERIOD The annual membership period is initiated at the LHS Springs Sports Night and will be extended until the next Spring Sports Night, one year later. Additionally, members may be accepted at any time throughout same period. SECTION IV MEMBERSHIP DUES Annual membership dues will be determined by the Diamond Club Board on an annual basis and will be non-refundable. With Diamond Club Board discretion and approval, membership dues may also be waived for those persons who have contributed significant time and personal resources which will directly benefit the Liberty Baseball program. SECTION V - MEMBERSHIP VOTING Only those persons who meet the membership qualification requirements (as described in Article II; Section II) shall have voting privileges within the Diamond Club. (i.e., annual officer election, disbursement of funds, etc ) Each member shall have the right to cast only one vote. The decision of a simple majority of the voting members present will be binding on the organization, provided a quorum is present. Voting during a quorum of meetings (as described in Article V; Section 1) shall be conducted by a show of hands. All other voting will be conducted by contact with the exception of the annual officer election, which will be anonymous. ARTICLE III SECTION I OFFICER BOARD The officer board shall be president, vice-president, secretary, treasurer. The head baseball coach will serve as a non-voting member of the Diamond Club Officer Board. The officer board will be elected annually by the members of the Diamond Club. The officer board may also include the previous year s president as a non-voting member. This is to add continuity, experience, advice, and support to the board during annual board transition and support throughout the year. The officer board of the Diamond Club is a volunteer position and will NOT receive any compensation for their term in office.

4 SECTION II NOMINATION OF OFFICERS The President will generally appoint a nominating committee near the end of his or her term. The nominating committee will solicit and select a set of candidates for election as officers. Alternatively, the President and other officers may solicit volunteer candidates for each officer position directly from the baseball community. The officer board must determine if each candidate meets required qualifications prior to the election. As an exception the board member positions can be held by two (2) volunteers to share the duties, at the Diamond Club board discretion. The election will normally take place at the post season banquet or otherwise designated by the officer board. SECTION III - OFFICER QUALIFICATION/EXPECTATION No two (2) members of the same family unit shall serve in the officer positions at the same time. To avoid a conflict of interest, no officer of the Diamond Club will have authority to make decisions that could give them personal benefits. All decisions must be unanimous amongst the Diamond Club Officers. SECTION IV OFFICER S DUTIES The President shall serve as the active head of the Diamond Club and chair both the general and business meetings. The President will develop the agenda for meetings if appropriate and otherwise act as spokesperson for the Diamond Club. The President will oversee club fundraising efforts, special projects, spending, and communications with club members. The President will also maintain a responsible relationship with Liberty High School administration. The Vice-President shall serve in the absence of the President. The primary responsibility of the Vice-President of Diamond Club is to be prepared to assume the duties and responsibilities of the position of President in the case of a vacancy. The Vice-President will report to the President and the Board. The Vice-President will be given various tasks and/or committees, assigned by the President, to spearhead the efforts of the task or committee. The Secretary shall have charge of the records of the Diamond Club and will handle all clerical responsibilities. The Secretary shall present a written report to the Diamond Club Officers at each meeting. This report will include minutes of the previous meeting. Meeting minutes are available upon request to the general public. The Treasurer will be the financial liaison between the Diamond Club and Liberty High School Baseball Head Coach. The Treasurer will oversee the collection and disbursement of all funds handled by the Diamond Club and will make a record of all financial transactions. The Treasurer will also insure that all of the financial rules and regulations pertaining to the Diamond Club are upheld. The Treasurer will present a financial report to the Diamond Club Officers at each meeting. A full detailed report is available upon request to the general public. The officer board shall coordinate as needed with the head baseball coach and/or school Athletic Director on all matters involving Liberty Baseball.

5 SECTION V OFFICER BOARD MEETINGS The Diamond Club Officers Board shall have a business meeting prior to each membership meeting and/or when deemed necessary by the President. ARTICLE IV SECTION I COMMITTEES The Diamond Club Officers may appoint committee chairpersons as deemed necessary. (i.e., fundraising, concession, photographer) ARTICLE V SECTION I QUORUM FOR MEETINGS A quorum for any meeting of Diamond Club Officers shall consist of three officers in attendance at the meeting. Twenty-five Percent (25%) of the membership is considered a quorum for any general Diamond Club meeting. ARTICLE VI SECTION I VACANCIES In the event of a vacancy in any elected office except President, the President will appoint a replacement for that office. If the President should vacate his or her office, the Vice-President will assume the office of President and will appoint a replacement to the office of Vice-President. If the Vice-President is unwilling or unable to assume the role of President, the order of succession will then go to the Secretary and Treasurer, and the successor will appoint the replacement for his or her former office. ARTICLE VII SECTION I APPROVAL FOR DISBURSEMENT OF FUNDS All monies are the property of Diamond Club and are disbursed through the authority of the Diamond Club Officers. Any projects exceeding $1000 will be brought before the general membership for a vote (as described in Article II; Section V). ARTICLE VIII SECTION I AMENDMENTS The bylaws may be amended, wholly or in part, by a favorable vote of the majority of the membership (as described in Article II; Section V). Notice of proposed bylaws amendment(s) must be dispersed to the general membership of the Diamond Club at least 72 hours prior to a vote on the proposed changes. AMENDED: 10 Aug 2012
