2 MINUTES OF THE REGULAR MEETING OF THE MARSHALL PUBLIC LIBRARY BOARD OF TRUSTEES April 21st, 2016 Sandra Shropshire called the meeting to order at 4:16 p.m. Present were Trustees Kathryn Way, Sharon Manning Chuck Orr and Jay Bingham. Staff present included: Eric Suess, Library Director; Trina Bonman, Associate Director; Jamie Bair, Public Services Supervisor; Kathryn Poulter, Children's Services Supervisor and Sheri Waite, Technical Services Supervisor. CONSENT AGENDA Minutes from March meeting were considered. Sharon Manning moved to approve them. Jay Bingham seconded. DIRECTOR'S REPORT presented by Eric Suess The Friends of the Library spring book sale will coincide with our meeting day, so we will meet in the children's room. Traves Durrant is our new half-time maintenance person Laura Brink (full-time in Circ) has resigned. We have requested to fill her position, but have not yet been given permission. More information will be available by our meeting date. (We have not been given permission to fill this position. Instead we will hire two variable hour library pages). I have invited City Council members to tour the Library and have a discussion regarding budgeting priorities. Jim Johnston has already visited, and Michael Orr and Steve Brown have expressed an interest in doing so, hopefully before our next meeting. The budget process continues. The budget is open, and we are able to enter line items, but will await clarification of general budgeting assumptions before submission. Ann Nichols from the Mayor's Office will join us at this month's meeting to discuss Board responsibilities. SUPERVISORS REPORTS: Public Services report presented by Jamie Bair Reference had 3,367 patron contacts March 2016 Reference staffare cross-training in Circ to improve departmental communication. Currently weeding 300, 700, 900 Display: Gardening & Idaho Wildlife (Zane)

3 Display: 16 Annual Poetry Wall has 107 entries from early elementary to seniorcenterwriting group. Also includes poems in French from a local high school class and entries from inmates in the women's prison. 32 entries in the Shakespearean sonnetcontest from high school and ISU undergraduate students. Tutoring program: 100 hours volunteered by 8 people in March 2016, adding 2 new volunteers in April. Working on microfilm digitization contract with FamilySearch. Also looking into pay-for options. NERDS computer programming club is up to 6 members. Shifting nonfiction to make large print titles more accessible. Circulation had 11,068 patron contacts March 2016 Currently short 1 full-time and 1 half-time staff member Kathryn, Becca, Kathryn from Youth Services, Kristy and Trina from Administration, and Greg from custodial have all assisted with patron service and shelving Reader's Advisor Display: There are a Minion Reasons to Read (Becky) 110 Outreach visits 4/2016 (cf 781 4/2015) Currently recruiting more volunteers to process or deliver materials Will re-evaluate and plan for complete cancellation of Outreach services if we cannot recruit more volunteers Senior Center Outreach canceled March 2016 Events: 3/ Most Influential People Who Never Lived, 4/6 MPL Recipe Box, 4/12 Write Your Family History, 4/18 You and YourHealth, 4/19 Shakespeare 400 Years Later, 4/23 10am CCC in Idaho, 2pm Shakespeare's Birthday/Deathday, 4/30 1pm Music in the Library, 5/1-5/5 Online Book Fair with Barnes & Noble, April 30 9am-9pm at Idaho Falls store, Mondays ESL Class, Saturdays Computer Programming. We will be incorporating Safety Training into monthly meetings. All of the staffare reviewing the Reference Manual for creation of an online resource. Technical Services report presented by Sheri Waite Busy cataloging books as usual Children's Services report presented by Kathryn Poulter There is a volunteer who helps with the knitting programs at the library. She would like to donate a yam storage cabinet. This month all of the first graders in the city of Pocatello including the charter and public schools will be visiting the library. Itworks out to roughly 3 tours a day. We are busy planning summer reading and will shortly be going to the schools to promote this program.

4 The Mayor's Million Minute Challenge is going on through the end ofthe month. Homeschoolers can submittheir results here so their minutes get counted too. AGENDA Anne Nichols from the Mayor's Office is going around to all the city's advisory boards. The Mayor's Office needs to stay up-to-date with all Board information. Minutes and agendas need to be kept on file for forever. The Board must give notice to the media and public for all meeting including special ones. Notify the Mayor's Office when the Board takes on any special project. The Board can apply for grants. They would just follow the same process as all City Departments. Members of advisory boards can be removed. It is a multi-step process. There is acity policy for interaction with the media and social media that applies to advisory boards as well. 5 Library Director's Report May 19, 2016 Eric Suess The Friends ofthe Library spring book sale raised almost $3000. The shelves they purchased for us recenly have come in. The request to fill Laura Brink's full-time position has been denied. In order to provide coverage, we have been approved to add two variable-hour positions, without benefits. The position has been posted, and interviews will take place the week of 5/23 The budget process continues. Trina and 1presented our budget to Council on May 5*''. I will beattending an all-day meeting of the LiLI Steering Committee in Boise May 25"".
