1 RHODES HILL SUBDIVISION HOMEOWNERS ASSOCIATION MEETING DATE: JUNE 1, 2015, 7:00 p.m. LOCATION: 8106 CORNELL LANE, home of Mike and Donna Jellicorse THE FOLLOWING 21 LOT OWNERS WERE IN ATTENDANCE, REPRESENTING 45 LOTS: Mike and Donna Jellicorse (1) David and Nancy Lineberger (2) M. Scott DeCain (32) Martha Arnold-Charnay (1) Josh Bowling (1) Kevin and Charlotte Chadwell (1) Josh and Stacey DeHart (1) Sandy and Travis Donoho (1) Brad Gayer (1) Blair Lively (1) Stan and Wanda Nalley (1) Lucas and Kati Tindell (1) Cher Vardian (1) Gary Koontz (representing Bald Eagle Ventures) TREASURER S REPORT (see attached) Brad Gayer volunteered to research additional options for the barrier to be placed before Chapel Hill Lane to prevent illegal dumping, trespassing and vandalism. He will present his recommendation to the Board of Directors in one week. Gary Koontz suggested we contact Bradley Insurance for an additional quote on the required liability insurance for the HOA Board of Directors and Officers. ELECTION OF BOARD OF DIRECTORS POSITION Gary Koontz was nominated and re-elected to a three year term on the Board of Directors. BY-LAW CHANGES (see attached) The proposed changes to the By-Laws were approved as submitted. Discussion of additional corrections or changes to the by-laws was tabled until a future meeting.
2 RHODES HILL SUBDIVISION HOMEOWNERS ASSOCIATION DISCUSSION OF MODIFICATIONS TO THE ENTRANCE OF THE SUBDIVISION Kati Tindell volunteered to form a committee to provide the Board of Directors with a proposal for new landscaping at the front of the subdivision. Gary Koontz offered to let the committee use his builder s discount for plant purchases. COMPLIANCE ISSUES Homeowners were reminded to comply with the covenants and restrictions. Any future violations will result in a notification letter from the Board of Directors with a 30 day compliance date.

4 BUDGET ESTABLISHED BY THE BOARD OF DIRECTORS FOR FISCAL YEAR JULY 1, JUNE 29, 2016 Mowing Office expenses Liability insurance (1) Barrier construction (2) Legal expenses Ice and snow removal TOTAL PER LOT The liability insurance covers all common areas and protection for the officers of the association, as required by the bylaws. This expense was covered last year by your officers and Bald Eagle Ventures. 2. The barrier will prevent access to Chapel Hill Lane, eliminating illegal dumping, constant litter, and the use of the lower cul-de-sac for drinking, lovemaking, and the use of drugs. The mowing team will have a key to allow for upkeep. This is a one-time only expense. The barrier would be similar to the one erected in Silverstone subdivision for the same purpose. 5 PROPOSED REVISION OF BYLAWS ARTICLE II - SECTION 1. ANNUAL MEETINGS Current text: The first annual meeting of the members shall be held within one (1) year from the date of incorporation of the ASSOCIATION, and each subsequent regular annual meeting shall be held on the same day of the same month of each year thereafter, at the hour of 7:00 p.m. If the day of the annual meeting of the members is a legal holiday, the meeting will be held at the same hour on the first day following which is not a legal holiday. Proposed change (underlined and bold print): The first annual meeting of the members shall be held within one (1) year from the date of incorporation of the ASSOCIATION, and each subsequent regular annual meeting shall be held on the same day of the same month of each year thereafter, at the hour of 7:00 p.m. If the day of the annual meeting of the members is a legal holiday, the meeting will be held at the same hour on the first day following which is not a legal holiday. The meeting date may be rescheduled by the Board of Directors to an alternate date in order to best accommodate attendance by a majority of the members or other key factors. This alternate date should be as near to the original date as feasible. This action would not affect the meeting date in subsequent years. ARTICLE IX - SECTION 1. FISCAL YEAR Current text: The fiscal year of the Association shall begin on the first (1st) day of January and end on the thirty-first (31st) day of December of every year, except that the first fiscal year shall begin on the date of incorporation. Proposed change: The fiscal year of the Association shall begin on the first (1st) day of July and end on the thirtieth (30th) day of June of every year, except that the first fiscal year shall begin on the date of incorporation.
